Verity for optical stores

An optical store sells one pair at a time, from a thousand frames and a hundred lens options. The sale is won or lost in the details.

A spectacle sale has a prescription, a frame, a lens, a lab, a promised date and a fitting. Any one slipping spoils the sale: the wrong power copied, the frame that sold last week still showing on the wall, the lens job that is late and nobody told the customer, the customer who needed a new test two years ago and never came back. Verity connects the prescription, the frame, the job and the customer so each step has an owner and a date.

Verity in one line

One system that knows every customer's prescription history, every frame and lens in stock, every job order and delivery date, and every customer due for a recall.

Free: we set up a working demo of your own business, on your own data, within 7 days. You pay only if your team decides to use it.

It works alongside your billing. Verity records prescriptions as entered by your optometrist; it gives no eye-care advice.

How it runs today

Most optical stores run on a register, a frame wall and the optician's memory.

A customer comes in, has an eye test, picks a frame and a lens and pays an advance. The prescription goes on a slip. The job goes to an in-house lab or an outside one. The delivery date is told to the customer and written in a book.

What is hard to see is everything between: which frames are really in stock, which lens combinations are due from the lab, which jobs are late, which customers are due for a retest and which of last year's customers are worth calling.

The market is moving. A 2025 market report in Kotak Neo expects the organised segment to grow about 19 percent a year to FY2030 as buyers shift from small unorganised shops to chains. Independent stores compete on trust and service, which depends on exactly these details.

What most optical stores run on

  • Billing software or bill book
  • Paper prescription slips
  • Job order book or Excel
  • WhatsApp with customers and the lab
  • Frame stock by eye

Each part works on its own. Nothing tells you which job is late or which customer is due.

14 problems, one by one

Where an optical store loses sales and trust.

These are the situations opticians, store managers and lab staff describe. For each one: what it looks like on an ordinary day, what it costs, and what Verity does about it.

  1. 01Prescriptions

    A prescription is copied wrongly

    What it looks like

The optometrist writes the power on a slip. The counter staff copy it onto the job order. A minus is dropped, or the axis is mistyped. The glasses arrive and the customer cannot see properly.

    What it costs you

A remake costs the lens, the lab charge and the customer's patience. Individual customer complaints online describe wrong power as one of the most upsetting faults.

    How Verity fixes it

The prescription is a record on the customer, entered once by the optometrist. The job order pulls the values from it, so nobody retypes. Any edit to a prescription is logged with who and when. Verity records the values; it gives no advice.

    See the screen
  2. 02Prescriptions

    Past prescriptions cannot be found

    What it looks like

A customer returns after two years and asks for the same power as before. The old slip cannot be found, or the book is for a different year.

    What it costs you

A new test every time may not be necessary, and a store that cannot find a record looks careless.

    How Verity fixes it

Each customer has one record with every prescription, test date, frame and lens bought, in date order. Search by name or phone number.

    See the screen
  3. 03Customers

Customers never come back for a retest

    What it looks like

A customer bought progressive lenses three years ago. The store never calls. The customer goes to a chain that sends a reminder.

    What it costs you

Repeat customers are the cheapest sales a store makes. Published research reports that uncorrected presbyopia was about 33 percent among Indian adults aged 30 and over in one 2019 review, so many people need glasses and do not have them.

    How Verity fixes it

Each prescription has a recall date. Verity lists customers due for a test or a new pair, with what they bought and their frame style, and creates a call task for staff. Staff call; Verity records the outcome.

    See the screen
  4. 04Frames

The frame wall and the register do not match

    What it looks like

A customer picks a frame from the wall, and it was sold last Thursday. Another frame is in the drawer and not on display. A supplier's new collection is not entered anywhere.

    What it costs you

Selling a frame you do not have is a promise broken, and unseen frames are stock that never sells.

    How Verity fixes it

Each frame is an item with brand, model, colour, size, cost, price and a location. Sales deduct stock and Verity lists frames that have not sold in 180 days, so they can be moved, discounted or returned.

    See the screen
  5. 05Frames

Slow frames pile up and fast ones run out

    What it looks like

A trending sunglass style sells out in a week. A shelf of formal frames from two seasons ago sits. The owner buys by gut feeling after supplier visits.

    What it costs you

Cash is tied up in frames that do not sell, and a fast style missed is a lost sale.

