Verity for fitness studios

A studio sells a limited number of spots in each class. Every empty spot and every expired pack is money you cannot get back.

A boutique studio is not a big floor with a turnstile. It is a timetable of small classes, each with a trainer, a room and a fixed number of places. Members hold packs and memberships that expire, freeze and renew. Trainers are paid by the class or by the head. Verity connects the timetable, the member, the pack and the trainer, so you see a half-empty class, a lapsing member or a payout mismatch while there is still time to act.

Verity in one line

One system that knows every class and its fill, every member and what they still hold, every trainer and what they are owed.

Free: we set up a working demo of your own business, on your own data, within 7 days. You pay only if your team decides to use it.

Your front desk billing and any app members use to reserve spots stay. Verity records attendance, packs and payouts around them.

How it runs today

Most studios know their best class by feel and their worst one by the empty mats.

The studio floor is easy to read. The 6 am class is full, the 2 pm class has four people, the Saturday boxing session has a waiting list. What is hard to read is everything attached to it: which members came twice this month after buying a package for twelve, whose pack expires on Friday, which trainer's class loses people every week, and what each trainer is owed at month end.

The information exists in pieces. A reservation app knows who booked. The front desk knows who paid. A sheet knows the trainer rates. A WhatsApp group knows who is covering whom. The owner, who is often also a trainer, carries the rest in memory.

Boutique studios are the fastest growing part of Indian fitness, with the Deloitte and Health & Fitness Association report expecting nearly 19 percent a year to 2030. More studios nearby means members have more choice, and a lapsed member is harder to win back.

What most fitness studios run on

  • Reservation app or class sheet
  • Front desk billing and receipts
  • Excel for packs and trainer rates
  • WhatsApp groups for members and trainers
  • Instagram for new enquiries

Each tool works for its own job. None knows that the member who booked eight classes has attended two.

14 problems, one by one

Where a fitness studio actually loses money.

These are the situations studio owners and managers describe again and again. For each one: what it looks like on an ordinary day, what it costs, and what Verity does about it.

  1. 01Classes

Classes run half empty while others have a waiting list

    What it looks like

The 7 pm HIIT class is full every night and four people are waitlisted. The 2 pm mobility class has had three people for six weeks. The timetable has not changed since the studio opened.

    What it costs you

Example arithmetic: a class with 20 places that runs at 9 people instead of 15, four days a week, is about 24 empty places a week. At ₹500 a place that is ₹12,000 a week, or ₹48,000 a month, left on the table.

    How Verity fixes it

Every class records bookings, attendance and no-shows. Verity shows fill by class, weekday and hour, so you can move, merge or add a class based on the pattern instead of a hunch.

    See the screen
  2. 02Classes

Booked members do not show up

    What it looks like

Eighteen people book a 6:30 am class and eleven come. The trainer plans for eighteen. Three people on the waitlist were never told a place was free in time.

    What it costs you

Empty places that someone else wanted. Members who are always on the waitlist start to feel the studio is full and stop trying.

    How Verity fixes it

Booking, cancellation and attendance are recorded per member. Verity lists repeat no-shows and tasks the desk to release places on the waitlist when someone cancels. Your reservation app can stay; we agree how its bookings reach Verity during setup.

    See the screen
  3. 03Packs

Class packs and memberships expire unused

    What it looks like

A member buys a twelve-class pack, uses five, and the pack lapses. Another is frozen for a month and nobody remembers to restart the clock. The front desk finds out when the member argues at the counter.

    What it costs you

Expired packs cause arguments, goodwill refunds and quiet churn. Unused classes are also a liability on your books that nobody can see.

    How Verity fixes it

Each pack and membership is a record with classes bought, used, left, expiry and freeze dates. Verity shows packs that will lapse in the next two weeks with the member's usual class, so the desk can speak to them first.

    See the screen
  4. 04Retention

Members who stopped coming are only noticed after the renewal date

    What it looks like

A member who came four times a week in July has come once in September. Nobody noticed. On the renewal day she does not renew, and no one asks why.

    What it costs you

Example arithmetic: 150 members at ₹3,500 a month is ₹5.25 lakh a month. Losing one in ten a month is about ₹52,000 a month of repeat income to replace with new joins.

    How Verity fixes it

Attendance builds each member's usual pattern. When it drops, the member goes on a list with last visit and usual class, and a task goes to the trainer who knows them. The outcome is recorded.

    See the screen
  5. 05Retention

New joiners vanish in the first month

    What it looks like

The member who joined after a New Year offer has come twice. No one has asked how it is going, and her trial week is long over.

    What it costs you

A new member who fails to form a habit in the first weeks rarely renews, and most of the money spent winning them is lost.

    How Verity fixes it

Every new member gets a simple first-month plan as tasks: a welcome check, a first-week check and a first-month review, each with an owner. Verity shows which new members are on track and which are not.

