Verity for physiotherapy clinics

Six sessions in, the pain eased, and the patient quietly stopped. The other four sessions were never delivered.

A physiotherapy clinic earns across a course of visits, and the course is only completed when someone notices a patient has gone quiet. Home visits, referrals, packages and progress notes live in separate places. Verity brings them together and tells your team who to call.

Verity in one line

One system that knows every patient’s course, every session left, every therapist’s day, every referral and every machine, and shows you what needs attention.

Free: we set up a working demo of your own business, on your own data, within 7 days. You pay only if your team decides to use it.

Verity records what your therapists prescribe and observe. It does not advise on treatment or replace clinical judgement.

How it runs today

A physiotherapy clinic sells recovery, one session at a time.

The first assessment is straightforward. The real work is the course after it: ten sessions over five weeks for a frozen shoulder, a long programme after a knee replacement, a fortnight of exercises after a sports injury. Patients feel better in session four and wonder if they need the rest. Some leave. Some come back three months later with the same problem.

Information is spread thinly. Assessment notes are in a file or on a tablet. Pain scores and movement measures are on a sheet the therapist keeps. The exercise handout went out on a printout. The session pack is a card in the patient’s wallet. Referring doctors rarely hear back. Home visits are planned in a WhatsApp group. Machines are used and serviced on trust.

Everyone is busy, and everyone is treating a patient. Nobody is watching the whole course, so the signs that a patient is slipping away, or that a therapist is overbooked, or that a referral source has gone quiet, show up late or not at all.

What most physiotherapy clinics run on

  • Assessment forms or a basic app
  • Session cards and a register
  • WhatsApp for home visits
  • Printed exercise sheets
  • Therapists’ memory

Each is fine for its small job. None of them can tell you who stopped coming this fortnight.

14 problems, one by one

Where a physiotherapy clinic loses patients and money.

These are the situations physiotherapists and clinic owners describe. For each: what it looks like, what it costs, and what Verity does. Verity records what your therapists decide and never advises on treatment.

  1. 01Patients

Patients stop when the pain eases, with the course unfinished

    What it looks like

A man with a lower back strain has done five of eight planned sessions. He feels fine and says he will call if it returns. Two months later he is back with the same pain and the earlier work has to be repeated.

    What it costs you

Example arithmetic: 30 patients a month who leave with three sessions undelivered at ₹600 each is ₹54,000 of planned work a month. Published accounts of Indian physiotherapy settings describe non-adherence as a central problem, driven by cost, family duties and access.

    How Verity fixes it

The therapist records how many sessions the plan needs. Verity shows courses with sessions left and no visit in a set number of days, and gives the desk a call task for each. The outcome is recorded so the next call knows what was said.

    See the screen
  2. 02Patients

Session packs are bought and then lost, argued over or left unused

    What it looks like

A patient buys a pack of ten. Four visits later nobody is sure how many remain. The card is in an old bag. A relative asks if the remaining sessions can be used for her mother.

    What it costs you

Unused packs are work the clinic is owed, and a source of arguments when the count differs. Packs with no end date make revenue hard to plan.

    How Verity fixes it

A pack is a record with sessions bought, sessions used, the person it belongs to and an end date. Every visit reduces it. Verity lists packs about to lapse and the desk can rebook while the patient still cares.

    See the screen
  3. 03Time and rooms

No-shows and late cancellations break the therapist’s day

    What it looks like

The 6 pm patient does not turn up and the therapist waits twenty minutes. Two others cancelled an hour before. Evenings are packed and mornings are thin.

    What it costs you

A therapist on salary or on a per-session fee with no patient in front of them. Because the same patients repeat the pattern, the loss is predictable but never measured.

    How Verity fixes it

Each no-show and cancellation is recorded on the patient. Verity shows repeat cases, empty slots with a waiting list for earlier dates, and the hours that stay empty week after week.

    See the screen
  4. 04Time and rooms

Treatment rooms, tables and machines are unevenly used

    What it looks like

The traction table has a queue on Monday mornings. The shockwave unit was used twice in a month. One therapist is double-booked while another has a gap.

    What it costs you

A machine that is bought and rarely used is a poor purchase. Overbooked therapists rush, and empty ones cost wages.

    How Verity fixes it

Visits are recorded with therapist, room and equipment used. Verity shows utilisation by therapist, room and machine, and which ones earn their cost.

