Verity for exporters

You shipped the goods. Verity makes sure the money, the papers and the incentives follow.

An export order does not end at the port. Documents have to be right, the buyer has to pay inside the permitted time, and incentives have to be claimed. Each step sits in a different folder, email thread or bank portal. Verity ties them to the order so nothing waits unnoticed.

Verity in one line

One system that follows every order from buyer confirmation to money in the bank and incentive credited, and shows what is stuck.

Free: we set up a working demo of your own business, on your own data, within 7 days. You pay only if your team decides to use it.

Built for a small team that holds buyers on WhatsApp and email. The records come from the work you already do on each shipment.

How it runs today

Most exporters know their shipments. Few can see their unpaid ones.

A shipment is a chain: buyer order, sample approval, production or sourcing, inspection, booking, documents, shipping, payment and incentive claims. Each link is handled by a different person or portal, so the order is easy to lose between them.

The owner often holds the buyers personally. Payment follow-up, shipping updates and claim status sit in email threads and a spreadsheet that one person updates when there is time.

The rules add deadlines. Export proceeds have to be realised within a set period, and incentive claims depend on the shipping bill. Missing a date costs money or invites questions from the bank.

What most exporters run on

  • Excel shipment tracker
  • Email and WhatsApp with buyers
  • Forwarder and CHA portals
  • Bank and DGFT portals
  • Paper and scanned documents

Each tool shows one piece. None of them tells you which shipment is unpaid, which incentive is pending or which document is missing.

14 problems, one by one

Where an exporter loses time and money.

These are the situations exporters describe. For each one: what it looks like, what it costs, and what Verity does about it.

  1. 01Documents

Shipping documents are scattered and keep failing checks

    What it looks like

The invoice, packing list, shipping bill, bill of lading and certificate of origin sit in different emails. A mismatch in a description or weight is found by the bank or the buyer after the cargo has left.

    What it costs you

Example arithmetic: a bank that rejects documents can hold payment for days or weeks. On a ₹25 lakh shipment financed at 12 percent a year, ten extra days costs about ₹8,000 in interest, before the buyer's annoyance.

    How Verity fixes it

Each shipment has a document checklist with the files attached and the fields that must match across them. Verity flags a mismatch before the set goes to the bank.

    See the screen
  2. 02Orders

Orders and samples are tracked in email threads

    What it looks like

A buyer asks for a revised colour. Another approves a sample verbally. Production starts on an older version because the latest email was not seen.

    What it costs you

Rework, a rejected lot and a buyer who lost confidence. Late or wrong shipments are the fastest way to lose a repeat order.

    How Verity fixes it

Every order is a record with its buyer, version of the sample, quantity, ship date and status. A change is recorded against the order, and everyone sees the same latest version.

    See the screen
  3. 03Payments

The deadline to realise export payment passes quietly

    What it looks like

Goods shipped in March, buyer pays in part, balance promised. Nobody checks how many days remain to realise the full amount, and the bank asks questions later.

    What it costs you

Rules require export proceeds to be realised within a period fixed by the RBI. It was raised from nine to fifteen months in November 2025 and has been revised again since, so the date to watch depends on the shipment date. Missing it can mean explanations, extension applications and bank scrutiny.

    How Verity fixes it

Each invoice shows its shipment date, the amount realised so far and the days left. Verity lists the ones nearing the limit so you can chase the buyer or ask the bank for an extension in good time.

    See the screen
  4. 04Payments

Buyers pay late and chasing is by memory

    What it looks like

Three buyers are overdue. The owner remembers two. The third has been quiet for six weeks because nobody was responsible for asking.

    What it costs you

Money tied up for months, higher borrowing and a growing share of the book that is hard to recover.

    How Verity fixes it

Every invoice has a due date, an owner and a follow-up history. Overdue ones appear on a list ordered by amount and age, with a task to the person who knows the buyer.

    See the screen
  5. 05Incentives

Incentives go unclaimed or sit unpaid

    What it looks like

Drawback, RoDTEP and similar claims depend on shipping bills. Some shipments are never tracked after sailing. Others are claimed, then wait without anyone asking.

