Verity for architects

The drawing is finished. The fee for it is not collected. Verity keeps both in view.

An architect sells time and judgement in stages: concept, sanction, working drawings, site. Each stage brings new drawing versions, new approvals, new people on site and a new fee instalment. Verity puts the project, the drawing set, the sanction file, the hours and the invoice on one record, so a revision or a stage that slipped shows before the client or the municipality asks.

Verity in one line

One system that knows every project's stage, every drawing revision, every sanction query, every hour your team spent and every fee instalment that is due.

Free: we set up a working demo of your own business, on your own data, within 7 days. You pay only if your team decides to use it.

Built for studios that already draw in their own software. Verity does not draw or replace your design tools; it keeps the work around the drawings in order.

Decide

Illustrative screen with sample figures. Yours is set up with your own projects, stages, fees, hours and sanctions.

How it runs today

Most studios are full of work and still unsure which project is actually making money.

The drawings are the visible part. Plans, sections, elevations, working drawing sets. What is hard to see is the thread behind them: which revision went to the client, which one the contractor is building from, which sanction objection is still open, how many hours the third round of changes took and whether anyone billed for it.

That thread lives in many places. Drawing versions sit in folders named final, final2 and final_revised. Sanction status is in an email from a consultant or a text from the liaison. Fee milestones are in an agreement that only the principal remembers well. Hours are in nobody's record at all.

A published practitioner guide in 2026 says Indian residential studios often bill only 40 to 55 percent of the hours they work, against 60 to 70 percent in international consulting benchmarks. Hours that are worked and never billed are the quietest loss a studio has.

What most architects run on

  • Drawing software and shared folders
  • Email and WhatsApp with clients, consultants and contractors
  • Excel for fee tracking and project lists
  • The fee agreement in a PDF
  • Tally or your accountant for invoices

Each does its job. None of them knows that revision 4 of the staircase drawing is why the client's third instalment is waiting.

16 problems, one by one

Where an architecture practice actually loses time and money.

These are the situations studio principals and project architects describe again and again. For each one: what it looks like on an ordinary week, what it costs, and what Verity does about it.

  1. 01Drawings

Nobody can say which drawing revision is the current one

    What it looks like

The contractor is building the staircase from a PDF sent on 3 September. The client approved a changed version on 20 September. Both are called Staircase_final. A junior architect finds out on a site visit.

    What it costs you

Work built from a superseded drawing is demolished and rebuilt. The cost falls on the client and the contractor first, then on the architect's name and sometimes on the architect's pocket.

    How Verity fixes it

Each drawing sheet is a record with a revision number, date, reason for change, who issued it and who received it. Verity shows the latest issued revision for each sheet and the list of people who still hold an older one.

    See the screen
  2. 02Drawings

Client changes arrive as phone calls and WhatsApp messages

    What it looks like

The client calls to move the kitchen, adds a pooja room by message and sends a reference photo of a ceiling at night. By Friday there are three versions of the first floor plan and no one wrote down which changes were agreed.

    What it costs you

Changes become unpaid work. A published 2026 guide describes two unbilled rounds of floor plan changes costing about a fifth of a fixed fee in its own example. Treat that as an illustration, not an average.

    How Verity fixes it

Every change request is logged against the project with the date, who asked, the sheets it touches and an estimate of hours. Past the number of rounds in your agreement, it is flagged for a variation quote the principal approves.

    See the screen
  3. 03Approvals

Sanction queries sit in an inbox

    What it looks like

The municipality raises an objection on setbacks. The query goes to the liaison, then by email to the senior architect, who is on a site. The reply is due in fifteen days. Nobody is sure which day the clock started.

    What it costs you

A missed reply date means a fresh round, and a project that was meant to start in November starts in February. The client's patience, and the next fee instalment, wait with it.

    How Verity fixes it

Each sanction file records the authority, the submission date, every query, its due date and the person replying. Verity lists open queries by due date and tells the owner of each when a reply is close to late.

