Verity for resorts

A resort sells a weekend, a wedding and a quiet Tuesday. The profit is in how well it handles all three.

A resort is a hotel that also runs a restaurant, a spa, a pool, a vehicle fleet, a staff colony and sometimes a wedding lawn, often an hour from the nearest market. Weekends are full, weekdays are thin, and a three-day wedding can fill the place and drain it. Verity puts the cottages, the functions, the activities, the stock and the licences on one set of records, so a gap in the plan shows while there is still a road to fix it.

Verity in one line

One system that knows every cottage, function, transfer, activity slot, stock level, machine and licence date, and what needs attention before the next arrival.

Free: we set up a working demo of your own business, on your own data, within 7 days. You pay only if your team decides to use it.

Built for a property where the manager is also the host. The records come from the check-ins, kitchen counts and function sheets you already handle.

Verity in food and hospitality

Kitchen, counter and stock moving together.

35 seconds, no sound. An illustrative film, so the scenes are examples, not customer results.

How it runs today

Most resorts have a full weekend and no clear picture of the other five days.

The weekend is easy to see. The cars in the lot, the cottages booked, the lawn set up for a wedding. What is hard to see is everything behind it: how many covers the package really needs, whether the spa, safari or boat slots are over or under booked, which stock is a long drive from refill, which cottage is waiting for a part, and whether the pollution consent and the fire certificate are in date.

That information lives in pieces. The booking system knows rooms. The wedding is in a planner's spreadsheet and the sales manager's phone. The kitchen runs on a chit book. The vehicle roster is on a whiteboard. The licence file is at the head office.

Domestic tourism is large and growing. The RBI recorded 294.8 crore domestic tourist visits in 2024, 17.5 percent more than in 2023. But the number does not fill a given resort on a given Tuesday. A year-end hotel review for 2025 shows leisure markets with mixed results: Goa at 65.3 percent occupancy with its average rate down, and Udaipur at 54 percent market-wide.

What most resorts run on

  • Booking system or register for rooms
  • Spreadsheets for weddings and groups
  • Chit books in the kitchen and bar
  • WhatsApp groups for staff, drivers and vendors
  • Head-office file for licences

Each one works. None of them know about the others, and the manager is the only connection.

16 problems, one by one

Where a resort actually loses money.

These are the situations resort owners and managers describe again and again. For each one: what it looks like on an ordinary week, what it costs, and what Verity does about it.

  1. 01Revenue

    Full weekends, empty weekdays

    What it looks like

Friday to Sunday is sold out. Monday to Thursday, 26 of 40 cottages sit empty. The weekday rate is a guess, and nobody has tracked which midweek offer ever filled a room.

    What it costs you

Example arithmetic: lifting midweek occupancy from 35 to 45 percent in a 40-cottage resort is four more cottages a night. At ₹6,000 for four nights a week, that is ₹96,000 a week.

    How Verity fixes it

Bookings are recorded by date, channel and package, so Verity shows occupancy and rate for each weekday against the weekend and which offers actually brought guests. The manager sees the thin nights ahead early enough to act. Your team sets the rates and sends the offers.

    See the screen
  2. 02Sales

Wedding and group enquiries handled by phone

    What it looks like

A family wants 60 rooms, a lawn and a three-day programme in February. The enquiry comes through a planner, an Instagram message and a phone call. Three site visits are promised and two are forgotten. The quote lives in a spreadsheet.

    What it costs you

One wedding can be worth more than a month of weekends. Skift reported that one in four Indian weddings is now a destination wedding. Lost to slow replies, it is lost to a competitor.

    How Verity fixes it

Each enquiry is a record with dates, headcount, budget, the planner, site visit and quote. Verity lists enquiries with no reply or no follow-up after the visit, and tells the sales manager. You still speak to the family.

    See the screen
  3. 03Events

    A three-day wedding run from a spreadsheet

    What it looks like

Mehendi on the lawn, sangeet in the banquet, wedding at dawn, a reception the next night. Each function has its own set-up, caterer, decorator, DJ and rooms. The lawn is promised to a second booking for the same morning.

