Verity for CA firms

A CA firm has hundreds of due dates, and every one is somebody's reputation.

A chartered accountancy practice carries a calendar that never empties: GST every month, TDS every quarter, advance tax, audits, returns, ROC filings, notices. Each belongs to a client, each needs documents the client may not have sent, and each needs someone to prepare and someone to review. A date missed is a penalty for the client and a bad day for you. Verity puts every client, every filing, every working paper and every fee in one record, so the calendar is a plan and not a fear.

Verity in one line

One system that knows every client's compliance calendar, every document you are waiting for, every article assistant's workload and every fee owed, and tells you what needs a partner today.

Free: we set up a working demo of your own business, on your own data, within 7 days. You pay only if your team decides to use it.

Built for a practice where partners sign and staff prepare. Preparing, reviewing and signing are separate steps in the record, as they are in your firm.

How it runs today

Most CA firms manage a large and strict calendar with a whiteboard and a good memory.

The work has a shape. Every month, every quarter, every year, the same filings return, each with a due date set by the government and not by you. What changes is the client mix, the staff and the notices that arrive without warning.

The calendar is usually a sheet kept by a manager. Documents come through WhatsApp, email and couriers. Working papers sit on staff laptops. Fees are billed after the busy season, when someone has time. The partner signs, and holds the risk for all of it.

The profession is large and competitive. As of February 2025, there were about 4.08 lakh ICAI members, of whom about 1.6 lakh held a certificate of practice, and nearly 99,000 registered firms. Clients can compare, and expect fast, accurate, responsive service.

What most CA firms run on

  • A manager's due date sheet or wall calendar
  • Tally, GST and income tax software
  • WhatsApp groups per client
  • Shared drives and staff laptops for working papers
  • Excel for fees and outstanding

Each tool does its own job. None of them tell the partner, before the last week, that a filing is about to be late.

16 problems, one by one

Where a CA firm actually loses time, money and sleep.

These are the situations partners and managers of CA practices describe again and again. For each one: what it looks like on an ordinary day, what it costs, and what Verity does about it.

  1. 01Compliance

A compliance calendar that depends on one person

    What it looks like

The manager who keeps the due date sheet is on leave in the week of the quarterly TDS returns. The sheet is on her laptop, and the dates for new clients were never added.

    What it costs you

Late fees and interest fall on the client and the blame falls on the firm. For monthly GST returns, the late fee is generally ₹50 a day for returns with tax, subject to caps.

    How Verity fixes it

Each client has a record of its registrations and filing frequency, and every due date follows from it. Verity shows what is due this week across all clients, who is preparing and who is reviewing, and it does not depend on any one laptop. Your team files on the government portals; Verity keeps the plan and the status.

    See the screen
  2. 02Compliance

Rule changes that nobody applies to each client

    What it looks like

The Income-tax Act, 2025 came into force on 1 April 2026, while FY 2025-26 income is generally still assessed under the 1961 Act. A new return form, a changed threshold or a new portal advisory arrives, and the team asks which clients it touches.

    What it costs you

Work done under the wrong assumption, rework on filing day and clients who ask the firm questions it cannot quickly answer.

    How Verity fixes it

A change is logged once with the clients it touches, such as by registration type, turnover band or entity type. Verity creates a review task for each affected client's lead, and the decision is written on the client's record.

    See the screen
  3. 03Clients

Clients who send documents on the last day

    What it looks like

The ITR or audit deadline is eight days away and a client's bank statements, loan certificates and TDS certificates are still missing. The client says "I thought it was ready."

    What it costs you

The staff work through the night, quality drops and review gets squeezed. A vendor guide for CA firms says bills stack up and bank statements arrive late every month and puts the overtime at 10 to 15 days; that is a vendor claim, but the pattern is familiar.

    How Verity fixes it

Every assignment has a document checklist built from the client's type. Verity shows what has arrived and what is missing for every client, orders them by due date, and creates a chase task for the owner. Your team sends the request; Verity tracks it.