    See the screen
  4. 04Approvals

Different cities, different portals, different rules

    What it looks like

One project is in a city with an online plan approval portal, another in a town that still wants three paper sets and a visit. A third needs a fire clearance first. The checklist for each is in a different consultant's head.

    What it costs you

Rules differ by city and change often. In 2026, for example, Chandigarh reportedly lets registered architects submit plans directly under self-certification, while other cities do not. A wrong checklist costs weeks.

    How Verity fixes it

Each authority has a checklist template that you keep: forms, drawings, fees, NOCs. A new project picks the template and the checklist becomes tasks with owners and dates, so nothing is left to memory.

    See the screen
  5. 05Coordination

Consultants deliver late and the set is incomplete

    What it looks like

The structural drawings are late, the MEP layout clashes with the false ceiling and the landscape consultant has not sent levels. The sanction or tender set goes out with notes saying to be confirmed.

    What it costs you

An incomplete set invites queries, change orders and arguments on site about who was supposed to give what.

    How Verity fixes it

Each consultant is a vendor record with deliverables, due dates and received revisions per project. Verity shows what is still outstanding before a set is issued, and the issue is blocked until the principal accepts the gaps.

    See the screen
  6. 06Fees

Fee stages are not billed when the work is done

    What it looks like

The concept was approved in July. The agreement says to invoice 20 percent on approval. The invoice goes out in September because the person who prepares it was busy. The client has already asked for revisions on top.

    What it costs you

An invoice raised late is paid late, and it is awkward to ask for money after a client has started asking for more. Example arithmetic: a 20 percent stage on a ₹12 lakh fee is ₹2.4 lakh waiting two months.

    How Verity fixes it

The fee agreement is entered as stages with a trigger, an amount and a due date. When the project record shows a stage done and signed off, an invoice task goes to accounts, and the stage stays red on the owner's screen until it is paid.

    See the screen
  7. 07Fees

Clients delay a trigger to delay payment

    What it looks like

A stage is said to be complete when the client approves. The client says they are still thinking. The studio carries on drawing the next stage in the hope of goodwill.

    What it costs you

Finance-related causes were ranked the most critical for delays in a survey study of Indian projects, with owner payment delays among the highest. An architect who keeps working while a stage is unpaid is financing the client.

    How Verity fixes it

Each stage shows its status, the days since the deliverable went to the client and a rule you set, for example, no new stage released with a stage over 30 days unpaid. A hold needs the principal's one-tap approval, with the reason on record.

    See the screen
  8. 08Hours

    Hours worked are never recorded

    What it looks like

A job quoted at ₹15 lakh is drawn by three people over seven months. Nobody noted hours. The principal feels the project was a loss but cannot say which stage or which round of changes did it.

    What it costs you

Example arithmetic: two unbilled rounds of 60 hours at ₹2,500 an hour is ₹3 lakh, or a fifth of a ₹15 lakh fee. A studio that cannot see this cannot price the next job.

    How Verity fixes it

Team members log hours against a project and a stage in a few taps at the end of the day. Verity shows hours used against hours planned for each stage, and flags the stage that is running over before the stage ends.

    See the screen
  9. 09People

Juniors are overloaded on one project and idle on another

    What it looks like

Two project architects are chasing a sanction deadline while a draftsman waits for work on a villa that is on hold. The principal discovers it when someone complains.

    What it costs you

Idle salaries on one project and overtime on another. Drawing quality falls when the same person is split across four deadlines.

    How Verity fixes it

Each person's assignment across projects and stages is on one schedule. Verity shows who is over or under loaded for the next four weeks, so the principal can move work before the deadline.

    See the screen
  10. 10Site

Site queries come back as photos with no record

    What it looks like

The mason asks about the tile pattern at the landing. The site supervisor sends a photo. The project architect answers by voice note. Two weeks later nobody remembers what was decided or whether it changed the drawing.

    What it costs you

Decisions made informally become disputes about who approved what, and drawings stop matching what is built.