    What it costs you

A clash or a miss at a wedding is remembered. It costs the balance payment, a discount and the family's referrals.

    How Verity fixes it

Each wedding is an event record with functions by date and venue, headcount, menu, vendors, set-up times, rooms and payments. Verity shows venue clashes across events, and tasks for each department flow from the function sheet.

    See the screen
  4. 04Food

Meal plans and package covers that do not match the kitchen

    What it looks like

The package includes breakfast, lunch and dinner. The chef is told 90 guests, 74 turn up for lunch and 120 for dinner because day visitors came. Buffet food is thrown out and a late request runs short.

    What it costs you

Over-cooked buffets are food cost with no sale, and short ones lose guest goodwill. The two come from guessing the covers.

    How Verity fixes it

Expected covers by meal come from the in-house guests, packages and function headcounts. Actual covers are recorded, and Verity compares the two so the kitchen's plan follows the real pattern by day and season.

    See the screen
  5. 05Activities

Activity, spa and safari slots that clash or sit empty

    What it looks like

A nature walk, a boat ride, a spa session and a jeep safari all need a guide, an instructor or a driver. Two groups are given the same 4 pm slot. A guide called in sick and nobody knows.

    What it costs you

Experiences are what guests remember and what resorts charge extra for. A clash costs the sale and the review.

    How Verity fixes it

Each activity is a schedule with capacity, an assigned guide or therapist, equipment and a state. Verity shows clashes and unstaffed slots, and lists guests who have asked but have not been given a time.

    See the screen
  6. 06Transport

Transfers, pickups and the vehicle whiteboard

    What it looks like

A guest lands at 3 pm and the resort is 90 minutes from the airport. The pickup is on a WhatsApp message to a driver who has not seen it. The second guest arrives and finds no one.

    What it costs you

A bad first hour colours the whole stay. Idle vehicles are paid for in fuel and wages, and missed pickups are paid for in refunds.

    How Verity fixes it

Each transfer is a task linked to the booking, with flight or train, pickup time, vehicle and driver. Verity shows unassigned transfers by time and which vehicles are free, and records pickups as done.

    See the screen
  7. 07Stock

Stock that is an hour from the shop

    What it looks like

The chef realises at 6 pm that the fish for Saturday did not come. The nearest market is 40 km away and vendors do not deliver. Linen, pool chemicals and kitchen staples are bought in bulk, so some run out and some expire.

    What it costs you

Vendors often decline to deliver to remote sites because it does not pay them. Stock-outs cost covers or a costly emergency run, and over-buying ties up cash.

    How Verity fixes it

Every item has a reorder point set from real use and the vendor's lead time. Verity checks stock against expected covers and arrivals for the coming days and drafts the order before the last delivery slot.

    See the screen
  8. 08Upkeep

Generators, borewells, pools and the machine that fails on a wedding eve

    What it looks like

The generator is serviced when it fails. The pool pump hums. The water treatment plant is checked by whoever remembers. A cottage's geyser is out for a week because the part is two days away.

    What it costs you

A pool closed or a power cut on a full house costs the stay and the review. Emergency call-outs from far away cost more, and remote outside help can be slow.

    How Verity fixes it

Every machine and utility is an asset record with its service history, next date and spares. Verity raises tasks before the date and blocks a cottage from sale while a fault is open. Spares for vital machines have a minimum level.

    See the screen
  9. 09People

Staff in a remote place: hiring, housing and leaving

    What it looks like

Staff are hired for the season and housed on site. A cook leaves in the middle of peak. The new housekeeper has a day's training. Overtime is not tracked and rest days vanish.

    What it costs you

A 2025 accommodation barometer reported about ten hires planned per property over the next year, with housekeeping and food and beverage in most demand. Constant hiring without a record means constant retraining.

    How Verity fixes it

Shifts, rest days, staff housing and leave are one roster. Training and sign-offs sit on each person's record, so the manager sees who is cleared for which station. Seasonal staff get a checklist from day one.