    See the screen
  4. 04Clients

WhatsApp as the only record of what was asked

    What it looks like

A client says he sent the Form 16 on the 3rd. The staff member who handled it has left. Nobody can find the message.

    What it costs you

Arguments with clients, repeated requests and no audit trail. An ICAI AI platform article names this exact pattern: a crowded WhatsApp channel and no record of what was sent, when and by whom.

    How Verity fixes it

Requests and receipts are recorded against the client and the assignment, with the date, the document and the person. Anyone in the firm can see what was asked and what came back.

    See the screen
  5. 05Assignments

Working papers and audit files on staff laptops

    What it looks like

An audit assistant keeps the sampling, the confirmation letters and the ledger scrutiny in a folder on his laptop. He is moved to another client in the middle of the audit.

    What it costs you

Lost evidence, repeated work and a review that cannot be done without the person who prepared the files.

    How Verity fixes it

Each assignment is a record with stages: planning, fieldwork, review, report. Working papers attach to the stage, with who prepared and who reviewed them and when. A new person can pick the file up from the record.

    See the screen
  6. 06Assignments

    Review bottleneck at the partner

    What it looks like

Forty returns and three audit reports are waiting for partner review in the last week of September. The partner reviews in the order they were handed over and not in the order of urgency.

    What it costs you

Rushed reviews are where errors slip through, and every error carries the partner's signature.

    How Verity fixes it

Each item waiting for review shows its due date, the reviewer and any open points. Verity sorts the review queue by deadline and risk, and shows the partner what must be reviewed first.

    See the screen
  7. 07Compliance

Certificates and reports signed without a clean trail

    What it looks like

A bank asks for a net worth certificate, a turnover certificate and a stock statement review on the same day. Each has to be checked, signed and logged.

    What it costs you

ICAI made UDIN mandatory for practising CAs from 1 January 2019, so the partner has to generate a number for each certified document. A missed or mistaken UDIN is a professional conduct risk and a client embarrassment.

    How Verity fixes it

Each certificate or attest assignment is a record with the document, the reviewer, the sign-off state and a field for the UDIN generated on ICAI's portal. Verity shows signed items without a UDIN so the gap is caught before the document leaves.

    See the screen
  8. 08Compliance

Notices arrive and the reply date is missed

    What it looks like

A client forwards a photo of a departmental notice a week after it arrived. The reply window has shortened. The notice was addressed to a registered mobile no one checks.

    What it costs you

Ex parte orders, extra penalties and an urgent reply drafted in a day.

    How Verity fixes it

A notice is a record against the client with the section, the authority, the date received and the reply date. Verity assigns it to a senior, lists notices by due date and shows the reply status. Your team replies on the portal.

    See the screen
  9. 09People

Article assistants and juniors overloaded or idle

    What it looks like

One article assistant is on four audits and a tax matter, while another is learning slowly on a single client. Training depends on who the senior happens to be.

    What it costs you

Burnout, mistakes and slow learning. The firm also loses the chance to see who is ready for more.

    How Verity fixes it

Verity shows each person's assignments, due dates and logged hours side by side, and a training log shows who has worked on what. Partners assign new work from this view and rebalance before the crunch.

    See the screen
  10. 10Money

Fees billed late and work done on assurances

    What it looks like

A client's annual retainer and tax return work are billed after the return is filed. An audit client gets the report before the fee is settled.

    What it costs you

Cash tied up in receivables and little pull after the work is done. Example arithmetic: ₹22 lakh outstanding over 90 days is cash the firm has lent without interest.

    How Verity fixes it

Each assignment has its fee terms and invoice dates. Verity raises invoice tasks at the agreed stage, ages unpaid invoices by client and shows the partner the follow-up list with reminders noted. The firm bills and collects; Verity tracks it.

    See the screen
  11. 11Money

Out-of-scope work that is never billed

    What it looks like

A client under a GST retainer asks for a loan proposal, a CMA report and advice on a restructure. The partner agrees in a phone call.

    What it costs you

Unbilled hours, usually the most valuable ones.