    See the screen
  5. 05Time and rooms

Home visits are planned over WhatsApp

    What it looks like

Six home patients across the city, two therapists, one two-wheeler each. A last-minute cancellation leaves a therapist forty minutes from the next patient. Travel is not paid for, so it is not counted.

    What it costs you

Hours of travel with no billing, missed visits when a message is not seen, and patients unsure who is coming.

    How Verity fixes it

Home visits are scheduled records with address area, therapist, time window and status. Verity shows each therapist’s day in order, flags gaps and overlaps and records travel time next to billable time.

    See the screen
  6. 06Clinical records

Progress is argued from memory, not from measurements

    What it looks like

A patient says the shoulder is no better. The therapist remembers it improving. The pain scores and range-of-movement readings are on three different sheets, and the last two are missing.

    What it costs you

Hard to show a patient or a referring doctor what has changed. Insurers and corporate clients increasingly ask for progress evidence.

    How Verity fixes it

Your therapist records pain score, movement and function measures at each review, using the scales you already use. Verity shows them as a trend on the patient record. It records what is entered and makes no clinical judgement.

    See the screen
  7. 07Clinical records

The home exercise plan is a printout that cannot be checked

    What it looks like

The patient is given a sheet of exercises. At the next visit nobody knows which ones were advised, which were changed, or what the patient actually did.

    What it costs you

The follow-up becomes a second assessment, and time is lost re-establishing where the patient is.

    How Verity fixes it

The exercises advised, the changes made and the patient’s own report at each visit are recorded on the patient record. The next therapist opens it and sees what was set last time.

    See the screen
  8. 08Referrals

Referring doctors send patients and never hear back

    What it looks like

An orthopaedic surgeon sends post-operative knee patients. Nobody tells him how they progressed. After a few months he sends fewer.

    What it costs you

Referrals are the cheapest patients a clinic gets, and the least tracked. A silent source dries up without anyone noticing.

    How Verity fixes it

Each patient has a referral source on record. Verity shows referrals by doctor over time, and creates a task to send a short progress summary at set points. Your therapist writes it; Verity makes sure it is sent.

    See the screen
  9. 09Money

Insurance, accident and corporate claims wait in a file

    What it looks like

A post-surgery patient has an insurance-backed course. A company covers a tie-up for its staff. A road accident claim needs session records. Each has its own forms and its own follow-up.

    What it costs you

Money owed and not chased. Claims lapse when papers are missing or late.

    How Verity fixes it

A claim is a record with the patient, payer, amount, documents needed and state. Verity lists those unpaid past their usual period and tasks the person who sends them.

    See the screen
  10. 10Stock

Consumables and machines are used until they fail

    What it looks like

Electrode pads, gel, kinesiology tape and resistance bands run out on a busy day. The ultrasound unit’s annual check is overdue. A TENS unit has a loose lead nobody has reported.

    What it costs you

A therapist improvising with a poor substitute, a machine out of use at a bad time, and emergency purchases at higher prices.

    How Verity fixes it

Each consumable has a reorder level and usual supplier. Each machine has a service date and a vendor. Verity warns ahead and drafts the order for you to approve.

    See the screen
  11. 11People

Part-time therapists are paid per session, and patients follow therapists

    What it looks like

Three therapists are on different fee arrangements: a monthly salary, a share of fees, a per-session rate. Totals are added up by hand each month. When a favourite therapist leaves, her patients go with her.

    What it costs you

Hours of owner time, mistakes that make people feel unfairly paid, and revenue that walks out of the door.

    How Verity fixes it

Sessions are recorded against the therapist who gave them, and Verity builds the statement from your arrangement. The patient relationship belongs to the clinic’s record, and a handover list is ready on the day someone resigns.

    See the screen
  12. 12Records

Consent, privacy and who may see what are matters of habit

    What it looks like

Consent for dry needling or manual therapy is verbal. A female patient prefers a female therapist and this is not noted anywhere. Case notes are on a tablet that several people share.

    What it costs you

A dispute or complaint is hard to answer when the record is thin. Health data is sensitive.

    How Verity fixes it

Consent, preferences and notes sit on the record, and the therapist cannot close a procedure without the consent marked on file. Access follows role, and each view is logged.

    See the screen
  13. 13Money

Takings do not match sessions delivered

    What it looks like

The desk takes cash, UPI and card. A session was billed at pack rate for one patient and full rate for another. At closing the day is off by ₹1,200.

    What it costs you

Small gaps compound, and the owner cannot trust the figures.