    How Verity fixes it

A site query is a record with a photo, the question, the answer, the person who answered and the sheet it relates to. If the answer changes a drawing, a revision task is created for the same project.

    See the screen
  11. 11Site

Site visits and stage inspections are not tracked

    What it looks like

The agreement says the architect inspects at plinth, slab and finishing stages. Nobody has a list of which visits were made, which are due and what was seen.

    What it costs you

Missed or undocumented visits weaken your position when something goes wrong, and a client who feels unattended is slow to pay.

    How Verity fixes it

Visits are scheduled against the project stage with an owner. After a visit, a short report with observations and photos is attached to the project, and open observations become tasks on the contractor and on your team.

    See the screen
  12. 12Compliance

Completion certificates for RERA projects pile up

    What it looks like

A developer client needs an architect's certificate each time funds are withdrawn from the project account, and updates when the percentage of completion changes. The request arrives on a Friday evening.

    What it costs you

Under the RERA rule, 70 percent of buyers' money goes into a separate account, and each withdrawal needs an engineer, an architect and a chartered accountant to certify progress. A delayed certificate stops a client's cash and the relationship with it.

    How Verity fixes it

Certificate requests are tasks on the project with a due date, the measured progress behind them, the site visit that supports them and the person who signs. Every certificate issued is stored with the date and what it certified.

    See the screen
  13. 13New work

    Enquiries and proposals go quiet

    What it looks like

A homeowner meets the principal at a site, asks for a proposal and hears nothing for ten days. A developer sends a brief by email. The proposal is half done on someone's laptop.

    What it costs you

Clients choose the architect who replies fast and clearly. A studio rarely loses a proposal on price alone; it loses it on silence.

    How Verity fixes it

Each enquiry is a record with the source, brief, site, budget and next step. Verity lists proposals not yet sent and enquiries waiting for a follow-up, and records the outcome.

    See the screen
  14. 14Records

Old projects cannot be found when the client calls back

    What it looks like

A client returns three years later to add a floor. The earlier drawings are on a retired laptop, the sanction copy in a cupboard and the agreement in an email nobody can search.

    What it costs you

Hours spent rebuilding a record, and a weaker case in a dispute over what was agreed or issued.

    How Verity fixes it

Agreements, issued sets, sanction copies, certificates and site reports sit on the project record with permissions and history. Search finds them by client, plot or sheet.

    See the screen
  15. 15Compliance

Professional liability tails run long and nobody tracks them

    What it looks like

A project was handed over two years ago. A leak appears and the client calls. The studio does not have the site reports, the issued drawings or the handover note in one place.

    What it costs you

Most of the fee is collected early while responsibility lasts long after handover. A thin record makes a small complaint expensive.

    How Verity fixes it

Handover closes the project but keeps its record complete and locked. Defect calls are logged against the original project with the sheets and reports behind them.

    See the screen
  16. 16Owner

The principal cannot see the whole studio

    What it looks like

The principal carries each project in memory and finds out about trouble when a client complains. Partners in two offices compare notes on a call at night.

    What it costs you

Slow decisions. Problems that were small on Monday are large on Friday.

    How Verity fixes it

One owner view shows each project's stage, next deadline, open sanction queries, unpaid stages, hours against plan and who is overloaded, with the items that need a decision listed under it.

    See the screen

The numbers behind it

The numbers that make these problems worth fixing.

From published sources, with the source named under each figure. Your own numbers will differ, and showing you yours is the first thing Verity does.

  • 40 to 55%

of working hours are billed by Indian residential architecture studios, against 60 to 70% in international consulting benchmarks, according to a practitioner guide.

Studio Matrx, Architect fee structures in India, 2026

  • Finance first

finance-related causes ranked as the most critical causes of delay in Indian projects in a questionnaire survey of clients, contractors and consultants, with owner payment delays for extra work among them.

Emerald, Journal of Financial Management of Property and Construction, 2019

  • About 105,000

architects were registered with the Council of Architecture, about 85,000 with valid licences, as reported in 2019.

