Verity for accounting firms

An accounting firm runs on other people's paperwork. The delay is almost always upstream.

Your team can close a client's books in a day, once the bank statement, the purchase bills and the sales register arrive. They rarely arrive together, or on time. So the month turns into a chase: who has sent what, who is waiting, which books are stuck and which fee is unpaid. Verity gives every client a monthly checklist, every task an owner and every document a record, so the chase happens from one screen and not from forty WhatsApp chats.

Verity in one line

One system that knows what each client owes you in documents, what each accountant owes in work, and what each client owes in fees, and tells you what is stuck today.

Free: we set up a working demo of your own business, on your own data, within 7 days. You pay only if your team decides to use it.

Built for teams that work in Tally or similar tools all day. Verity sits around that work and does not ask your staff to key anything twice.

How it runs today

Most accounting practices are efficient inside the books and chaotic around them.

The real work of a bookkeeping or accounting practice is predictable: collect inputs, post entries, reconcile, prepare monthly statements, support statutory returns and answer the owner's questions. What breaks the rhythm is that inputs come from clients who are running their own businesses.

The documents arrive in WhatsApp, email, a courier bag and a shared drive. Someone has to download, rename and sort them, and then remember which client is still missing which month. An article on the ICAI's own AI platform describes exactly this: hours lost chasing documents, a crowded WhatsApp channel and no record of what was sent, when and by whom.

Work is tracked on a whiteboard or an Excel sheet. Hours are not tracked at all, so the firm cannot say which clients are profitable. Fees are invoiced late and followed up when someone remembers.

What most accounting firms run on

  • Tally or other accounting software
  • Excel sheet of clients and monthly status
  • WhatsApp groups per client
  • Email and shared drive for documents
  • A whiteboard or sheet for who is doing what

The accounting software is good at the books. Nothing connects the books to the people, the documents and the money owed to you.

15 problems, one by one

Where an accounting firm actually loses time and money.

These are the situations partners and managers of accounting practices describe again and again. For each one: what it looks like on an ordinary day, what it costs, and what Verity does about it.

  1. 01Clients

Documents arrive late, partial and in the wrong place

    What it looks like

It is the 8th. A retail client has sent the bank statement but not the purchase bills. A trader sends photos of bills on WhatsApp at 11 pm. A manufacturer says the files are "in the drive", but the link is not shared.

    What it costs you

Books cannot be closed, and the staff who were meant to start on the 5th sit waiting, then work at night to catch up. A vendor guide on CA firms puts the cost at 10 to 15 days of overtime a month, a vendor claim worth testing with your own numbers.

    How Verity fixes it

Each client has a monthly checklist of what you need: bank statements, purchase and sales registers, expense bills, payroll summaries. Verity shows what has arrived and what is missing for every client, and a task goes to the account owner for each gap. Staff send the reminder; Verity tracks who owes what.

    See the screen
  2. 02Work

Nobody knows which clients are stuck, and where

    What it looks like

The partner asks, "Where are we on the March close?" Three accountants give three answers. One client is waiting for a query reply, another for a review, a third for a bank statement.

    What it costs you

A month-end that slips for one client slips for others because the same people are pulled across. Surprises reach the partner when the client is already upset.

    How Verity fixes it

Each client's month is a set of stages: documents in, posted, reconciled, reviewed, delivered. Verity shows the board by stage and by person, with the oldest items first, so the partner sees the real position without asking.

    See the screen
  3. 03Clients

Queries sit in WhatsApp and are answered once

    What it looks like

An accountant asks a client what a ₹1.2 lakh transfer was for. The client replies two days later in a voice note. The answer is not written next to the entry, and the same query comes up next month.

    What it costs you

Rework each month, mistakes in classification and no record to show a reviewer or an auditor why an entry was made.

    How Verity fixes it

Queries are records against the client and the period, with the entry, the question, the answer and who answered. Open queries age on the screen and the answer stays with the record.

    See the screen
  4. 04Work

Reconciliations that live on one person's laptop

    What it looks like

Bank reconciliation for a distributor is in Excel with the senior. She goes on leave, and nobody knows which entries were matched, which are pending and why.

    What it costs you

Reconciliation is the first thing to go wrong when staff change, and old unmatched items grow into year-end clean-up work.

    How Verity fixes it

Reconciliation is a task per account per month with a status, the unmatched count and a reviewer. Working papers attach to the task, so another accountant can pick up the work from the record.

    See the screen
  5. 05People

Staff workload is set by who shouts loudest

    What it looks like

One accountant handles 18 clients and works until 10 pm. Another has 11 and leaves at 6. The manager gives the next new client to whoever happens to be near.

    What it costs you

Overtime, errors in the overloaded and boredom in the underloaded, until the overloaded person leaves and takes her clients' knowledge with her.