    How Verity fixes it

Every session is a record with its rate, pack use and payment mode. Verity compares the day’s sessions with the day’s payments and shows the exact visit that does not tie.

    See the screen
  14. 14Owner

Corporate camps, a second centre and the owner’s own patients

    What it looks like

The owner treats patients all day, runs an ergonomic camp for an IT company on Saturdays, and has opened a second centre. Information comes by message at night. Nobody has the whole picture.

    What it costs you

No fair comparison between centres or camps, and decisions made late.

    How Verity fixes it

Centres and camps are locations or jobs in one system, with a patient seen at both shown once. Revenue, sessions per therapist and dropout rates compare side by side.

    See the screen

The numbers behind it

The numbers behind these problems.

From published sources, with the source named under each figure. Your clinic’s own numbers will differ, and showing you yours is the first thing Verity does.

The ratio of therapists is an association estimate with no precise date on the page, and other sources give different totals. The back pain figures come from a records review and a conference abstract. They show the scale of the need, not what your clinic will see. The regulatory position may have moved since the page was written.

How we work with you

We set it up with you, over four weeks.

No login and a handbook. We learn how your clinic works, build Verity around it, bring your patients across, and stay on afterwards.

  1. Week 1

    Discovery and mapping

    What we do
Spend a day at the clinic. Follow a patient from the first assessment to the last session, watch how home visits are planned, and see how packs, notes and fees are kept today.
    What we need from you
A few hours of yours and your senior therapist’s. Access to the patient register, pack cards, referral list and payment book.
What you have at the end
A written map of your clinic: therapists, rooms, machines, session types and price list, plus the problems we will fix first.
  2. Weeks 2 to 3

    Configuration

    What we do
Set up your session types and packs, plan templates, review measures, referral sources, home-visit areas, consumables, machines and service dates, therapist arrangements and centres.
    What we need from you
Review the setup with your senior therapist and correct anything that does not match how you work.
What you have at the end
A working Verity with your real session types, rooms and rules, ready for your data.
  3. Weeks 3 to 4

    Migration and training

    What we do
Bring in patient lists, running courses, packs with sessions left, referrals, claims and stock from your registers and sheets. Train therapists and the desk at their own stations in short sessions.
    What we need from you
Your patient list and any history you have, in whatever form. One hour per role.
What you have at the end
Your patients, packs and stock inside Verity, and a team that has used it on real sessions.
  4. After go-live

    Operations partnership

    What we do
Stay on after launch. Review the first weeks with you, tune the quiet-patient rules and alerts, and handle changes when you add a therapist, a machine or a centre.
    What we need from you
    A short monthly review.
What you have at the end
A system that keeps matching how the clinic runs, with someone accountable for it.

Bring these on day one

  • Your session types, durations and prices, including packs
  • Your patient list, even if it is a register
  • Running courses with sessions already used
  • Referring doctors and companies you work with
  • Therapist pay or share arrangements

Your time

About 8 to 10 hours of your own time across the four weeks, mostly in week 1. Your senior therapist needs a few more.

After go-live

You do not need to hire anyone to run Verity. Sessions, measures and packs are recorded as part of the visit already happening.

Verity AI

Ask your clinic a question. Get an answer from your own records.

Verity AI reads your patient, session, pack, referral and stock records and answers in plain words. It respects who may see what and can create tasks. It does not give clinical advice.

  • Your records only Answers come from your own physiotherapy clinics data, not from generic knowledge.
  • Right person, right view It only shows what the person asking is allowed to see.
  • Turns into action An answer can become a task assigned to a named person.

Verity / Ask

Which patients have sessions left but have not visited in two weeks?

26 patients. 9 have more than half their sessions left, and 6 came through one orthopaedic surgeon.

  • Ritu’s patients10
  • Aman’s patients9
  • Sana’s patients5
  • Karan’s patients2

Create call tasks for the desk

Verity / Ask

Which referring doctors have sent us fewer patients this quarter?

Dr Phadke fell from 14 referrals to 6. His progress notes were last sent in July.

  • Dr Phadke14 to 6

  • Dr Joshi4 to 7

Verity / Ask

Which machine is used least?

The shockwave unit, used on 9 percent of sessions this month. The traction table is at 88 percent.

Rules and paperwork

The rules a physiotherapy clinic works under.

Verity does not give legal or clinical advice and files nothing for you. It keeps the records these rules depend on in order, so you are not piecing them together from sheets and chat.