    See the screen
  6. 06Trainers

Trainer payouts are worked out by hand and disputed

    What it looks like

One trainer is paid per class, another a share per head, a third a monthly sum plus personal training sessions. At month end the owner rebuilds the count from the timetable, a WhatsApp group and memory. Someone is always sure the number is wrong.

    What it costs you

Hours of owner time each month, arguments with good trainers, and under or over payment that nobody can prove either way.

    How Verity fixes it

Each class taken and each personal session is recorded against the trainer with the rate rule you agreed. Verity totals what each trainer is owed for the month from those records. You pay them, or your accountant does; Verity does not run payroll.

    See the screen
  7. 07Trainers

A trainer is absent and the cover is arranged in a chat

    What it looks like

A trainer messages at 5:15 am that she is ill. The 6 am class is in forty-five minutes. The manager scrolls through a WhatsApp group to find who can cover and who is qualified for that format.

    What it costs you

A cancelled class loses members' trust. A cover who is not trained for the format risks injuries and complaints.

    How Verity fixes it

Each trainer's formats, availability and leave are on one schedule. When a trainer is out, Verity lists who is cleared for that class and free at that time, and the cover is recorded so the payout follows.

    See the screen
  8. 08Packs

Personal training sessions are sold in packs that nobody tracks

    What it looks like

A client buys twenty personal training sessions in March. By August nobody can say how many are left or whether the sessions were taken with the trainer who was paid for them.

    What it costs you

A balance that is argued at the end, and revenue that cannot be reported by trainer or by client.

    How Verity fixes it

A personal training pack records sessions bought, taken, with whom and on what date. Both the client and the trainer see the same balance, and a session is counted once.

    See the screen
  9. 09Sales

Enquiries from Instagram and walk-ins go unanswered

    What it looks like

A message about the studio's six-week transformation program arrives on Instagram on Sunday night. A walk-in takes a trial class and leaves with a flyer. The follow-up is "whoever remembers."

    What it costs you

A person who has already decided to try a studio will try the next one if no one replies by the next day.

    How Verity fixes it

Each enquiry and trial is a record with an owner, source, date and next step. Verity lists the ones with no follow-up and tells the person responsible. Staff still talk to the person; the outcome is recorded.

    See the screen
  10. 10Equipment

Equipment breaks quietly and service is only after a failure

    What it looks like

A reformer spring is worn, a treadmill belt slips, a kettlebell handle cracks. The cleaner mentions it on Tuesday. The class on Wednesday uses it anyway.

    What it costs you

Injury risk, a damaged reputation and an expensive repair booked in a hurry. Equipment that is out of order also reduces the places you can sell in a class.

    How Verity fixes it

Each machine is an asset record with its service history and next due date. A fault is logged in two taps from the floor, and a maintenance task goes to the owner of that asset. The class capacity is adjusted while it is out.

    See the screen
  11. 11Compliance

Members' health and injury details live on paper forms

    What it looks like

A signed PAR-Q style form is in a folder. A member with a knee injury is in the squat-heavy class and the trainer was not told. A waiver is signed once and never renewed.

    What it costs you

A hurt member, a complaint and a studio with nothing on record to show it asked the right questions.

    How Verity fixes it

Health notes, injuries and waivers sit on the member's record with a date and a review reminder. The trainer sees a flag on the class list for any member with a note. Verity stores the information; it does not give medical advice.

    See the screen
  12. 12Money

Refunds, freezes and transfers are decided at the counter

    What it looks like

A member moves cities and asks for a refund. Another wants to transfer her membership to her sister. The front desk says yes to one and no to the other, and the owner hears about it later.

    What it costs you

Unequal treatment, complaints and, when it goes to a consumer commission, a fight you may lose if your own terms are unclear.

    How Verity fixes it

Freeze, transfer and refund requests are records with the member's pack, the rule that applies and an approval step. Verity shows the decisions made, by whom and why, so the policy is applied the same way every time.

    See the screen
  13. 13Money

Month-end money does not match the classes

    What it looks like

The owner opens the bank statement and the front desk report. Cash, UPI and card do not add up to the packs sold. A discount was given at the counter and not written anywhere.

    What it costs you

A month of reconciling that someone has to do, and an owner who stops trusting the numbers.

    How Verity fixes it

Packs and memberships sold are records with the payment mode and any discount with its approver. Verity compares them with what was collected and flags the gaps by day and by person.

    See the screen
  14. 14Owner

Several branches or a studio plus a pop-up with no single view

    What it looks like

The second studio uses a different sheet. A member who joined in one place wants to attend a class in the other. Nobody can say if branch two is doing better than branch one.

    What it costs you

Nothing can be compared fairly, so nothing can be fixed, and members who travel between branches are treated as strangers.