    How Verity fixes it

Verity shows each person's clients, open tasks, due dates and logged hours side by side, so new work goes to someone with room and the manager can rebalance before the crunch.

    See the screen
  6. 06People

Hours are not tracked, so profitability is a guess

    What it looks like

A small client on a fixed monthly fee of ₹6,000 sends 40 messages a month and needs three corrections. A larger client on ₹25,000 hardly calls. The firm thinks it earns more on the first.

    What it costs you

Fixed fees that look fine on paper can lose money in hours. Example arithmetic: 30 hours a month at an internal cost of ₹400 an hour is ₹12,000 against a ₹6,000 fee.

    How Verity fixes it

Staff log time against the client and task in a few taps. Verity compares fee, hours and internal cost for every client and shows the ones that lose money, so the fee, scope or work can be changed.

    See the screen
  7. 07Money

Fees billed late and chased from memory

    What it looks like

Quarterly fee notes go out in the second week of the next quarter. A client is 70 days overdue and the last reminder was a casual WhatsApp from a junior.

    What it costs you

Cash tied up in receivables, and a service that goes on after the fee has stopped.

    How Verity fixes it

Each client's fee terms and invoice dates are recorded. Verity raises invoice tasks on schedule, ages unpaid invoices and gives the partner a follow-up list with every reminder noted. The firm sends the bill and takes the payment; Verity tracks it.

    See the screen
  8. 08Money

    Scope creep that nobody prices

    What it looks like

A client signed up for monthly bookkeeping. Now they ask for a loan proposal, a GST notice reply and a stock statement for the bank. All done as favours.

    What it costs you

Unpaid work builds up quietly, and it is never discussed because each piece looks small.

    How Verity fixes it

Each client has an engagement record that lists what is in scope. Extra requests are logged as separate tasks with hours, and Verity flags work outside scope so the partner can quote it.

    See the screen
  9. 09Compliance

GST and TDS due dates tracked on a sheet

    What it looks like

Monthly return dates are tracked in a calendar the manager keeps. A client moves from monthly to quarterly filing, or crosses a turnover limit, and nobody updates the sheet.

    What it costs you

Late fees and interest, borne by the client and blamed on the firm. For monthly returns the due dates generally fall on the 11th and 20th of the next month, and the late fee is generally ₹50 a day for returns with tax, subject to caps.

    How Verity fixes it

Each client's registrations and filing frequency are records, and due dates follow from them. Verity shows what is due this week across all clients, who is preparing and who is reviewing. Your team prepares and files on the portal; Verity keeps the calendar and the status.

    See the screen
  10. 10Compliance

A client crosses the e-invoicing threshold and nobody notices

    What it looks like

A trading client's turnover has crept past the limit. Its invoices are still raised in the old way, and the firm hears about it at the next audit.

    What it costs you

Rework, rejected input credits for the client's customers and an uncomfortable conversation.

    How Verity fixes it

Each client's turnover to date and the thresholds that matter to them are shown on the client record, with a review task when they come close. The accountant decides what applies; Verity makes sure the question is asked in time.

    See the screen
  11. 11Compliance

Client files on personal devices and in chats

    What it looks like

Statements, PAN and Aadhaar copies, salary data and payment screenshots are on staff phones and in WhatsApp backups. When a person leaves, so does the data.

    What it costs you

A data leak is a serious client trust issue, and the Digital Personal Data Protection Rules notified in November 2025 are due to apply to most organisations that handle personal data about 18 months later.

    How Verity fixes it

Client documents are records with permissions by role and by client, and every view and download is logged. Closing a leaver's access is one step.

    See the screen
  12. 12Clients

Onboarding a new client takes weeks

    What it looks like

A new client signs up. KYC copies, opening balances, chart of accounts, old returns and passwords arrive over three weeks, and no one is sure what has been received.

    What it costs you

A slow start sets the tone for the relationship, and the first month's books are always shaky.

    How Verity fixes it

A standard onboarding checklist creates tasks for the account owner and shows what is missing. The client record holds the chart of accounts notes, contacts and the agreed calendar from day one.

    See the screen
  13. 13People

Staff leave and the client history goes with them

    What it looks like

The accountant who has handled a client for three years resigns. The replacement does not know the quirks: the owner's personal expenses in the business account, the vendor with two names, the monthly journal for a loan.

    What it costs you

Repeated mistakes and a client who feels the service has dropped.

    How Verity fixes it

Notes, standing instructions and recurring entries are kept on the client record and on tasks. Reassigning a client moves its tasks and history to the new person.

    See the screen
  14. 14Owner

The owner cannot see all clients in one place

    What it looks like

With 60 clients, the partner relies on conversations in the corridor. Which are overdue, which are unhappy, which are unprofitable and which owe fees?