    What it costs you

Incentives are real money, often a few percent of the shipment value. The CBIC directed in April 2026 that scroll generation and payment credit must happen within 3 days, so an exporter who is not watching cannot tell when a claim is late.

    How Verity fixes it

Each shipping bill carries the claims it qualifies for, the date filed and the date credited. Verity lists claims past three days without credit so they can be raised with the right office.

    See the screen
  6. 06Cash

Working capital is stretched and nobody sees the gap coming

    What it looks like

Packing credit is drawn against orders in production. Payments from earlier shipments are delayed. The owner finds the cash gap when a supplier calls for payment.

    What it costs you

Short-term borrowing at higher rates, or a supplier who is paid late and ships later next time.

    How Verity fixes it

Orders, advances, expected payment dates and supplier dues sit in one view, so the weekly cash gap is visible and the bank limit is used with a plan.

    See the screen
  7. 07Margin

Quotes are priced without the full landed cost

    What it looks like

A buyer wants a price today. Freight, packing, inspection, bank charges and incentives are estimated from memory.

    What it costs you

Orders that look profitable on the quote and are not on the books. Margins for small exporters are thin, and a few percent of missed cost can wipe out the profit.

    How Verity fixes it

Each order has a cost sheet with product cost, packing, freight, charges and expected incentive. The quote and the actual cost are compared after the shipment.

    See the screen
  8. 08Margin

Foreign exchange moves between order and payment

    What it looks like

A price is fixed in dollars. By the time the buyer pays, the rupee has moved. Nobody recorded the rate the quote assumed.

    What it costs you

A margin eaten or gained by luck. Without a record, you cannot tell which of the two it was.

    How Verity fixes it

The quote records the rate assumed. When payment is realised, the actual rate is recorded and the difference is shown per order and per buyer.

    See the screen
  9. 09Shipping

Container bookings, cut-offs and detention charges

    What it looks like

A booking is made by phone. The cut-off date is missed by a day and cargo rolls to the next vessel. Containers sit at the port past free days.

    What it costs you

A delayed shipment, a buyer with a missed deadline and detention or storage charges that are argued afterwards.

    How Verity fixes it

Each booking records the vessel, cut-off and free days. Verity warns when cut-off is close and documents are not complete, and lists cargo that has overstayed.

    See the screen
  10. 10Shipping

Buyers ask where their cargo is

    What it looks like

The buyer emails for an update. Someone calls the forwarder, waits for a reply and forwards a screenshot.

    What it costs you

Hours of staff time on updates and a buyer who feels uninformed.

    How Verity fixes it

Each shipment shows its stage and expected arrival from the details your forwarder gives you. The team answers from the record rather than chasing.

    See the screen
  11. 11Supply

Factory supply and inspection are loosely tracked

    What it looks like

Goods come from three factories. Inspection is done on the factory floor, results are shared as photos. A rejected lot is found when the buyer complains.

    What it costs you

Rejections, replacement shipments by air at your cost and a buyer's trust gone.

    How Verity fixes it

Each supplier delivery is linked to the order with inspection result and photos. A failed lot is flagged before booking and the order is held.

    See the screen
  12. 12Buyers

Claims, short shipments and credit notes

    What it looks like

A buyer claims a quality issue after receipt. The claim, the reply and the credit note live in different emails.

    What it costs you

Deductions you did not agree to and no history to argue from. Repeat claims from one buyer or factory go unnoticed.

    How Verity fixes it

Each claim is a record linked to the order with photos, the reply and the outcome. Verity shows claims by buyer and by factory so repeat problems are visible.

    See the screen
  13. 13Compliance

    Licences, certificates and registrations expire

    What it looks like

The importer-exporter code, product certificates and registrations are in a folder. A renewal date is remembered, or not.

    What it costs you

A shipment held because a certificate lapsed, or an incentive claim rejected for a missing registration.