    How Verity fixes it

Each client has an engagement scope. Extra requests are logged as assignments with hours, and Verity flags work that falls outside what was agreed so a quote can be sent first.

    See the screen
  12. 12Owner

Which clients earn and which clients drain

    What it looks like

The partner suspects that some of the smallest clients take the most hours, but time is never logged.

    What it costs you

Pricing is guesswork, and bad clients are kept for sentimental reasons.

    How Verity fixes it

Staff log time against clients and assignments. Verity compares fee, hours and internal cost per client, partner and service line, showing where the practice earns and where it loses.

    See the screen
  13. 13Compliance

Client data on personal phones and in chats

    What it looks like

PAN, Aadhaar, bank statements and Form 26AS sit on staff phones and in unmanaged shared folders. A staff member who has left still has copies.

    What it costs you

A data leak is a trust problem for a profession built on confidentiality, and the Digital Personal Data Protection Rules were notified in November 2025, with most duties applying about 18 months later.

    How Verity fixes it

Documents are records with permissions by role and client, and every view and download is logged. Closing a leaver's access is one step.

    See the screen
  14. 14Compliance

Thresholds nobody watches: e-invoicing, audit limits, registration

    What it looks like

A client's turnover crosses a limit during the year. The limit changes what applies: e-invoicing, GST registration category or audit. Nobody revisits the client until the audit starts.

    What it costs you

Rework and non-compliance that the client discovers after the fact.

    How Verity fixes it

Turnover to date and the relevant thresholds are shown on each client's record, with a review task as a client approaches one. The partner decides what applies; Verity makes sure the question is raised in time.

    See the screen
  15. 15Clients

New clients onboarded in a rush

    What it looks like

A referral arrives on the 25th of the month. KYC, previous returns, engagement letter and access to portals are collected over three weeks and the first filing is already due.

    What it costs you

A shaky start and an engagement letter that does not match what was agreed.

    How Verity fixes it

A standard onboarding checklist creates tasks for the partner and the manager. The engagement letter, scope and fee terms are on the client record from the first day.

    See the screen
  16. 16Owner

The partner has no single picture of the practice

    What it looks like

At the end of a season the partner asks how many filings were late, how many clients are unpaid and who worked the most. Nobody can answer from one place.

    What it costs you

Hiring, pricing and the next season are planned from memory.

    How Verity fixes it

The owner's screen shows due dates, documents missing, review queue, assignments by stage, fees owed and hours by person, live from the records.

An ordinary day

The same last week of September, before and after.

What changes is not the profession. It is that the calendar, the chase and the review queue are in one record.

WhenTodayWith Verity
9:00 TodayThe manager looks through her sheet and a WhatsApp group to see what is due and what has arrived. With VerityThe calendar shows 64 filings due in seven days, with nine not yet prepared and the reason for each.
11:00 TodayA client forwards a photo of a notice that arrived a week ago. With VerityThe notice is logged in a minute, assigned to a senior and shows on the calendar with a reply date.
1:30 TodayThe partner is told on Friday that an audit has no confirmations yet. With VerityThe assignment board showed "waiting on confirmations" four days earlier and the chase task was already open.
4:00 TodayReview is done in the order papers reached the partner's desk. With VerityThe review queue is sorted by deadline, so the three items due in two days are first.
7:00 TodayA certificate leaves the office, and later someone notices there is no UDIN on file. With VerityThe certificate cannot be marked ready until the UDIN is recorded, so the gap is caught before it goes.
Month end TodayFees are billed after the rush, in the order someone remembers. With VerityInvoice tasks were raised at the agreed stages, and overdue clients are already on a follow-up list.

How we work with you

We set it up with you, in four weeks.

You do not get a login and a manual. We sit in your office through a real filing week, build Verity around how your clients and assignments move, bring your data in, then stay on.