    See the screen
  10. 10Rooms

Cottages spread over acres, rooms not ready

    What it looks like

Housekeeping covers cottages hundreds of metres apart. The cottage allotted to the first arrival is the last one cleaned. A buggy is not free. The supervisor finds out when the guest is at the gate.

    What it costs you

A late room at a resort is a long wait in the sun with a car full of luggage. Staff then rush work that needs care.

    How Verity fixes it

Each cottage has a status that housekeeping updates from the floor, ordered by arrival time. Verity shows cottages at risk, the attendant and the buggy for each, and puts the first arrival's cottage first.

    See the screen
  11. 11Safety

Safety at the pool, on the trek and on the water

    What it looks like

A guest slips at the pool. A child wanders into the shallows at an hour the lifeguard was not on duty. A boat goes out with one life jacket short. None of it is written down.

    What it costs you

An accident can mean harm to a guest, a legal case and a closed activity. Without a record you cannot show you did your checks.

    How Verity fixes it

Safety checks, lifeguard shifts, equipment counts and guest waivers are records with a name and a time. An incident is logged with the outcome. Verity lists checks not done before an activity starts.

    See the screen
  12. 12Compliance

Consents, licences and the environment rules for a resort

    What it looks like

A resort needs pollution board consent, a groundwater permission, fire clearance, tourism registration, an FSSAI registration, perhaps an excise licence, and in some places forest or coastal permissions. Each has its own date and department.

    What it costs you

The Green Tribunal has ordered action in cases where resorts operated without the needed consents. A lapse can mean a stop-work order in peak season.

    How Verity fixes it

Each consent, permit and certificate is a record with its authority, conditions, date and owner. A renewal opens as a checklist weeks ahead, with the conditions listed. Your team or adviser files; Verity keeps the record.

    See the screen
  13. 13Compliance

Foreign guests and the 24-hour form

    What it looks like

A group of foreign guests checks in during a wedding weekend. The IDs are collected, but the online forms are left for Monday. No one notices that one guest was missed.

    What it costs you

A Goa government notice of December 2025 says an accommodation keeper who does not submit the details of a foreign guest faces a penalty of ₹50,000 in each case. The details are due within 24 hours of arrival.

    How Verity fixes it

Each foreign guest's ID and form status sit on the arrival record. Verity lists arrivals with a form due and the time left, and raises a task for the person on duty. Your team files; Verity records that it was done.

    See the screen
  14. 14Guests

Commission on guests who would have booked direct

    What it looks like

A family who stayed last winter books through a portal this year. A planner brings a group and the commission is agreed on a call and forgotten. The resort does not know which guests are repeat.

    What it costs you

Example arithmetic: 12 rooms a night booked at 18 percent on ₹6,000 is about ₹13,000 a night in commission, over ₹3.9 lakh in a month.

    How Verity fixes it

Every booking has a channel, rate and commission or planner fee. Verity shows what each channel leaves and lists repeat guests who came through a portal, as tasks for your team to invite them to call direct.

    See the screen
  15. 15Money

Advances, cancellations and the balance on departure

    What it looks like

A wedding pays an advance in three parts. A cancellation arrives with 20 days to go. A guest's extras at the spa and the bar do not reach the bill, and the family leaves before the final count.

    What it costs you

Without a record of what was received and what was agreed, balances are argued about and extras are lost.

    How Verity fixes it

Each booking and event holds the advance schedule, payments received, cancellation terms, extras added on the stay and the balance. Verity flags balances past due and extras missing from the bill. Your billing system still makes the invoice.

    See the screen
  16. 16Owner

Two resorts, a wedding wing and one view

    What it looks like

A second property opens in the hills. One does weddings and the other leisure. The numbers come by WhatsApp in different formats, and nobody can say which segment actually makes the money.

    What it costs you

Without margin by segment, effort goes to the busiest part rather than the best one.

    How Verity fixes it

Each property is a location in one system, with occupancy, rate, wedding revenue, activity use, stock, faults and licence dates side by side. Each morning Verity lists what needs a decision, each with an owner.

