Verity for wedding planners

A wedding is one date, thirty vendors, and a family that cannot be told "we forgot".

A planner runs several weddings at once, each with its own date, budget, vendors, guest list and three or four functions over as many days. Money moves in both directions, in instalments, and the dates cannot move. Verity connects the client, the timeline, the vendors and the money, so a missing advance, an unconfirmed vendor or a late task shows up weeks before the day instead of on it.

Verity in one line

One system that knows every wedding's timeline, every vendor and what has been paid to them, every guest and every task, and tells you what needs attention this week.

Free: we set up a working demo of your own business, on your own data, within 7 days. You pay only if your team decides to use it.

Your quotes, designs and chats with families stay where they are. Verity records the decisions, dates, money and tasks around them.

How it runs today

Most planners hold a dozen weddings in their head and a hundred threads in WhatsApp.

The glamour is visible. The mandap, the sangeet, the entry on the day. What is hard to see is everything behind it: which vendor has confirmed in writing, who has paid an advance and who is waiting, what the family has approved and what they only said on a call, and how many guests have given a room preference.

That information exists in pieces. A group chat per wedding. A spreadsheet for the budget. Photos of signed papers. A notebook of the run of show. The planner carries the rest, and when the planner is on site at one wedding, nobody else can answer questions about another.

The scale is large. A fund house blog on the 2025 season projects about 4.6 million weddings in a 45-day window and ₹6 to 6.5 lakh crore of spend, with venue and catering taking 30 to 35 percent of a typical budget. Planners work in a peak that compresses the whole year's weddings into a few weeks.

What most wedding planners run on

  • WhatsApp group per wedding
  • Excel for budget, guests and vendor payments
  • Google Drive or phone photos for contracts
  • Notebook or print-out for the run of show
  • Calls with families

Each works until the week of the wedding. Then every question needs five chats to answer.

14 problems, one by one

Where a wedding planning business actually loses money.

These are the situations planners describe again and again. For each one: what it looks like on an ordinary day, what it costs, and what Verity does about it.

  1. 01Sales

Enquiries go cold while you are on site at another wedding

    What it looks like

A couple writes on Instagram on Sunday night for a December wedding in Udaipur. You are at a venue recce. The reply goes out on Wednesday. They have already spoken to two other planners.

    What it costs you

A destination wedding enquiry can be worth a large fee. The first planner to reply with a clear plan is often the one who wins.

    How Verity fixes it

Each enquiry is a record with date, city, guest count, budget range, source and owner. Verity lists enquiries with no reply and tasks the person responsible. Staff reply; the outcome is recorded.

    See the screen
  2. 02Sales

Quotes are rebuilt from scratch and scope drifts

    What it looks like

A family asks to add a mehendi evening and a second venue to a quote you sent three weeks ago. The new quote is built from memory. Nobody can say what the original included.

    What it costs you

Work that was never priced, or a quote that undercuts you. Both come from not having one record of what was promised.

    How Verity fixes it

Each quote is a record with its version, scope and price, and each change is a new version with who approved it. Verity shows what changed between quotes, so the team delivers what was agreed.

    See the screen
  3. 03Client

The budget changes in calls and nobody records it

    What it looks like

The father agrees to upgrade the floral decor on a call. The mother wants the same for the bride's side. Two weeks later the total is ₹4 lakh above the budget and each person remembers a different promise.

    What it costs you

Example arithmetic: ₹4 lakh over a ₹40 lakh budget is a 10 percent overrun that you either absorb or argue about on the eve of the wedding.

    How Verity fixes it

Every change request is a record with who asked, the cost, who approved and the date. Verity shows the running budget against what has been committed and what has been paid.

    See the screen
  4. 04Vendors

A vendor advance is not paid, and the vendor gives your date to someone else

    What it looks like

The photographer's advance was due on the 10th. The client said they would transfer it, then travelled. On the 15th the photographer says he now has another booking on that date.

    What it costs you

A missing vendor on a fixed date is the hardest problem to repair, and it falls on the planner.

    How Verity fixes it

Each vendor has a booking record with the date, the amount, the advance due date and who must pay it, you or the client. Verity lists advances due in the next seven days and those overdue, and tasks the person who owes the payment.

    See the screen
  5. 05Money

Money moves in both directions and nobody can see the balance

    What it looks like

The client has paid ₹12 lakh. You have paid vendors ₹9 lakh. The caterer wants a further ₹3 lakh by Friday. You are not sure if the client has paid for the extra lighting yet.

    What it costs you

Planners fund the gap from their own pocket, and cash flow in a peak season is where small planning businesses get into trouble.

    How Verity fixes it

Each wedding shows what the client has paid, what is due from them, what vendors have been paid and what is due to them, by date. Verity highlights weeks where payments out run payments in.

