Verity for industrial suppliers

The factory needs the part by Thursday. Verity makes sure you quoted it right, have it, and get paid for it.

An industrial supplier lives on part numbers, quotes, purchase orders and the plant’s payment cycle. A wrong part, a lost enquiry or a missing test certificate costs the order and sometimes the account. Verity keeps the enquiry, quote, order, stock, documents and dues of every customer in one place.

Verity in one line

One system that knows every enquiry, every quote and its follow-up, every rate contract, every part in stock, and what each plant owes you and for how long.

Free: we set up a working demo of your own business, on your own data, within 7 days. You pay only if your team decides to use it.

Your accounting software and your brand portals stay. Verity holds the enquiries, orders, documents and dues around them.

Illustrative screen with sample figures. Yours is set up with your own plants, quotes, stock and brands.

How it runs today

A catalogue of thousands, a dozen engineers, and a lot of it in email.

Most industrial suppliers carry thousands of lines across a few brands: bearings, fasteners, hoses, valves, cutting tools, safety gear, electricals. Enquiries come by phone, email and WhatsApp from plant purchasers and maintenance engineers, often urgent, often with only a part number or a photograph.

The knowledge is in people. One senior salesman knows which bearing replaces the discontinued one. The store keeper knows which shelf has the odd size. Another colleague knows which plant accepts what delivery document. When any of them is away, the quote is slower and the chance of a wrong part goes up.

The money side is slower still. Plants pay on their own cycle, rebates from the brand arrive late if at all, and slow-moving parts sit in the store while a fast one runs out. Margins are thin, so each of these has a visible cost.

What most industrial suppliers run on

  • Email threads with quotes
  • Brand price lists and portals
  • Accounting software or Tally
  • Excel of rate contracts
  • Store register
  • Engineers’ phones

All of them useful. None of them can tell you that a plant owes ₹14 lakh, past 90 days, and just sent an urgent enquiry.

14 problems, one by one

Where an industrial supply business actually loses money.

These are the situations industrial suppliers describe most often. For each: what it looks like, what it costs, and what Verity does about it.

  1. 01Enquiries

Urgent enquiries answered late, or not at all

    What it looks like

A maintenance engineer emails at 9 a.m. for a bearing that has failed. It lands in one person’s inbox. He is at a customer. By the time someone replies, the plant has called your competitor.

    What it costs you

Breakdown orders go to whoever answers first. An unanswered enquiry is a lost order and sometimes a lost vendor listing.

    How Verity fixes it

Every enquiry becomes a record with the plant, the contact, items and a response time. Anything unanswered past your limit goes to the next person, and the open list shows who owns what.

    See the screen
  2. 02Quotes

Quotes sent and never followed up

    What it looks like

Forty quotes went out last week. Nobody knows which were read, which were won and which went to the other supplier. The salesman remembers the big ones only.

    What it costs you

Example arithmetic: if 40 quotes a week average ₹60,000 and you win 25%, the 30 you do not win are ₹18 lakh of enquiries. If a follow-up call lifts even 3 of them to a win, that is ₹1.8 lakh a week.

    How Verity fixes it

Each quote has a status and a follow-up date. Verity lists quotes due for a call, with the plant’s history, and records the outcome and the reason you lost, so patterns show up.

    See the screen
  3. 03Catalogue

The wrong part is quoted or sent

    What it looks like

The plant asks for “6205 bearing”. There are three variants: sealed, shielded, open. The quote says one, the stock is another, and the part that arrives does not fit.

    What it costs you

Returns, a second dispatch, a delayed breakdown fix and a purchaser who stops trusting your word.

    How Verity fixes it

Each part is a record with brand, specification, size, alternatives and supersessions. A quote line pulls from the record, and a salesman sees the variants side by side before he commits.

    See the screen
  4. 04Pricing

Brand prices change and quotes stay on the old list

    What it looks like

The brand raises prices on the 1st. Quotes from the last two weeks were on the old list, and the plant places the order on the 12th at the old price.

    What it costs you

You sell below your new cost and the margin on that order is gone, sometimes the whole of it.

    How Verity fixes it

Brand price lists are loaded with effective dates. A quote shows its validity, and an order against an expired quote waits for a decision, with the current cost and the old price beside it.

    See the screen
  5. 05Pricing

Rate contracts kept on paper and quietly crossed

    What it looks like

A plant has an annual rate contract on fasteners, valid until March. A new salesman quotes spot prices. Another sells at the contract rate after it has lapsed.

    What it costs you

Contract abuse in either direction. Sell below and you lose margin, sell above and the plant complains.

    How Verity fixes it

Contracts are records with items, rates, validity and quantity caps. The order screen applies the live contract and shows what is left, and a lapsing contract creates a renewal task weeks before the end.

    See the screen
  6. 06Credit

Plants pay late and the cash sits in invoices

    What it looks like

A large plant pays at 90 days, sometimes 120. A small workshop pays at 15 but takes the credit anyway. Your own supplier wants payment in 30.