    Construction World, 2019

  • 70%

of the money realised from buyers must go into a separate account under RERA, and each withdrawal needs certificates from an engineer, an architect and a chartered accountant.

    Business Today, 2019

The 40 to 55 percent billing figure is from a 2026 practitioner guide, not a survey of the profession. The architect count is from a 2019 trade article. The delay study is academic and dated 2019. The RERA rule is quoted from a press report of the Act; confirm form numbers and certificate rules with your state RERA.

How we work with you

We set it up with you, in four weeks.

You do not get a login and a manual. We spend time in your studio, build Verity around how your projects move from brief to handover, bring your data in, then stay to see that it keeps working.

  1. Week 1

    Discovery and mapping

    What we do
Sit with the principal and two project architects. Follow one live project from agreement to drawing issue, and one sanction file from submission to approval. Note where revisions, queries and invoices get lost.
    What we need from you
Two to three hours of yours. A current fee agreement, a project list and one sanction file to walk through.
What you have at the end
A written map of your studio: stages, sheet numbering, authorities, consultants, fee terms and the first gaps we will close.
  2. Weeks 2 to 3

    Configuration

    What we do
Set up your stage templates, drawing register, sanction checklists for the authorities you use, fee schedule templates, hour categories and roles, and build the six screens around your own terms.
    What we need from you
Check the stage names and checklists with your project architects. Tell us where a rule is wrong.
What you have at the end
A working Verity with your real projects, consultants and rules, ready for your data.
  3. Weeks 3 to 4

    Migration and training

    What we do
Bring in live projects, fee schedules, consultants, sanction files and the current drawing list from your sheets and folders. Train the team on their own projects.
    What we need from you
Your project list, agreements for live jobs and the latest issued set per project. One hour with each role.
What you have at the end
Your live projects inside Verity with the right revision on every sheet, and a team that has logged a real week.
  4. After go-live

    Operations partnership

    What we do
Stay on after launch. Review the first month of hours and fee stages with you, adjust templates, and handle new authorities, consultants or project types.
    What we need from you
A short monthly review of what the numbers say.
What you have at the end
A system that keeps matching how the practice runs, with someone responsible for it.

Bring these on day one

  • Fee agreements for live projects
  • A list of live projects with stage and consultants
  • The latest issued drawing list for each live project
  • Open sanction files and query letters
  • Your team list with roles

Your time

About 9 to 11 hours of your own time across the four weeks, mostly in week 1. Project architects need a few more.

After go-live

Nobody is hired to run Verity. Hours, revisions and queries are recorded as part of work your team already does, and the reports come from those records.

Rules and paperwork

The rules an architecture practice has to keep up with.

Verity does not give legal advice and does not file anything for you. It keeps the records these rules depend on in order, so you are not hunting for them when someone asks.

  • Registration with the Council of Architecture

    What is expected

The Architects Act, 1972 provides for the registration of architects, and a person who wants to practise as an architect generally has to be registered with the Council. Your registration, and that of each architect who signs drawings, needs to be valid.

    How Verity helps

Each architect's registration number and renewal date sit on their record, with a task before it lapses.

    India Code, Architects Act 1972

  • Conditions of engagement and scale of charges

    What is expected

The Council's Architects (Professional Conduct) Regulations, 1989 deal with conduct, conditions of engagement and the scale of charges, and an architect in private practice is generally expected to give the client the conditions. Some commentators call the scale a minimum and say it is often not followed. Check the current text on the Council's site.

    How Verity helps

The engagement terms and agreed fee stages sit on each project, with the signed agreement attached and the changes to scope recorded.

The Wire on the Council of Architecture

  • Building plan sanction

    What is expected

Plans generally need sanction from the local authority before building starts. Many cities now use online systems, and the process, checklist and timelines differ by city and state. Some cities allow registered architects to submit under self-certification.

    How Verity helps

Each authority has a checklist template, and every project's file lists queries with due dates and replies.