    See the screen
  6. 06Vendors

Vendors are not confirmed in writing

    What it looks like

The decorator confirmed on a call. The sound vendor said yes in a voice note. The pandit sent a message that is hard to find. Two days before the sangeet, you cannot show anyone what was agreed.

    What it costs you

Disputes over scope and price at the worst possible time. A dozen vendors per wedding means a dozen chances for the details to differ.

    How Verity fixes it

Each vendor's confirmed scope, price, timings, contact and signed document are attached to their booking record. Verity marks a vendor "confirmed" only when the paper is attached, and lists those still unconfirmed.

    See the screen
  7. 07Timeline

The timeline for the day lives in one head

    What it looks like

The run of show for the sangeet is in your notebook. The baraat is at 6:30 pm, the DJ needs power at 5, the caterer's setup starts at 3. Your assistant is on another wedding and asks you for the timings every hour.

    What it costs you

Late starts, double-booked staff and tense families. Entrepreneur India, quoting a planner, described a wedding as a dozen vendors, multiple contracts and a hard payments schedule needing constant oversight.

    How Verity fixes it

Each function has a timeline of cues with owners, times and vendors. The team sees the same plan on their screens, and changes are recorded with who made them.

    See the screen
  8. 08Timeline

    Tasks across functions slip through

    What it looks like

Haldi, mehendi, sangeet, wedding, reception. Each has its own list: favours packed, seating chart printed, car for the groom's family, welcome hampers. Half of it is in someone's message to someone.

    What it costs you

A missing item on the day is remembered far longer than a hundred things that went well.

    How Verity fixes it

Every task has an owner, a function, a due date and a state. Verity shows what is overdue for the next three events, and tasks roll up to the lead planner by wedding.

    See the screen
  9. 09Guests

Guest lists, RSVPs and room allotments live in sheets

    What it looks like

Four hundred guests, a hundred and twenty travelling in. The family sends a new list every week. Rooms are allotted from a sheet that three people edit. Arrivals are listed in a chat.

    What it costs you

A guest with no room, a wrong head count to the caterer, or a missed pickup. These are the complaints families remember.

    How Verity fixes it

Each guest is a record with side, RSVP, dietary needs, travel and room. Verity totals head counts by function for the caterer and the venue, and lists arrivals by day and time for the transport team.

    See the screen
  10. 10Guests

Head counts change but the caterer and venue are told late

    What it looks like

The final list has fifty fewer guests than the number given to the caterer a month ago. Nobody told the caterer. The minimum count in the contract has now been crossed.

    What it costs you

Example arithmetic: fifty plates at ₹1,800 is ₹90,000 that may be payable for food nobody eats, or saved if the caterer is told in time.

    How Verity fixes it

Head counts per function are on the wedding record with a date for the last change. Verity compares the current count with the number given to each vendor, and tasks the planner to send the update.

    See the screen
  11. 11Team

Teams are stretched across weddings in the same week

    What it looks like

Three weddings in the same week and two coordinators. One of them is on site at a venue in Jaipur and also asked to confirm decor at a second one in Delhi.

    What it costs you

Burnout, mistakes and a good coordinator who leaves after the season.

    How Verity fixes it

Each person's assignments across weddings are on one schedule. Verity shows overloaded days and who is free, and a wedding cannot be staffed twice for the same hour without a warning.

    See the screen
  12. 12Money

On-the-day changes and extra spends are not logged

    What it looks like

On the day of the reception the family asks for extra flowers and a longer DJ slot. The planner says yes. Nobody writes it down. The bill is argued about a month later.

    What it costs you

Unbilled extras reduce the margin on a wedding already run tight.

    How Verity fixes it

On-the-day requests are logged in two taps on the phone with the amount and the person who approved. Verity adds them to the wedding's running total and raises them in the final invoice task.

    See the screen
  13. 13Money

Invoices and settlements pile up after the event

    What it looks like

The wedding is over and the planner is on the next one. Vendors send final bills. Some are different from the quote. The client's final payment waits for a reconciliation nobody has time to do.

    What it costs you

Late final payments, a client who feels surprised, and your accountant asking for papers months later. Planners in India generally charge 18 percent GST on event management, and ITC depends on matching vendor invoices.

    How Verity fixes it

Each vendor's final bill is attached to the booking and compared with the quote. Verity shows the variance, the amount to bill the client and the settlement status of every vendor.

    See the screen
  14. 14Client

Past clients are forgotten between weddings

    What it looks like

A bride you planned for in 2023 has a younger sister getting married in March. You do not know. A venue you worked with last year has a new manager. The contact book is a phone full of unnamed numbers.

    What it costs you

Referrals and repeat work are the cheapest business a planner gets. Missing them is invisible.