    What it costs you

One analysis of industrial distribution says 52% of B2B payments in industrial hubs are overdue past 90 days and distributor margins rarely exceed 5 to 8%. Long credit eats the margin on every sale.

    How Verity fixes it

Each plant has terms, a limit and an ageing record. Verity shows dues by bill and age, logs the purchaser or accounts person to call, and puts a hold flag on new orders when a plant is over limit.

    See the screen
  7. 07Credit

Payment chasing depends on one person’s relationship

    What it looks like

Only one executive knows how to get the invoice through the plant’s vendor portal. When he leaves, a dozen bills are stuck for lack of the right PO number.

    What it costs you

Invoices rejected for a missing PO or GRN number are re-raised, and payment slips by weeks.

    How Verity fixes it

The bill record holds the customer PO, delivery note, GRN number and the submission status. Pending submissions are listed with the plant’s process notes, so any colleague can pick one up.

    See the screen
  8. 08Orders

POs do not match quotes, and invoices do not match POs

    What it looks like

The plant’s PO shows a rate lower than your quote. Nobody notices until the invoice is raised and the plant refuses to pay the difference.

    What it costs you

A debit note, a credit note and a month’s delay. The margin on that order is gone.

    How Verity fixes it

A customer PO is matched line by line to the quote and the contract rate on arrival. A difference is flagged for a salesman’s decision before the order is accepted, not after the bill is rejected.

    See the screen
  9. 09Orders

Test certificates and documents missing at dispatch

    What it looks like

A consignment of high-tensile fasteners reaches the plant without the mill test certificate. The inward quality team rejects it, and your van is back on the road.

    What it costs you

A wasted trip, a delayed plant job and a quality note against your name on the vendor list.

    How Verity fixes it

Each order line lists the documents the plant needs: test certificate, datasheet, batch number, material code. The order cannot move to dispatched until each required document is attached.

    See the screen
  10. 10Orders

Partial deliveries and back orders lost in the follow-up

    What it looks like

You send 60 of 100 pieces and promise the rest in a week. The week passes, the supplier is late, and the plant calls.

    What it costs you

Trust. A plant that has to chase you for a promised delivery looks at other vendors.

    How Verity fixes it

The order keeps the open quantity as a back order with a promised date and a supplier purchase order behind it. A date at risk goes to the salesman before the customer calls.

    See the screen
  11. 11Stock

Fast movers run out and slow movers pile up

    What it looks like

A common V-belt size is out for ten days. The odd size bought for one customer in 2022 is still on the shelf.

    What it costs you

A missed sale for the fast item and cash locked in the slow one. Both happen when minimum levels are set once and never checked.

    How Verity fixes it

Each part carries a reorder level, the lead time of its supplier, and sales history. A short list shows what will run out before the next delivery, and another shows parts that have not moved in your chosen months.

    See the screen
  12. 12Suppliers

Brand rebates, targets and claims tracked only at year end

    What it looks like

The brand’s annual rebate depends on hitting a purchase target by quarter. Nobody tracks progress. Also, a batch of defective bearings was returned under warranty, but the credit note never came.

    What it costs you

A rebate missed by a small gap, or a warranty credit written off, is real money for a business on thin margins.

    How Verity fixes it

Each brand has its target, purchase to date and days left. Warranty claims are records with the batch, the customer complaint and the stage, from raised to credited.

    See the screen
  13. 13Suppliers

Brand and supplier payments and the small supplier rule

    What it looks like

A local manufacturer of gaskets, a small enterprise, is owed for 70 days while the brand distributor with strict terms is paid on the day.

    What it costs you

Under the MSME payment rule, a bill to a micro or small supplier paid after the allowed days is generally deductible only when paid. Late payments can raise your tax bill and strain supply.

    How Verity fixes it

Supplier bills carry due dates and a flag for micro and small suppliers. The payables list sorts by due date and the flag, so payments go out in the order that matters.

    See the screen
  14. 14Owner

You cannot say which plants and brands really make money

    What it looks like

Sales are up, but which plant is worth keeping? A plant that buys ₹40 lakh a year but pays at 110 days and negotiates every rate may earn less than a small workshop that pays on time.

    What it costs you

Time and capital go to accounts that look big and earn little.

    How Verity fixes it

For each plant and brand Verity shows margin after the cost of credit days, discount given, returns and claims. The owner’s screen shows the five accounts that need attention today.

    See the screen

The numbers behind it

The numbers behind the problem.

From published sources, with the source named under each figure. Your own numbers will differ, and showing you yours is the first thing Verity does.

The first two figures come from a vendor’s analysis, not an independent survey, and cover one slice of the industrial chain. The standards item is a compliance service’s summary of a notice. They show scale and direction, not what your accounts will show.

What you will actually see

The screens an industrial supplier would open every day.