    Aurum PropTech on Chandigarh, 2026

  • Architect's certificates for RERA projects

    What is expected

Under RERA, 70 percent of the money realised from buyers generally goes into a separate account, and withdrawals need certificates from an engineer, an architect and a chartered accountant in practice that match completion. Form numbers and procedure differ by state.

    How Verity helps

Each certificate request is a task with the site visit and progress behind it, and every certificate issued is stored with its date and scope.

Business Today on RERA Section 4(2)(l)(D)

Rules differ by city and state and change often. Confirm current requirements with the Council of Architecture, the local authority, your state RERA and your adviser.

Who sees what

Everyone sees the same records, through their own window.

A junior architect should not see the studio's margins. A client should never see another client's file. Each role opens on what it needs.

  • Principal

Which projects are making money and which are stuck?

Stage, hours against plan, unpaid fee stages, sanction queries and who is overloaded, across all projects.

  • Project architect

What is due on my projects this week?

Drawing register, change requests, consultant deliverables, sanction queries and site visits for the projects assigned to them.

  • Draftsman or junior

What do I draw next and for whom?

Assigned sheets with revision notes, due dates and the hours form for the day.

  • Accounts

Which stage can I invoice and which is unpaid?

Signed-off stages ready to bill, invoices issued, payments received and days outstanding.

  • Liaison or consultant

What is my part and when is it due?

Their own deliverables, queries to answer and documents needed for the files they handle.

Straight answers

What changes, and what stays the same.

Keep using

  • Your drawing and modelling software. Drawings stay where you make them, and Verity records the issue and the revision.
  • Your accounting package and your accountant. We agree during setup how fee invoices reach Verity.
  • Email and WhatsApp with clients and contractors. Your team replies
  • Verity tracks who owes a reply.
  • Your own sheet numbering and stage names.

Verity does not

  • Draw, model or check drawings.
  • Submit plans to a municipality or a RERA portal for you.
  • Send messages to clients or consultants on its own.
  • Prepare returns or run your payroll.

We bring in your live projects, fee schedules, consultant lists, sanction files and drawing registers from the sheets and folders you use now, one project at a time, so work does not stop.

  • Excel
  • Google Sheets
  • Legacy ERP
  • CRM
  • One operating environment

Questions

Questions architects ask.

Does Verity replace my drawing software?

No. You keep drawing where you draw. Verity records each sheet, its revision, who it was issued to and when, and keeps the fee, approvals and site work around it.

Will my team log hours without grumbling?

Only if it takes a minute, so hours are a short end-of-day form with the project, the stage and the number. We start with project and stage only and add detail once the habit holds.

Can it help me stop doing unpaid change rounds?

It cannot decide for you, but it shows each change request against the rounds in your agreement and opens a variation quote task past that point. The principal still decides whether to charge.

Does it submit plans to the municipality?

No. Verity does not submit to any portal. It keeps the checklist, the file, the queries and the reply dates, so your team files and answers on time.

We are three people. Is this too much?

A three-person studio has the same revisions, queries and unpaid stages with fewer people to remember them. We set up only what you need in the same four weeks.

Can clients see their project?

Not unless you decide so. Access is set by role and by project, and a client view of selected items such as the drawing register can be agreed during setup.

How do you handle projects already in progress?

We bring each live project in at its current stage with the latest issued revision per sheet, the fee stages already billed and the open sanction queries. Closed projects can come in later as archives.

Can I track RERA certificates for developer clients?

Yes as records and tasks: each request, the site visit behind it and the certificate issued. Verity does not prepare or file anything with RERA, and form rules differ by state.

Who can see my data?

Only the people you allow. Access is set by role and project, and every change is recorded with who made it and when.

What does it cost?

It depends on the number of people, projects and what you want set up. Message us and we will give you a clear number after a short conversation about how your studio runs.

Start with the fee stage nobody invoiced.

Tell us how your studio runs and we will show you the unpaid stages, the hours over plan and the open sanction queries it would find, using your own numbers.