    How Verity fixes it

Clients, families, vendors and venues are relationship records with every wedding and conversation attached. Verity lists clients to check in with after the event, and flags a vendor's reliability notes from past weddings.

    See the screen

An ordinary day

The same week before a wedding, before and after.

What changes is not the wedding. It is that the week leaves a record, and the record does the chasing.

WhenTodayWith Verity
9:00 am TodayYou check five chats to see which vendors have confirmed. With VerityThe vendor screen shows eleven confirmed with paper and two without. The two are tasks with the right people.
11:00 am TodayA vendor says his advance has not arrived. You are not sure who was meant to pay. With VerityThe booking says the client pays this one, the due date was the 15th and the reminder went out. You call the client with the facts.
1:00 pm TodayThe father asks for a better entry. You say yes on the phone. With VerityYou log it as a change with the cost. He sees the new total and approves, and it is on the record.
4:00 pm TodayThe guest list changes again. The caterer still has the old number. With VerityVerity shows the count is 50 lower than what the caterer was sent. A task goes to you to send the update today.
7:00 pm TodayThe on-site coordinator calls to ask for the run of show. With VerityThe coordinator has the cues, the owners and the vendor numbers on the phone, and changes appear for everyone.
After the wedding TodayFinal bills trickle in over weeks and the client waits. With VerityEach final bill is compared with the quote the day it arrives, and the client's final invoice task is already open.

How we work with you

We set it up with you, in four weeks.

You do not get a login and a manual. We follow a real wedding with you, build Verity around how your team really plans, bring your data in, then stay to make sure it keeps working.

  1. Week 1

    Discovery and mapping

    What we do
Go through one running wedding and one finished one with you. Map the stages from enquiry to settlement, the functions, the vendor types, how money moves both ways and who does what on the day.
    What we need from you
Two to three hours of yours and your lead coordinator's. Two wedding files, your quote template and your vendor list.
What you have at the end
A written map of your business: stages, wedding structure, vendor categories, payment rules and the first gaps we will close.
  2. Weeks 2 to 3

    Configuration

    What we do
Set up wedding records with functions and dates, vendor categories, quote versions, advance and balance rules, guest fields, task templates for each function and your team, and build the five screens around your terms.
    What we need from you
Check the setup with your coordinators. Tell us where a task template or a payment rule is wrong.
What you have at the end
A working Verity with your real vendors, task lists and rules, ready for a live wedding.
  3. Weeks 3 to 4

    Migration and training

    What we do
Bring in your vendor and venue list, client list, and one or two running weddings with their budgets, guests and payments. Train the team using a live wedding, not a test.
    What we need from you
Your vendor contacts, the active wedding sheets and a check of the payment dates. One hour with each role.
What you have at the end
Your running weddings and vendors inside Verity, and a team that has used it through a week of real work.
  4. After go-live

    Operations partnership

    What we do
Stay on after launch. Review the first weddings with you, tune the task templates and payment rules, and handle changes when you add a service, a city or a team member.
    What we need from you
A short monthly review of what the numbers say.
What you have at the end
A system that keeps matching how you plan, with someone responsible for it.

Bring these on day one

  • Two wedding files, one running and one finished
  • Your quote template and recent quotes
  • Vendor and venue list with contacts
  • Guest list sheets
  • Payment records for current weddings

Your time

About 9 to 12 hours of your own time across the four weeks, mostly in week 1. Your lead coordinator needs a few more.

After go-live

Nobody is hired to run Verity. Decisions, payments and tasks are recorded as part of the work your team already does, and the reports come from those records.

Verity AI

Ask your business a question. Get an answer, not a report to build.

Verity AI reads your own weddings, vendors, money and tasks. Ask in plain language, then turn the answer into tasks for the right people.

  • Your records only Answers come from your own wedding planners data, not from generic knowledge.
  • Right person, right view It only shows what the person asking is allowed to see.
  • Turns into action An answer can become a task assigned to a named person.

Verity / Ask

Which vendor advances are due in the next week and who owes them?

9 advances worth ₹5.4 lakh are due in seven days. 5 are the client's to pay and 4 are yours.

  • Client to pay₹3.1 lakh
  • We pay₹2.3 lakh
  • Already overdue₹1.5 lakh

Create a task for each payer

Verity / Ask

Which weddings have more money going out than coming in?

Nair and Joseph, Kochi, is ₹1.5 lakh short. Das and Menon, Goa, is ahead by ₹3 lakh.

  • Nair and Joseph-₹1.5 lakh
  • Mehra and Kapoor+₹3 lakh
  • Rao and Bhatia+₹2 lakh

Task to chase the Kochi client

Verity / Ask

Where do guest counts differ from what vendors were told?

3 functions in Udaipur are below what the caterer was sent, by 20, 50 and 12 plates.