How we work with you

We set it up with you, in four weeks.

You do not get a login and a manual. We spend time on your property, build Verity around how your resort really runs, bring your data in, then stay to make sure it keeps working.

  1. Week 1

    Discovery and mapping

    What we do
Spend a weekend and a weekday at your resort. Walk the cottages, kitchen, stores, workshop and staff housing, watch an arrival day and a function, and note which leaks matter most.
    What we need from you
Two to three hours of yours and your general manager's. Access to your room list, a month of bookings, wedding contracts and the licence file.
What you have at the end
A written map of your resort: cottage types and rates, packages, venues, activities, vehicles, stores, machines, licences and the first leaks we will close.
  2. Weeks 2 to 3

    Configuration

    What we do
Set up your cottages, packages, venues, activities, vehicles, stock and reorder points, machines, shifts, consents and licences, and build the seven screens around your own terms.
    What we need from you
Check the setup with your housekeeping head, chef, engineer and sales manager. Tell us where a rule or a name is wrong.
What you have at the end
A working Verity with your real cottages, functions, staff and rules, ready for your data.
  3. Weeks 3 to 4

    Migration and training

    What we do
Bring in your guest list, wedding diary, vendor details, stock counts, machine details and licence dates from the sheets, registers and phones you use. Train housekeeping, the kitchen, the front desk and the engineer on a live arrival day.
    What we need from you
Your wedding diary and guest history in whatever form they exist, and an opening stock count. One hour with each role.
What you have at the end
Your cottages, functions and suppliers inside Verity, and a team that has used it through a busy weekend.
  4. After go-live

    Operations partnership

    What we do
Stay on after launch. Review the first weekends with you, tune the stock levels and checklists, and handle changes when you add a venue, an activity, a vehicle or a property.
    What we need from you
A short monthly review of what the numbers say.
What you have at the end
A system that keeps matching how the resort runs, with someone responsible for it.

Bring these on day one

  • Your cottage list with types and published rates
  • A month of bookings and your package details
  • Wedding and group contracts, even if they are chats
  • Your vendor list and the last invoices
  • The licence and consent file with dates
  • The roster for the last month and each person's role

Your time

About 10 to 13 hours of your own time across the four weeks, mostly in week 1. Your general manager, chef and engineer need a few more.

After go-live

Nobody is hired to run Verity. Room status, covers and faults are recorded as part of work the team already does, and the reports come from those records.

Verity AI

Ask your resort a question. Get an answer, not a report to build.

Verity AI reads your own bookings, events, stock and maintenance records. Ask in plain language, then turn the answer into tasks for the right people.

  • Your records only Answers come from your own resorts data, not from generic knowledge.
  • Right person, right view It only shows what the person asking is allowed to see.
  • Turns into action An answer can become a task assigned to a named person.

Verity does not give legal or tax advice and does not file anything for you. It keeps the records these rules depend on in order, so you are not hunting for them when an officer asks.

  • Foreign guest reporting

    What is expected

Under the Immigration and Foreigners Act 2025, in force from 1 September 2025, accommodation keepers generally must submit a foreign guest's details electronically within 24 hours of arrival. A Goa government notice states a penalty of ₹50,000 in each case for not doing so.

    How Verity helps

Each arrival shows ID and form status with the time left. A task goes to the person on duty and the filing is recorded.

  • Pollution control and water consents

    What is expected

Resorts generally need a state pollution control board consent to operate and permission for the use of groundwater, each with conditions and a renewal date. Pollution board consents are often renewed some weeks before expiry. Check the conditions for your site.

    How Verity helps

Each consent is a record with its conditions, date and owner. A renewal opens as a checklist weeks ahead.

  • Site permissions near forests, coasts and protected areas

    What is expected

A resort inside or near an eco-sensitive zone, a forest or a coastal regulation zone may need additional clearances, and the Green Tribunal has ordered action where these were missing.

    How Verity helps

Each permission is a record with the authority and conditions. Your adviser confirms what applies to your site.