    How Verity fixes it

Each studio is a location in one system. Classes, members, packs and trainers sit side by side, and a member's pack shows where it can be used. The owner's morning screen shows both.

    See the screen

The numbers behind it

The numbers that make these problems worth fixing.

From published sources, with the source named under each figure. Your own numbers will differ, and showing you yours is the first thing Verity does.

The market figures are from a Deloitte and Health & Fitness Association report summary, so they are projections. The GST rate comes from press coverage of the CBIC clarification; confirm it with your accountant. The consumer commission figure is one district order and is not a rule for every case.

What you will actually see

The screens you would use every day.

Five views, each built for one job. Names, columns and terms are set up in your studio's own language.

Screen 1 of 5

The owner's morning view

Class fill, packs sold, packs about to lapse, trainer cover and anything that does not tie, on one screen, with the items needing a decision listed under it. It replaces the evening message from the front desk.

An ordinary day

The same Monday, before and after.

What changes is not the workout. It is that the day leaves a record, and the record does the chasing.

WhenTodayWith Verity
5:30 am TodayA trainer messages that she is ill. The manager scrolls a WhatsApp group to find cover. With VerityVerity lists who is cleared for the class and free. One person confirms and the cover is recorded for the payout.
7:00 am TodayEighteen people booked and eleven came. The waitlist was never told a place was free. With VerityCancellations released places and the desk offered them, so the class ran with 17.
12:00 TodayA member argues that her pack is still valid. Nobody is sure about the freeze dates. With VerityHer record shows five classes used, a freeze ended on 5 October and the new expiry. It takes a minute.
4:00 pm TodayA new joiner has come twice in three weeks. No one has noticed. With VerityShe is on the first-month list. Her trainer has a task to message her and the outcome is recorded.
8:00 pm TodayThe front desk counts cash and UPI. It is ₹1,200 off and a discount has no name against it. With VerityVerity shows the mismatch and the unapproved discount. The closer adds a reason and it is done.
Month end TodayThe owner rebuilds each trainer's classes from the timetable and a chat. With VerityClasses and sessions were recorded as they happened, so each trainer's total is ready and the accountant gets one clean sheet.

How we work with you

We set it up with you, in four weeks.

You do not get a login and a manual. We spend time at the front desk and on the studio floor, build Verity around how your classes really run, bring your data in, then stay to make sure it keeps working.

  1. Week 1

    Discovery and mapping

    What we do
Sit through a morning class block and an evening block. Watch how a booking becomes attendance, how a pack is sold and used, and how the month's trainer count is made. Note which gaps matter most.
    What we need from you
Two to three hours of yours and the studio manager's. Your timetable, a month of class sheets, pack prices and each trainer's rate rule.
What you have at the end
A written map of your studio: the class formats, the pack and membership types, the trainer rules and the first gaps we will close.
  2. Weeks 2 to 3

    Configuration

    What we do
Set up your classes and places, pack and membership types with their expiry and freeze rules, trainers with formats and rates, equipment and locations, and build the five screens around your own terms.
    What we need from you
Check the setup with your head trainer and front desk. Tell us where a pack rule or a payout rule is wrong.
What you have at the end
A working Verity with your real classes, packs, trainers and rules, ready for your data.
  3. Weeks 3 to 4

    Migration and training

    What we do
Bring in your member list, current packs and their balances, and trainer rates from the sheets and apps you use. Train the front desk and trainers at the studio during real classes.
    What we need from you
Your member and pack list in whatever form it exists, and a check of ten members' balances. One hour with each role.
What you have at the end
Your members, packs and trainers inside Verity, and a team that has run a full week of classes on it.
  4. After go-live

    Operations partnership

    What we do
Stay on after launch. Review the first month with you, tune the timetable views and payout rules, and handle changes when you add a format, a trainer or a second studio.
    What we need from you
A short monthly review of what the numbers say.
What you have at the end
A system that keeps matching how the studio runs, with someone responsible for it.

Bring these on day one

  • Your timetable and class formats
  • Your pack and membership price list with expiry and freeze rules
  • Your member list with current pack balances, even if it is a sheet
  • Each trainer's rate rule and last month's classes
  • Equipment list and last service dates

Your time

About 9 to 11 hours of your own time across the four weeks, mostly in week 1. Your front desk lead and head trainer need a few more.

After go-live

Nobody is hired to run Verity. Attendance, packs and sessions are recorded as part of work the team already does, and the reports come from those records.

Verity AI

Ask your studio a question. Get an answer, not a report to build.

Verity AI reads your own classes, members, packs and trainer records. Ask in plain language, then turn the answer into tasks for the right people.

  • Your records only Answers come from your own fitness studios data, not from generic knowledge.
  • Right person, right view It only shows what the person asking is allowed to see.
  • Turns into action An answer can become a task assigned to a named person.