Task to send the updated counts today

Sample questions and answers with illustrative figures.

Without chasing

The follow-ups nobody has time to make.

Set once, then they run from your records. Staff still talk to families and vendors; Verity makes sure the right person knows what to do.

Rules and paperwork

The rules a wedding planning business has to keep up with.

Verity does not give legal or tax advice and does not file anything for you. It keeps the records these rules depend on in order, so you are not hunting for them when someone asks.

  • GST on event management

    What is expected

Full event management, including wedding planning, generally attracts 18 percent GST under SAC 998596. A registered planner can generally claim input credit on vendor GST against valid invoices, and some services such as outdoor catering are charged at their own rates. Whether registration is mandatory depends on your turnover.

    How Verity helps

Each vendor invoice is attached to the booking and compared with the quote, and each client invoice records what was billed and when. Your accountant prepares the returns; Verity does not file them.

ClearTax on GST for event management

  • Vendor and client contracts

    What is expected

There is no single rule for planners, but written scope, payment dates and cancellation terms with both clients and vendors are what you rely on in a dispute. Confirm contract terms with a lawyer.

    How Verity helps

Each signed document is attached to the booking record with its date, and a vendor is not marked confirmed until the paper is there.

  • Guests' personal data

    What is expected

The Digital Personal Data Protection Rules were notified on 13 November 2025. Notice, consent and safeguard duties for businesses holding personal data are generally due from 13 May 2027. Guest lists with phone numbers, passports or diet notes are personal data.

    How Verity helps

Guest records sit on the wedding with access by role, and every change is logged.

AZB & Partners on the DPDP phases

  • Venue, music and local permissions

    What is expected

Venues, processions on public roads, loudspeakers and live music may need permissions or licences that vary by city and state. Your venue contract often says who must obtain them.

    How Verity helps

Each permission is a task with an owner and a date before the event, and the approval is attached to the wedding.

Rules change and differ by city, state and venue. Confirm current requirements with your accountant, a lawyer or the relevant authority.

Who sees what

Everyone sees the same records, through their own window.

A vendor coordinator should not see the client's total budget. A junior should not edit payment rules. Each role opens on what it needs.

  • Owner

Are my weddings on track, and where is cash short?

Every wedding with days to go, money in and out, vendor risks and team load.

  • Lead planner

What needs attention on this wedding?

The timeline, change requests, unconfirmed vendors, guest counts and the budget.

  • Coordinator

What do I do today and on site?

Their tasks, the run of show, vendor contacts and logging on-the-day requests.

  • Accounts

What was billed, paid and owed?

Client invoices, vendor bills against quotes, advances and balances, by wedding.

  • Vendor or venue contact

    What is expected of me?

Only the scope, timings and payment dates on their own booking, if you choose to share them.

  • Take online bookings or enquiries for you.
  • Send messages to guests, families or vendors on its own.
  • File your returns or run your payroll.

We bring your vendor and venue contacts, client list and running wedding files across from the sheets, chats and folders you use now, in stages, so planning continues while it happens.

Questions

Questions wedding planners ask.

I manage everything in WhatsApp groups. Will my clients and vendors have to use something new?

No. Families and vendors keep using chat. Your team records the decisions, dates and payments in Verity as part of the work, so the facts live in one place and the chats stay chats.

Can it track what I owe vendors and what clients owe me?

Yes. Each vendor booking has an advance, balance, due dates and who pays, you or the client. Each wedding shows money in and out by date, so a gap is visible weeks before it hurts.

Does it handle several functions across several days?

Yes. A wedding has functions such as haldi, mehendi, sangeet and reception, each with its own timeline, tasks, vendors and head count.

Can it manage guest lists and RSVPs?

It keeps guests as records with side, RSVP, diet, travel and room, and totals counts by function. It does not send invitations or collect RSVPs online; your team does that and records the answer.

We are a team of four. Is this too much?

A small team has the same number of vendors per wedding and fewer hands. We set up only what you need in the same four weeks, and leave out what you do not.

Can it help me with the run of show on the day?

Yes. Cues with times, owners and vendors are shown on the phones of your team on site, and changes appear for everyone.

Can it send reminders to vendors and families?

Verity assigns the reminder as a task to the right person on your team, who sends it and records the answer. It does not message anyone on its own.

Who can see my data?

Only the people you allow. Access is set by role, so coordinators, accounts and any shared vendor view each see what they need, and every change is recorded with who made it and when.

How quickly will I see something useful?

The vendor advance list and the unconfirmed vendor list need only your running weddings, so we aim to have them first. Team load and past-client patterns become reliable after a season of recorded weddings.

What does it cost?

It depends on the size of your team and the number of weddings a year. Message us and we will give you a clear number after a short conversation about how you plan.