    How Verity fixes it

Each licence and certificate is a record with expiry and an owner. Verity reminds ahead of time and ties documents to the shipments that need them.

    See the screen
  14. 14Owner

Too much depends on a few buyers and one market

    What it looks like

Half of sales go to two buyers in one country. A tariff or a buyer's decision can change the year overnight.

    What it costs you

The US imposed a combined 50 percent tariff on many Indian goods from 27 August 2025, and exporters in textile hubs reported orders on hold. A business that cannot see its concentration cannot plan for it.

    How Verity fixes it

Sales, receivables and orders are shown by buyer and by country. Verity highlights when one buyer or market passes a share you set.

    See the screen

The numbers behind it

The numbers that make these problems worth fixing.

From published sources, with the source named under each figure. Your own numbers will differ, and showing you yours is the first thing Verity does.

  • 3 days

the maximum time the CBIC set in April 2026 for generating and crediting RoDTEP and RoSCTL scrolls, because delays were causing exporters economic difficulty.

    StudyCafe, 2026

  • 15 months

the period to realise export proceeds under an RBI amendment dated 13 November 2025, up from nine months. Later changes have been reported, so check the current period.

    Taxguru, 2025

  • 3 years

the period to submit export-related documents under the same amendment, up from one year.

    Taxguru, 2025

  • 50%

the combined extra US tariff on many Indian goods from 27 August 2025. In Tiruppur, 95 percent of 3,000 export units are MSMEs, and a supplier reported pipeline orders on hold.

    Business Today, 2025

The first two figures are rules that have changed recently, so confirm the current position with your bank or advisor. The tariff figure is from 2025 and its current status may differ. Two of the sources are secondary news sites, not the official notification.

How we work with you

We set it up with you, in four weeks.

You do not get a login and a manual. We learn how an order moves through your business, build Verity around it, bring your data in, then stay on to keep it working.

  1. Week 1

    Discovery and mapping

    What we do
Sit with you and your documentation person for a day. Follow a recent shipment from buyer order to payment and incentive, and map the tools, portals and spreadsheets involved.
    What we need from you
A few hours from you and the person who handles documents. Three recent shipment files and your current tracker.
What you have at the end
A written map of how your orders, documents, payments and incentives run today and the problems to fix first.
  2. Weeks 2 to 3

    Configuration

    What we do
Set up buyers, products, suppliers, forwarders, document checklists, shipment stages, realisation tracking, incentive schemes you claim, approval limits and cost sheets.
    What we need from you
Check the checklists and cost sheet fields. Tell us where we got a rule wrong.
What you have at the end
A working Verity with your real buyers, shipments and rules, ready for your data.
  3. Weeks 3 to 4

    Migration and training

    What we do
Bring in open orders, unpaid invoices, pending incentive claims and licence records from your sheets. Train the team on live shipments.
    What we need from you
Your open orders and receivables list, in whatever form it exists. One hour per role.
What you have at the end
Your open business inside Verity and a team that has used it on real shipments.
  4. After go-live

    Operations partnership

    What we do
Stay on after launch. Review the first weeks with you, tune lists and reminders, and handle new buyers, markets and rule changes.
    What we need from you
A short monthly review of what the numbers say.
What you have at the end
A system that keeps matching how you export, with someone responsible for it.

Bring these on day one

  • Your open orders and buyer list
  • Unpaid invoices with shipment dates
  • Pending incentive claims by shipping bill
  • Licences and certificates with expiry dates
  • Your usual cost sheet for one product

Your time

About 9 to 12 hours of owner time across the four weeks, mostly in week 1. Your documentation person needs a few more.

After go-live

Nobody is hired to run Verity. Documents, payments and claims are recorded as part of the work you already do, and the reports come from those records.

Verity AI

Ask your export business a question.

Verity AI reads your orders, shipments, invoices, payments and incentive claims. Ask in plain language, then turn the answer into tasks for the right person.

  • Your records only Answers come from your own exporters data, not from generic knowledge.
  • Right person, right view It only shows what the person asking is allowed to see.
  • Turns into action An answer can become a task assigned to a named person.