Verity / Ask

Which packs lapse in the next two weeks, and who has used fewer than half?

31 packs lapse in 14 days. 9 members have used fewer than half their classes.

  • Packs with frozen days left4
  • Members with a class booked this week18

Create a call task for each member's usual trainer

Rules and paperwork

The rules a fitness studio has to keep up with.

Verity does not give legal or tax advice and does not file anything for you. It keeps the records these rules depend on in order, so you are not hunting for them when someone asks.

  • GST on fitness services

    What is expected

From 22 September 2025, gym and fitness services are generally charged at 5 percent GST without input tax credit, down from 18 percent, and CBIC said the lower rate is mandatory. Check how this applies to your invoices, packs and any sale of products.

    How Verity helps

Each pack and sale is a record with the amount and date, so your accountant can prepare returns from clean data. Verity does not file returns.

Business Today on the CBIC clarification

  • Consumer protection and your membership terms

    What is expected

Consumer commissions have ordered refunds where a gym denied access it had sold or failed to return an amount it admitted owing. A "no refund" line does not stop a complaint when service falls short. Outcomes depend on the facts and your written terms.

    How Verity helps

Freeze, transfer and refund decisions are recorded with the rule used and the approver, so you can show how the same terms were applied each time.

The Week on a South Mumbai order, 2024

  • Members' personal and health data

    What is expected

The Digital Personal Data Protection Rules were notified on 13 November 2025. The notice, consent and safeguard duties for businesses that hold personal data are generally due from 13 May 2027. Health and injury notes are sensitive in practice.

    How Verity helps

Health notes and waivers sit on the member's record with who can see them. Access is by role and every change is logged.

AZB & Partners on the DPDP phases

  • Local registrations, fire safety and music

    What is expected

Studios commonly need a Shops and Establishments registration, a municipal trade or health licence and, depending on the building and city, fire clearance. A licence for playing recorded music is generally also needed. Requirements vary a lot by city.

    How Verity helps

Each licence and certificate is a record with an expiry date and an owner, and a renewal becomes a task weeks before it lapses.

Rules change and differ by city and state. Confirm current requirements with your accountant, a lawyer or the relevant authority.

Who sees what

Everyone sees the same records, through their own window.

A trainer should not see everyone's pay. The front desk should not edit payout rules. Each role opens on what it needs.

  • Owner

Is the studio full where it matters, and is money leaving anywhere?

Class fill, packs and renewals, trainer totals, cash tie-out and every studio side by side.

  • Studio manager

    What needs sorting this week?

Timetable gaps, cover needed, packs lapsing, approvals waiting and equipment due.

  • Trainer

Who is in my class and who needs a word?

Their class lists with health notes, their personal packs, quiet members they look after and their own total.

  • Front desk

Who is here, what do they hold, what is pending?

Check-in, pack balance and expiry, waitlist offers, new enquiries and the closing checklist.

  • Accountant

What was sold, collected and owed to trainers?

Packs and memberships sold by payment mode, discounts with approvers, and trainer totals.

Questions

Questions fitness studio owners ask.

I already have a booking app. Why would I need this?

A booking app knows who reserved. It rarely knows what pack they hold, whether they are drifting away, or what each trainer is owed. We keep your app and agree during setup how its bookings reach Verity, which then does the member, pack and trainer work around them.

Will my front desk really record all this?

Only if it takes seconds. Check-in is one tap against the class list, and a pack is used when the member is marked present. We train at the desk during real classes and start with the few records that matter, not a long form.

Can it work out what I owe each trainer?

Yes, once their rate rules are set up. Each class taken and personal session is recorded against the trainer, and Verity totals the month from those records. You or your accountant make the payment; Verity does not run payroll.

Does it handle packs that freeze, transfer or expire?

Yes. Each pack is a record with classes bought, used, left, expiry and any freeze, and the rule you apply for a transfer or refund is attached to the decision.

I run one small studio with four trainers. Is this too much?

A small studio has the same gaps and less time to notice them. We set up only what you need in the same four weeks, and leave out what you do not.

Can it take online reservations or payments?

No. If members reserve or pay online today, that tool keeps working. Verity records the outcome and makes sure someone follows up with members who drift.

I have two studios. Can I see them together?

Yes. Each is a location in one system, with classes, members and trainers side by side. A member's pack shows where it can be used.

Who can see my data?

Only the people you allow. Access is set by role, so trainers, the front desk and your accountant each see what they need, and every change is recorded with who made it and when.

How quickly will I see something useful?

The lapsing packs list and the quiet members list need only your existing data, so we aim to have them first. Class fill and no-show patterns become reliable after a few weeks of recorded classes.

What does it cost?

It depends on the number of studios, staff and what you want set up. Message us and we will give you a clear number after a short conversation about how your studio runs.