    What it costs you

Decisions on hiring, pricing and which clients to keep are made by feel.

    How Verity fixes it

The partner's screen shows documents missing, books stuck by stage, filings due, fees outstanding and hours against fees, per client and per person.

    See the screen
  15. 15Work

    Year-end becomes a rebuild

    What it looks like

At year end the auditor asks for vouchers, confirmation letters and explanations for entries made months ago. The team searches chats and drives.

    What it costs you

Weeks lost at the busiest time, and audit points that could have been avoided.

    How Verity fixes it

Documents, queries and reconciliations were attached to each month's work, so the year-end pack is already in the record. Open items are visible weeks before the auditor asks.

  • No audit trail

is how an article on the ICAI's own AI platform describes document chasing over WhatsApp in a CA practice: hours lost, requests buried and no record of what was sent, when and by whom.

    AI in ICAI, 2026

The ICAI figures are a 28 February 2025 snapshot reported by a tax portal. The late fee and threshold details come from tax-news sites and software guides, not the notifications themselves, so confirm them on the GST portal. The overtime range is a software vendor's claim and is not an independent measurement.

An ordinary day

The same 8th of the month, before and after.

What changes is not the accounting. It is that the chase, the queue and the fee follow-up are all in one record.

WhenTodayWith Verity
9:30 TodayThe manager scrolls through five WhatsApp groups to see who has sent what. With VerityThe documents screen shows 17 clients with something missing, oldest first, and a task for each account owner.
11:00 TodayAn accountant asks a client a question and the answer arrives as a voice note at night. With VerityThe query is on the client's record, and the answer is written beside the entry when it arrives.
1:00 TodayThe partner finds out in the lift that one client's close has not started. With VerityThe close board showed the client in "waiting for client" six days ago, with an escalation task already open.
3:30 TodayA junior is given a new client because he is nearest the manager. With VerityThe team screen shows who has room, and the new client goes to Anjali.
6:00 TodayHours for the month are guessed on a sheet at the end. With VerityTime was logged against clients as the day went, so the fee-against-hours view is already up to date.
Month end TodayFee notes are raised when someone has time and overdue clients are chased from memory. With VerityInvoice tasks were created on the dates in each engagement, and the overdue list has a reminder history.

How we work with you

We set it up with you, in four weeks.

You do not get a login and a manual. We sit with your team during a real month-end, build Verity around how your clients and work flow, bring your data in, then stay on.

  1. Week 1

    Discovery and mapping

    What we do
Watch a month-end close from the 1st to the 10th, or sit with the team through its last few days. Follow a document from the client's phone to the finished statements, and note where it waits.
    What we need from you
Two to three hours of a partner's time and an hour from each senior accountant. Your client list, engagement terms and a sample month of tasks.
What you have at the end
A written map of your practice: client types, monthly stages, filing calendar, fee terms, team and the first delays we will remove.
  2. Weeks 2 to 3

    Configuration

    What we do
Set up client types, monthly checklists, stages, filing calendars by registration, time codes, engagement scopes, invoice schedules and permissions for partners, seniors, juniors and clients.
    What we need from you
Review the setup with one manager and two accountants. Tell us where a checklist or a stage is wrong.
What you have at the end
A working Verity with your clients' checklists, calendars and fee terms, ready for data.
  3. Weeks 3 to 4

    Migration and training

    What we do
Bring in your client list, registrations, engagement terms, open tasks and unpaid fees from your sheets. Train partners and accountants at their desks with real clients.
    What we need from you
Your client sheet in whatever form it exists, and an hour with each role.
What you have at the end
Your clients, calendars and fees inside Verity, and a team that has run part of a close on it.
  4. After go-live

    Operations partnership

    What we do
Stay on after launch. Review the first closes, tune the checklists and reminders, and handle changes when you add clients, services or staff.
    What we need from you
A short monthly review with a partner.
What you have at the end
A system that keeps matching how the practice works, with someone responsible for it.

Bring these on day one

  • Your client list with services and fee terms
  • GST, TDS and other registrations per client
  • Last month's close tracker or whiteboard photo
  • Sample engagement letters
  • Staff list with roles

Your time

About 8 to 10 hours of a partner's time across the four weeks, mostly in week 1. Managers and seniors need a few more.

After go-live

Nobody is hired to run Verity. Documents, queries and hours are recorded as part of work the team already does.

Verity AI

Ask your practice a question. Get an answer, not a report to build.

Verity AI reads your own clients, tasks, documents, time and fees, and only what the asker is allowed to see. Ask in plain language, then turn the answer into tasks.

  • Your records only Answers come from your own accounting firms data, not from generic knowledge.
  • Right person, right view It only shows what the person asking is allowed to see.
  • Turns into action An answer can become a task assigned to a named person.