  1. Week 1

    Discovery and mapping

    What we do
Sit with a partner, a manager and two seniors during a busy filing week. Follow a client from engagement to filing to bill, and note where the dates, documents and reviews are held today.
    What we need from you
Two to three hours of a partner's time and an hour from the manager and each senior. Your client list with registrations, your due date sheet and a sample of recent assignments.
What you have at the end
A written map of your practice: service lines, client types, filing calendars, review steps, fee terms, team and the first gaps we will close.
  2. Weeks 2 to 3

    Configuration

    What we do
Set up client types and registrations, filing calendars, document checklists, assignment stages for audits and certificates, notice handling, time codes, engagement scopes, invoice schedules and permissions for partners, staff and clients.
    What we need from you
Review the setup with a manager and two seniors. Tell us where a stage, a checklist or a review step is wrong.
What you have at the end
A working Verity with your calendars, checklists and fee terms, ready for your data.
  3. Weeks 3 to 4

    Migration and training

    What we do
Bring in your clients, registrations, live assignments, open notices and unpaid fees from the sheets and files you use. Train partners, managers and article assistants at their desks.
    What we need from you
Your client sheet and due-date sheet in whatever form they exist, and a check of the live dates. An hour with each role.
What you have at the end
Your clients, dates and fees inside Verity, and a team that has run part of a filing week on it.
  4. After go-live

    Operations partnership

    What we do
Stay on after launch. Review the first filing cycle with you, tune the calendars and reminders, and handle changes when you add clients, services or staff.
    What we need from you
A short monthly review with a partner.
What you have at the end
A system that keeps matching how the practice runs, with someone responsible for it.

Bring these on day one

  • Your client list with entity type, registrations and turnover band
  • Your current due-date sheet or calendar
  • A list of live assignments with their stage
  • Engagement letters and fee terms
  • Staff roles and a list of open notices

Your time

About 10 to 12 hours of a partner's time across the four weeks, mostly in week 1. Managers and seniors need a few more.

After go-live

Nobody is hired to run Verity. Dates, documents and hours are recorded as part of work the team already does.

Verity AI

Ask your practice a question. Get an answer, not a report to build.

Verity AI reads your own clients, filings, documents, assignments and fees, and only what the asker is allowed to see. Ask in plain language, then turn the answer into tasks.

  • Your records only Answers come from your own CA firms data, not from generic knowledge.
  • Right person, right view It only shows what the person asking is allowed to see.
  • Turns into action An answer can become a task assigned to a named person.

Verity / Ask

Which filings are due in the next seven days and not yet prepared?

Nine of 64. Five are GST returns, three are TDS returns and one is a notice reply.

  • GST returns5 (Kabir 3, Anjali 2)
  • TDS returns3 (Anjali)
  • Notice reply1 (unassigned)

Assign and set internal due dates

Verity / Ask

Which clients are near a turnover threshold that changes what applies?

Four clients are within 10 percent of a limit this year.

  • Sai Pharma₹4.6 crore against ₹5 crore
  • Mehra Traders₹4.7 crore
  • Others2 clients

Create review tasks for the account lead

Verity / Ask

Which retainer clients cost more in hours than they pay in fees?

Three this quarter. Sai Pharma has the largest gap.

  • Sai Pharma₹71,000 cost against ₹90,000 billed over 3 months, with CMA work unbilled
  • Others2 clients

Open a scope and fee review for each

Without chasing

The follow-ups nobody has time to make.

Set once, then they run from your records. Your team still talks to clients and files on the portals; Verity makes sure the right person knows what to do.

Rules and paperwork

The rules a CA firm has to keep up with.

Verity does not give tax, audit or legal advice and does not file anything. It keeps the calendar and the records these rules depend on in order, so your team prepares and the partner signs from a clear position.

  • Filing calendars across taxes

    What is expected

GST, TDS, income tax and company filings each have their own dates, and the Income-tax Act, 2025 came into force on 1 April 2026 while FY 2025-26 income is generally still assessed under the 1961 Act. Monthly GSTR-1 and GSTR-3B are generally due on the 11th and 20th.

    How Verity helps

Each client's filings and due dates follow from its registrations, with a preparer and a reviewer for each.