    How Verity fixes it

Sales by brand, style, price band and age of stock are shown together, with the cash held in each. A reorder is drafted for styles that sell fast, and slow ones are flagged for a scheme.

    See the screen
  6. 06Lenses

    Lens stock and special orders

    What it looks like

Single-vision stock lenses are kept for common powers. Progressives, photochromic and high-index lenses are ordered on demand. A lens that was ordered for a customer is used for another, and the first job is late.

    What it costs you

Stock lenses run out for common powers, special orders arrive in the wrong coating, and customers wait.

    How Verity fixes it

Stock lenses are tracked by power and type with reorder points. Special orders are linked to the job so each lens has a customer and a date, and a received lens that does not match the order is flagged.

    See the screen
  7. 07Jobs

Job orders lose track in the lab

    What it looks like

Twelve jobs went out to the lab on Monday. Four are back. Nobody knows which of the other eight are late. A customer calls and the counter has to phone the lab to find out.

    What it costs you

Late jobs cost trust. A customer told two different dates stops believing either.

    How Verity fixes it

Each job order has a status: received, sent to lab, in fitting, ready, delivered. Verity shows jobs past their promised date by lab and by counter staff, and gives the customer-facing date from the record.

    See the screen
  8. 08Jobs

    Promised dates are guessed

    What it looks like

The counter says "three days" for every job. A progressive lens takes seven. The in-house lab is busy with a bulk order from a school camp.

    What it costs you

A date that is wrong from the start guarantees an unhappy customer.

    How Verity fixes it

Each job type has a usual turnaround that Verity learns from past jobs. The promised date is shown when the job is booked, and it shifts when the lab load changes.

    See the screen
  9. 09Suppliers

    Outside lab quality and returns

    What it looks like

An outside lab sends lenses with scratches or off-centre fitting. One lab returns jobs late all month. A remake request goes by phone.

    What it costs you

A remake is paid for twice, once to the lab and once in goodwill.

    How Verity fixes it

Each remake is recorded against the lab with the reason: wrong power, damage, off-centre, late. Verity shows remake rate and delays by lab, so you can choose the lab with evidence and claim credit.

    See the screen
  10. 10Suppliers

Supplier bills, short deliveries and price changes

    What it looks like

A frame distributor delivers 24 pieces and bills 30. A lens lab raises its coating price and the invoice carries it without notice.

    What it costs you

Overpaying silently reduces margin on every sale.

    How Verity fixes it

Deliveries are received against the order and compared with the invoice. Rates per supplier are shown over time, and a mismatch is flagged before payment.

    See the screen
  11. 11After-sales

    Repairs, warranties and adjustments

    What it looks like

A customer returns with a broken arm on a frame bought eight months ago and says there was a one-year warranty. The bill does not say so. A free adjustment is given by whoever is on the counter.

    What it costs you

Warranty disputes on frames and coatings are common. Without a record of terms, each one is a negotiation.

    How Verity fixes it

Each sale records the warranty terms given for frame and lens. A repair or claim is a record with the cost, who approved it and whether the supplier credited you.

    See the screen
  12. 12Money

    Advance payments and balances

    What it looks like

A customer pays an advance of ₹1,500 on a ₹4,800 job. The balance is due on delivery. A job is delivered and the balance is not collected, or a cancelled job's advance is forgotten.

    What it costs you

Example arithmetic: twenty jobs a month with ₹1,000 uncollected is ₹20,000 a month that nobody notices.

    How Verity fixes it

Each job shows total, advance and balance. Delivery requires the balance to be recorded as collected or deferred with a reason. Verity does not take payments.

    See the screen
  13. 13Money

    Discounts, staff discounts and comps

    What it looks like

A friend of the owner gets 30 percent off. A salesman gives a free case and cleaning kit on every sale. A second pair offer is applied at the counter and not tracked.

    What it costs you

Margin leaks unseen, and a discount no one approved is hard to stop.

    How Verity fixes it

Discounts above a limit need a one-tap approval with a reason. Verity totals discounts by person, brand and offer so patterns appear.

    See the screen
  14. 14People

    Staff, commission and two outlets

    What it looks like

Counter staff earn commission by sales. Optometrists are shared across two outlets and no one knows who is where. A visiting optometrist's days are on a WhatsApp message.

    What it costs you

Disputes over commission and cover cost goodwill and sales.