  • FSSAI registration or licence

    What is expected

A resort that serves food needs FSSAI registration or a licence. From 1 April 2026 the basic registration band generally applies up to ₹1.5 crore of turnover and a state licence above that up to ₹50 crore. Hygiene duties continue. Check your category.

    How Verity helps

The registration is a record with its number and category, and daily hygiene checks are signed off by the kitchen.

  • Fire, tourism and excise licences

    What is expected

Fire clearance, state tourism trade registration, and if a bar is run an excise licence are generally needed. Each is set by the state or city and renewed on its own date.

    How Verity helps

Each is a record with its date and owner. A renewal is a task weeks ahead.

Rules change and differ by state and by site. Confirm current requirements with your accountant or the relevant authority.

Who sees what

Everyone sees the same records, through their own window.

A housekeeper should not see wedding contracts. The front desk should not edit vendor rates. Each role opens on what it needs.

  • Owner

Is the resort making money, and from what?

Occupancy by day, rate by channel, wedding revenue, balances, stock cost, open faults and licence dates for every property.

  • General manager

    What needs sorting today?

Cottages at risk, venue clashes, transfers and activities unstaffed, approvals, faults and licence tasks.

  • Sales and events manager

Which enquiries and functions need me?

Enquiries without a reply, quotes, function sheets, payments and the clash list.

  • Housekeeping and front desk

Who is arriving and which cottage first?

Arrivals ordered by time, cottage status, buggies, foreign guest forms and requests.

  • Chef and stores

What will we cook, and what do we need?

Expected covers by meal, stock against lead times, and delivery checks.

Straight answers

What changes, and what stays the same.

Keep using

  • Your booking system or register. We agree during setup how bookings and bills reach Verity.
  • Your OTA extranets and wedding planners. We record the channel and planner fee of each booking.
  • WhatsApp for staff, drivers and vendors. Staff reply
  • Verity tracks who owes a reply.
  • Your accountant, who still prepares your returns.

Verity does not

  • Run your billing or reservations, or take online bookings.
  • Sell rooms or experiences on portals or set rates on them.
  • Send messages to guests, planners or vendors on its own.
  • File your consents, foreign guest forms or returns, or run your payroll.

We bring your cottages, guest history, wedding diary, vendor details, stock counts and licence dates across from the registers, sheets and phones you use now, in stages, so the resort keeps running while it happens.

Questions

Questions resort owners ask.

My staff live on site and many are not office people. Will they use it?

They do not need to be. Housekeeping updates a cottage with one tap, the kitchen enters counts at the end of a service, and the engineer ticks a work order. We train them on their own station during a live arrival day, and a supervisor can enter from a printed sheet where phones are not carried.

Does Verity replace my booking system?

No. Your system keeps taking bookings and making bills. We agree during setup how bookings, stays and payments reach Verity, which then does the housekeeping, event, stock, maintenance and licence work around them.

Can it handle multi-day weddings with several functions?

Yes. A wedding is one record with functions by date and venue, headcount, menu, vendors, set-up times, rooms and payments. Verity shows clashes between events and sends tasks to each department.

How would it help with empty weekdays?

Verity shows occupancy and rate by weekday and which offers actually brought guests, so you see the thin nights early. Your team sets the rates and sends the offers. Verity does not run offers or promotions.

Can it send guests their pickup details or reminders?

No. Verity assigns a transfer task and records the outcome. Your staff contact the guest.

I run a 15-cottage resort with a small team. Is this too much?

A small resort has the same leaks and less time to notice them. We set up only what you need, in the same four weeks, and leave out what you do not.

I have two resorts, one in the hills and one by the sea. Can I see them together?

Yes. Each is a location in one system, with occupancy, rate, weddings, stock, faults and licences side by side. Guests are the same people across both.

Who can see my data?

Only the people you allow. Access is set by role, so housekeeping, the kitchen, the engineer and your accountant each see what they need, and every change is recorded with who made it and when.

What does it cost?

It depends on the number of cottages, properties and what you want set up. Message us and we will give you a clear number after a short conversation about how your resort runs.