Verity / Ask

Which clients have not sent bank statements and are past five days?

Seven clients. Three are with Deepa, two with Suresh, two with Anjali.

  • Kumar Auto Parts12 days
  • Sai Pharma9 days
  • Verma Logistics7 days
  • Others4 clients at 5 to 6 days

Create chase tasks for each account owner

Verity / Ask

Which clients cost us more in hours than they pay in fees?

Four clients this month. Anand Foods is the highest at twice its fee.

  • Anand Foods₹12,400 cost against ₹6,000
  • Patel Textiles₹9,800 against ₹8,000
  • Others2 clients

Without chasing

The follow-ups nobody has time to make.

Set once, then they run from your records. Your team still talks to clients and files on the portal; Verity makes sure the right person knows what to do.

Rules and paperwork

The rules an accounting firm has to keep up with.

Verity does not give tax or accounting advice and does not file returns. It keeps the calendar and the records these rules depend on in order, so your team prepares and files from a clear position.

  • GST return calendar

    What is expected

Monthly filers generally file GSTR-1 by the 11th and GSTR-3B by the 20th of the next month, with late fees and interest for delay. Quarterly filers have different dates.

    How Verity helps

Each client's filing frequency is on the record, and due dates and status are shown for every client in one view.

    TaxConcept, 2026

  • E-invoicing

    What is expected

E-invoicing generally applies where aggregate turnover exceeded ₹5 crore in any year since FY 2017-18, and the portal rejects late reporting for turnover of ₹10 crore and above. Exemptions exist.

    How Verity helps

Turnover to date is shown on the client record with a review task near the limit.

    TaxGuru, 2026

  • Income tax calendar

    What is expected

Income-tax Act, 2025 applies from 1 April 2026, while income earned in FY 2025-26 is generally still assessed under the 1961 Act. Return dates differ by taxpayer type.

    How Verity helps

Client tasks follow the filing category on the client record, and your accountant confirms the dates.

    Patron Accounting, 2026

  • Data protection

    What is expected

The Digital Personal Data Protection Rules were notified on 13 November 2025, with most duties due about 18 months later. How they apply to your practice and its clients is for your adviser.

    How Verity helps

Client documents have role and client permissions, and views and downloads are logged.

    Mondaq, 2025

Dates, thresholds and fees change by notification and differ by taxpayer type. Confirm current requirements on the official portals or with your chartered accountant.

Who sees what

Everyone sees the same records, through their own window.

An articled assistant should not see every client's fee. A client should only see their own checklist. Each role opens on what it needs.

  • Partner

Is the practice on time, profitable and getting paid?

Clients stuck, filings due, hours against fees, overdue fees and each person's load.

  • Manager

What is stuck this week and who can take more?

The close board, missing documents, queries ageing, reviews pending and the team's capacity.

  • Senior accountant

What do I post, reconcile and review?

Own clients, monthly tasks, queries to answer and reviews waiting.

  • Junior or article assistant

    What is my list today?

Assigned tasks, document checklists and time entry.

  • Client (view only)

What have I sent and what is still needed?

Their own checklist, open queries and invoices, and nothing else.

Questions

Questions accounting firms ask.

Does Verity replace Tally or my accounting software?

No. Your team keeps posting in the software they use. Verity runs the work around it: documents, stages, queries, hours, filing calendar and fees.

Will it chase my clients for documents?

Your staff still send the reminder. Verity shows who is missing what, assigns the task to the right person and records that it was done and what the client said.

Can my clients upload documents themselves?

We agree with you during setup how documents reach Verity, whether through staff, a shared folder or a client view. Each client sees only their own checklist.

I have 25 clients and four staff. Is this too much?

A small practice has the same chase with fewer people. We set up only what you need, in the same four weeks, and leave out what you do not.

Can it tell me which clients are unprofitable?

Yes, once staff log time. Verity compares each client's fee with hours at your internal cost, so the clients that lose money show up and the fee or scope can be changed.

Does it file my GST and TDS returns?

No. Your team prepares and files on the official portals. Verity keeps the calendar, the owner and the reviewer for every client's return.

How do I stop staff taking client data when they leave?

Documents and client details are permissioned by role, access is logged, and closing a leaver's access is one step. Their open tasks move to someone else in the same step.

Who can see my data?

Only the people you allow. Access is set by role and by client, and every change is recorded with who made it and when.

How soon will I see something useful?

The missing documents list and fee ageing need only your existing client data, so we aim to have them first. Hours and profitability become reliable after a few weeks of logged time.

What does it cost?

It depends on the number of staff and clients and what you want set up. Message us and we will give you a clear number after a short conversation about how your practice runs.