  • Registration of physiotherapists

    What is expected

Registration is generally required to practise. The Allied and Healthcare Professions Act, 2021 provides for a national commission and a physiotherapy council, but a profile of the national association describes it as not yet in existence, and only some states have councils. The position may have changed.

    How Verity helps

Each therapist’s registration number, state and renewal date sit on their record, with a reminder task before renewal.

    World Physiotherapy, India profile

  • Patient records, consent and requests for copies

    What is expected

Clinics are generally expected to keep treatment records and consent and to give patients their records on request. The exact period and format depend on state rules and the professional body you follow.

    How Verity helps

Notes, measures, consent and payments are on one record, so a full set can be produced quickly, with access logged.

  • Sharps and bio-medical waste

    What is expected

Under the Bio-Medical Waste Management Rules, 2016, a healthcare facility that generates waste, such as needles from dry needling, generally needs authorisation from the State Pollution Control Board and must follow the prescribed handling.

    How Verity helps

A daily waste checklist with a named person and a searchable history.

Central Pollution Control Board, bio-medical waste

  • Patient data protection

    What is expected

India’s Digital Personal Data Protection Rules were notified on 13 November 2025. The main duties on notice and consent are expected to start on 13 May 2027.

    How Verity helps

Patient data sits in one permissioned place, with a log of who saw or changed it, rather than in tablets and chat groups.

AZB Partners on the DPDP framework

Rules change and differ by state. Confirm current requirements with your professional body, state authorities or adviser.

Who sees what

Each person opens the clinic through their own view.

A part-time therapist does not need to see the clinic’s takings. The desk does not need clinical notes. Access follows the job.

  • Owner

Are patients finishing their courses and are rooms earning?

Dropout, pack balances, referrals, therapist scorecards, machine use and every centre side by side.

  • Senior therapist

Who needs my attention this week?

Patients with stalled progress, measures trending the wrong way, home-visit plan and the team’s load.

  • Therapist

What did I do with this patient last time?

History, measures, exercises advised, consent, the day plan and their own statement.

  • Front desk

    Who do I call today?

Quiet patients, packs ending, empty slots, claims to chase and the day’s payments.

  • Accountant

What came in and what is owed?

Takings by mode, pack liabilities, claim status, supplier payables and therapist shares.

Straight answers

What changes and what stays.

Keep using

  • Any exercise-prescription or video tool your therapists use. We agree how its records reach Verity during setup.
  • How patients book today, whether by phone, a page or the desk. Verity records the visit.
  • WhatsApp with patients and home-visit therapists. Staff send; Verity says who and when.
  • Your accountant, who still prepares returns and pays staff.

Verity does not

  • Take patient bookings online.
  • Send messages to patients on its own.
  • Prescribe exercise or advise on treatment.
  • Run payroll or file returns.

We bring patient lists, running courses, packs, referrals and stock across from registers and sheets in stages, so the clinic keeps treating through the change.

Questions

Questions physiotherapists ask.

Does Verity advise on treatment or tell my therapists what to do?

No. Your therapists decide assessment and treatment. Verity records what they decide, tracks courses and sessions and tells your team what is waiting.

We use an exercise-prescription tool. Do we have to stop?

No. Keep it if your therapists like it. During setup we agree how the information Verity needs, such as exercises advised and sessions done, reaches the patient record.

Can it handle home visits?

Yes. A home visit is a scheduled record with an area, time window and therapist. You see each therapist’s day in order, with travel time shown next to treatment time.

Can it contact patients who stopped coming?

Not by itself. It builds the quiet list and gives each call to a named person on your team. They call or message, and the result is recorded.

How does it deal with session packs?

A pack records sessions bought and used, who it belongs to and when it ends. Each visit reduces it, and you see packs about to lapse.

I run one room with two therapists. Is this too much?

A small clinic has the same unfinished courses with less time to notice them. We set up only what you need in the same four weeks.

Can I track the doctors who refer patients to me?

Yes. Each patient has a referral source on record, and you see referrals over time by doctor along with whether a progress note was sent.

Who can see patient data?

Only the people you allow. Access is by role, so the desk, therapists, part-timers and your accountant see what they need. Every view and change is logged with the person and time.

What does it cost?

It depends on the number of centres, therapists and what you want set up. Message us and after a short conversation about how your clinic runs we will give you a clear number.

Start with the patients who stopped mid-course.

Tell us how your clinic runs and we will show you the quiet patients, unused packs and empty hours it would find, using your own numbers.

Free: we set up a working demo of your own business, on your own data, within 7 days. You pay only if your team decides to use it.