    How Verity fixes it

Each sale and test is tagged to a person and an outlet. A roster shows who is where. Commission statements come from the records. Verity does not run payroll.

    See the screen

The numbers behind it

The numbers that make these problems worth fixing.

From published sources, with the source named under each figure. Your own numbers will differ, and showing you yours is the first thing Verity does.

  • 1.8 pairs

the number of spectacles Indian consumers buy every two years, in a 2025 market report that also expects the organised segment to grow about 19 percent a year to FY2030.

    Kotak Neo, 2025

  • 2,137 stores

the number of stores a leading optical chain had in India at 30 June 2025. It makes about 70 percent of its eyeglasses in-house.

    Kotak Neo, 2025

  • 33%

the pooled share of Indian adults aged 30 and over with uncorrected presbyopia in a 2019 systematic review, which also pooled uncorrected refractive error at 10.2 percent.

    Indian Journal of Ophthalmology, 2019

  • 14 November 2025

the date the Digital Personal Data Protection Rules were notified, with most duties applying 18 months later.

    SCC Online, 2025

The market report is a brokerage and news piece around a company listing, not an audit. The refractive error figures are from a pooled review in which most studies were in South India and the authors note very high variation, so use them as a guide. No source was found for typical optical store margins, stock turn or remake rates, so those are shown only as labelled examples.

An ordinary day

The same Saturday, before and after.

What changes is not the eyewear. It is that the day leaves a record, and the record does the chasing.

How we work with you

We set it up with you, in four weeks.

You do not get a login and a manual. We spend time at your counter and in the lab, build Verity around how your store really runs, bring your data in, then stay to make sure it keeps working.

  1. Week 1

    Discovery and mapping

    What we do
Spend a Saturday at your counter and a morning in the lab. Follow a spectacle from eye test to delivery, count a shelf of frames and note where jobs and customers slip.
    What we need from you
Two to three hours of yours and your manager's. Access to the job register, a month of bills and your supplier invoices.
What you have at the end
A written map of your store: frame and lens ranges, labs, job types, turnarounds, warranty terms and the first gaps we will close.
  2. Weeks 2 to 3

    Configuration

    What we do
Set up frame and lens items, locations on the wall, job statuses and turnaround times, warranty terms, labs and suppliers, recall intervals, discount limits, roles and the five screens in your own terms.
    What we need from you
Check the setup with your optometrist and counter lead. Tell us where a term or a rule is wrong.
What you have at the end
A working Verity with your real frames, jobs and rules, ready for your data.
  3. Weeks 3 to 4

    Migration and training

    What we do
Bring in your customer list with prescriptions, open job orders, frame stock and supplier details from the registers, slips and sheets you use now. Train the counter, optometrist and lab at their stations.
    What we need from you
Your customer slips or register in whatever form exists, and an opening count of frames. An hour with each role.
What you have at the end
Your customers, jobs and stock inside Verity, and a team that has used it through a Saturday.
  4. After go-live

    Operations partnership

    What we do
Stay on after launch. Review the first weeks of jobs, recalls and stock with you, tune the limits and handle changes when you add a brand, a lab or an outlet.
    What we need from you
A short monthly review of what the numbers say.
What you have at the end
A system that keeps matching how the store runs, with someone responsible for it.

Bring these on day one

  • Your customer register or prescription slips
  • Open job orders and the lab list
  • Frame list or a count of the wall
  • Supplier invoices and warranty terms you give
  • Licence and registration certificates for the store and optometrists

Your time

About 8 to 10 hours of your own time across the four weeks, mostly in week 1. Your counter lead and optometrist need a few more.

After go-live

Nobody is hired to run Verity. Prescriptions, jobs and stock are recorded as part of work the counter already does.

Verity AI

Ask your store a question. Get an answer, not a report to build.

Verity AI reads your own customer, job and stock records and respects who may see what. Ask in plain language, then turn the answer into tasks for the right people. It records what your optometrist enters; it does not give eye-care advice.

  • Your records only Answers come from your own optical stores data, not from generic knowledge.
  • Right person, right view It only shows what the person asking is allowed to see.
  • Turns into action An answer can become a task assigned to a named person.

Verity / Ask

Rules and paperwork

The rules an optical store has to keep up with.