    Patron Accounting, 2026

  • UDIN for certified documents

    What is expected

ICAI made UDIN mandatory for practising CAs from 1 January 2019. It is generated on ICAI's portal and lets banks and regulators verify a certified document. The scope by document type was phased in, so check ICAI's current directions.

    How Verity helps

Certificate and attest assignments carry a UDIN field and cannot be marked ready without it.

    TaxGuru, 2018

  • E-invoicing and other thresholds

    What is expected

E-invoicing generally applies where turnover exceeded ₹5 crore in any year since FY 2017-18, with a 30-day reporting limit for ₹10 crore and above from 1 April 2025.

    How Verity helps

Turnover to date and key limits are shown on each client, with a review task as one is approached.

    TaxGuru, 2026

  • Data protection and confidentiality

    What is expected

The Digital Personal Data Protection Rules were notified on 13 November 2025, with most duties due about 18 months later. Professional confidentiality duties apply separately under ICAI's code.

    How Verity helps

Client documents carry role and client permissions, and views and downloads are logged.

Rules, dates and thresholds change by notification and differ by taxpayer type. Confirm current requirements with ICAI, the official portals and the Acts.

Who sees what

Everyone sees the same records, through their own window.

An article assistant should not see every client's fee. A client should only see their own documents. Each role opens on what it needs.

  • Partner

Is the practice on time, safe and getting paid?

Filings due, review queue, notices, signed items without UDIN, fees owed and each person's load.

  • Manager

What is due this week and who can take more?

The calendar, missing documents, assignment stages, reviews pending and team capacity.

  • Senior

What do I prepare and review?

Own clients, filings, working papers, review points and time entry.

  • Article assistant

What is on my list and what am I learning?

Assigned tasks, checklists, supervised work and a training log.

  • Client (view only)

What have I sent and what is still needed?

Their own checklist, notices and invoices, and nothing else.

Straight answers

What changes, and what stays the same.

Keep using

  • Tally, GST and income tax software your team uses. We agree during setup how data reaches Verity.
  • The government portals where your team files and replies.
  • ICAI's UDIN portal for generating numbers.
  • WhatsApp and email for clients. Staff reply
  • Verity tracks who owes a reply.

Verity does not

  • File returns, reply to notices or make payments on any portal.
  • Generate UDINs or sign anything for you.
  • Give tax, audit or legal advice.
  • Send reminders to clients on its own.

We bring your clients, registrations, live assignments, open notices and unpaid fees across from the sheets, folders and chats you use now, in stages, so filings continue without a break.

Questions

Questions chartered accountants ask.

Does Verity file returns or generate UDINs?

No. Your team files on the government portals and the signing partner generates the UDIN on ICAI's portal. Verity records the status and the number, and makes sure nothing leaves without it.

Will it replace Tally or my tax software?

No. Your team keeps using them. Verity runs the calendar, documents, assignments, hours and fees around that work.

How does it keep up when rules change?

You or your manager log the change and the clients it touches by registration, entity type or turnover band. Verity creates review tasks for each lead. It does not interpret the law, and your team decides what applies.

I run a five-person practice. Is this too much?

A small practice has the same calendar with fewer people to hold it. We set up only what you need, in the same four weeks, and leave out what you do not.

Can my clients see anything?

Only if you choose. A client can have a view of their own checklist, notices and invoices, and nothing about other clients. We agree this with you during setup.

Can it track audit working papers?

It holds them as records on the assignment stage, with who prepared and who reviewed. It does not replace audit software your firm may use. We agree what sits where during setup.

How does it help with article assistants?

It shows each person's load and keeps a training log, so work and learning are spread fairly and a partner sees who is ready for more.

Who can see my data?

Only the people you allow. Access is set by role and by client, and every view and change is recorded with who made it and when.

How soon will I see something useful?

The compliance calendar and the missing documents list need only your existing client data, so we aim to have them first. Profitability becomes reliable after a few weeks of logged time.

What does it cost?

It depends on the number of staff and clients and what you want set up. Message us and we will give you a clear number after a short conversation about how your practice runs.