Verity / Ask

Which invoices are closest to the date by which I must realise the money?

Four invoices have under 60 days left, worth ₹31 lakh. The nearest is EX-2217 with 38 days.

Rules and paperwork

The rules an export business has to keep up with.

Verity does not give legal or tax advice and does not file anything for you. It keeps the records these rules depend on in order, so you are not hunting for them when the bank or an officer asks.

  • Realising export proceeds

    What is expected

Export proceeds generally have to be received in India within a period set by the RBI. A November 2025 amendment raised it from nine to fifteen months, and later changes have been reported, so the period for a given shipment should be confirmed with the bank.

    How Verity helps

Each invoice carries its shipment date, the amount realised and the days left, and nearing-limit ones are listed.

    Taxguru on the RBI amendment

  • Keeping export documents

    What is expected

The same amendment raised the time allowed to submit export-related documents from one year to three years. Banks and authorities may ask for records long after the shipment.

    How Verity helps

Documents are attached to each shipment and kept with its history, so a set can be found years later.

    Taxguru on the RBI amendment

  • Incentive claims and the 3 day rule

    What is expected

In April 2026 the CBIC clarified that RoDTEP and RoSCTL scrolls must be generated and credited within three days. Claims still depend on correct shipping bill details.

    How Verity helps

Each shipping bill carries its claims and dates, and claims past three days are listed for follow-up.

    StudyCafe on the CBIC clarification

  • Licences, registrations and certificates

    What is expected

Exporters hold registrations and certificates such as the import-export code and product certificates, each with its own renewal. Details depend on the product and destination.

    How Verity helps

Each is a record with an expiry and an owner, linked to the shipments that need it.

Export rules change often and differ by product and market. Confirm current requirements with your bank, your customs broker and your advisor.

Who sees what

Everyone sees the same records, through their own window.

Your documentation person should not see your margins. Your factory contact should not see buyer prices. Each role opens on what it needs.

  • Owner

Where is my money and what is stuck?

Unpaid invoices and days left, orders by stage, incentives pending, buyer concentration and margin by order.

  • Documentation executive

What must be ready for this shipment?

Document checklists, mismatches, cut-off dates, bank sets and certificate status.

  • Sales manager

    Where is my buyer's order?

Orders, samples, ship dates, buyer claims and follow-ups on overdue invoices.

  • Sourcing manager

Are the factories delivering and passing inspection?

Supplier lots, inspection results, rejections and delivery dates.

  • Accountant

What is realised and what is owed?

Receivables, realised amounts and rates, incentive credits, supplier payables and cost sheets.

Questions

Questions exporters ask.

Will my documentation person actually use it?

It only works if recording takes seconds, so we set it up around the checklist they already follow. We train on live shipments and give them something back: mismatches caught early and a clear list of what is missing.

Does Verity file shipping bills or talk to customs?

No. Your customs broker and the government portals do that. Verity records the shipment, tracks the claims that follow and shows what is pending.

Can it connect to my bank?

Not directly. Payments are recorded against invoices by your team, and Verity shows what is realised and what is left. We agree during setup how bank details reach Verity.

Does it keep track of the realisation deadline?

Yes. Each invoice shows its shipment date, the amount received and the days left against the period you tell us applies. Because the rules have changed several times, we set the period with you and your bank and update it when it changes.

I export through a trading company. Is it still useful?

Yes. Orders, suppliers, buyers and receivables work the same way. We set up the stages around how you actually trade.

Can I see all my buyers and countries together?

Yes. Receivables, orders and margins can be shown by buyer, by country and by product.

Who can see my buyer prices and margins?

Only the people you allow. Access is set by role and every change is recorded with who made it and when.

How long before I see results?

The unpaid invoice list and incentive pending list need only your existing records, so they are the first things we aim to have working. Margin by order becomes reliable after a few shipments are costed.

What does it cost?

It depends on the number of users and what you want set up. Message us and we will give you a clear number after a short conversation about how your export business runs.