Verity does not give legal or eye-care advice and does not file anything for you. It keeps the records these rules depend on in order, so you are not hunting for them when someone asks.

  • Registration of optometrists and eye-care professionals

    What is expected

Allied and healthcare professionals are generally covered by the National Commission for Allied and Healthcare Professions Act, which bars practice unless enrolled in a State or National Register. Whether and how this applies to optometrists and opticians in your state should be checked, as the sources found did not settle it.

    How Verity helps

Each optometrist's registration, qualification and dates are records with owners and a task before a date lapses.

    SCC Online on the Bill

  • Customer data

    What is expected

Customer details, prescriptions and purchase history are personal data, some of it health-related. The Digital Personal Data Protection Rules were notified on 14 November 2025 and most duties apply 18 months later, including security safeguards and keeping logs for at least a year.

    How Verity helps

Role-based access, an edit log on every prescription and an audit trail on who opened a record.

    SCC Online

  • Warranty and consumer terms

    What is expected

Warranty terms you give on frames and lenses, and what you tell customers at sale, are generally enforceable promises under consumer protection law.

    How Verity helps

The terms given are recorded on each sale, with any repair or claim.

  • Trade licence, shop registration and tax

    What is expected

Local trade licence, Shops and Establishments registration and GST registration generally apply, and rules differ by city and state.

    How Verity helps

Each is a record with its number, renewal date and owner, so a renewal becomes a task weeks before it lapses.

Rules change and differ by state. Confirm current requirements with your accountant, your professional body and the relevant authority.

Who sees what

Everyone sees the same records, through their own window.

Counter staff should not edit supplier rates. A lab technician should not see customer phone numbers or prices. Each role opens on what it needs.

  • Owner

Is the store making money, and where is it leaking?

Sales, discounts, stock cash by age, late jobs, remakes by lab and every outlet side by side.

  • Optometrist

Who is coming and what is their history?

The test list, each customer's prescription history and the recall list. Prescriptions are entered here once.

  • Counter staff

What is promised and what is due?

Open jobs and dates, frames in stock, balances to collect and recalls to call.

  • Lab or fitting technician

    What is on my bench?

Jobs to cut, fit or repair, with priorities and the delivery date.

  • Accountant

What was sold, collected and owed?

Sales, advances and balances, discounts, supplier invoices matched to deliveries and claims.

Straight answers

What changes, and what stays the same.

Keep using

  • Your billing software at the counter. We agree during setup how bills and payments reach Verity.
  • Your outside labs and suppliers. We record jobs and remakes against them.
  • WhatsApp and the phone with customers. Staff call and message
  • Verity tracks who owes a call.
  • Your accountant, who still prepares your returns.

Verity does not

  • Run your billing counter or take payments.
  • Take online orders or send messages to customers on its own.
  • Give eye-care advice or interpret a prescription.
  • File returns or run payroll.

We bring your customers with prescriptions, open jobs, frame stock and suppliers across from the registers, slips and sheets you use now, in stages, so the store keeps selling while it happens.

Questions

Questions optical store owners ask.

Does Verity replace my billing software?

No. Your billing keeps taking payments. We agree during setup how bills reach Verity, which then does the prescription, stock, job and recall work around them.

Does Verity read or advise on prescriptions?

No. It records the values your optometrist enters, keeps an edit log and shows history. It gives no eye-care advice.

Can customers book tests or order online through Verity?

No. Verity does not take online bookings or orders. Your phone and walk-ins continue, and Verity makes sure every test, job and recall has an owner and a date.

I have one small shop with two staff. Is this too much?

A small shop has the same late jobs and forgotten customers, and less time to notice. We set up only what you need in the same four weeks.

Can it track frames individually?

It tracks frames as items by brand, model, colour and size with a location. Whether you tag individual pieces is agreed in setup; we do not claim barcode or hardware support.

We send some jobs to an outside lab. Can that be tracked?

Yes. Each job has a lab, a status and a promised date, and Verity shows late jobs and remake rates by lab.

I have two outlets. Can I see them together?

Yes. Each is a location in one system. Customers are one record across both, and stock can be transferred against a recorded transfer.

Who can see customer data?

Only the people you allow. Access is set by role, and every change is recorded with who and when. Prescriptions have an edit log.

What does it cost?

It depends on the number of outlets, users and what you want set up. Message us and we will give you a clear number after a short conversation about how your store runs.