An ordinary day

The same Wednesday at the counter, before and after.

The work is the same. What changes is that each enquiry, quote and bill leaves a record, and the record chases.

WhenTodayWith Verity
9:00 TodayThree enquiries sit in two inboxes. Nobody is sure who is on the bearing request. With VerityAll three have an owner and a reply time. One is already overdue and has moved to the next person.
11:30 TodayA PO arrives for fasteners at a rate below your quote. The order desk accepts it. With VerityThe PO is flagged on arrival. The salesman confirms the contract rate and a note goes back to the plant.
2:00 TodayA van leaves without the test certificate. The plant rejects the lot on arrival. With VerityThe order cannot move to dispatched until the certificate is attached.
4:00 TodayYou find out a quote of last month is being honoured on the brand’s new price. With VerityThe quote shows as expired against the new list. The salesman revises it before the order is accepted.
6:00 TodayA plant’s bill has been stuck for 19 days for a missing GRN number. Nobody knew. With VerityThe stuck bill is on the dues list with the missing item. Accounts resubmits on the same day.
Month end TodayYou learn you missed the brand’s rebate slab by a small purchase. With VerityThe brand screen showed the gap 10 days earlier. You placed a planned purchase.

How we work with you

We set it up with you, in four weeks, around your parts and your plants.

You do not get a login and a manual. We learn how your counter and your key accounts work, build Verity around it, bring in your parts, rates and dues, then stay on until it sticks.

  1. Week 1

    Discovery and mapping

    What we do
Sit with your senior salesman and the store keeper. Follow an urgent enquiry from first call to dispatch, and one plant’s invoice from delivery to payment. Note where parts, rates and documents are held today.
    What we need from you
Two to three hours of your time, and your senior salesman’s. A sample of quotes, POs, rate contracts and the store register.
What you have at the end
A written map of your business: plants and their rules, brands and terms, the parts that matter most, and the leaks to fix first.
  2. Weeks 2 to 3

    Configuration

    What we do
Set up parts with variants and replacements, brand price lists with dates, rate contracts, credit terms per plant, the documents each plant needs, reorder levels and brand targets.
    What we need from you
Check the rules with the senior salesman and the accounts person. Tell us where a rule is wrong.
What you have at the end
A working Verity with your parts, price lists, contracts and rules loaded, ready for your data.
  3. Weeks 3 to 4

    Migration and training

    What we do
Bring in the parts list, stock, customers with open dues by bill, open POs, back orders and supplier bills. Train salesmen, the order desk, the store and accounts on live enquiries.
    What we need from you
Your sheets and ledger exports, in whatever shape. One hour with each role, and a week of live enquiries to test.
What you have at the end
Your parts, plants and dues inside Verity, and a team that has run a real week of enquiries on it.
  4. After go-live

    Operations partnership

    What we do
Stay on after launch. Review quote follow-up, plant ageing and brand targets with you, and tune rules as brands and contracts change.
    What we need from you
A short monthly review of quotes won and lost, dues and brand progress.
What you have at the end
A setup that keeps up with new plants, new brands and new price lists, with someone responsible for it.

Bring these on day one

  • Your parts list with brand and cost, even a spreadsheet
  • Brand price lists and their effective dates
  • Customer rate contracts and their validity
  • Open dues by bill with PO and GRN numbers if you have them
  • Plant vendor rules, such as documents and portal steps
  • Brand targets, rebate slabs and open warranty claims

Your time

About 10 to 13 hours of your own time across the four weeks, mostly in week 1. The senior salesman and the accounts person need a few more.

After go-live

Nobody extra is hired. Enquiries, quotes and orders are recorded as they happen, and the reports come from those records.

Verity AI

Ask the business a question. Get an answer, not a report to build.

Verity AI reads your own enquiry, quote, stock, dues and brand records. Ask in plain language, then turn the answer into tasks for the right people.

  • Your records only Answers come from your own industrial suppliers data, not from generic knowledge.
  • Right person, right view It only shows what the person asking is allowed to see.
  • Turns into action An answer can become a task assigned to a named person.

Verity / Ask

Which quotes older than a week are worth chasing today?

26 quotes worth ₹14.2 lakh have had no reply for over 7 days. Eight are above ₹50,000 and four are from plants that bought from you last quarter.

  • Anand8 quotes, ₹4.4 L
  • Nisha5 quotes, ₹2.7 L
  • Vivek4 quotes, ₹2.0 L

Verity / Ask

Which plants are over 90 days and still raising POs?

Four plants owe ₹54 lakh past 90 days. Two raised new POs this week worth ₹6.2 lakh.

  • Bharat Forge₹22.4 L
  • Thermax Boilers₹8.2 L

Verity / Ask

Will we hit the SKF rebate slab this quarter?

You are at 82% of the target with 11 days left. The 90% slab needs ₹6.8 lakh more in purchases. Stock cover supports about ₹4.5 lakh of it.

Rules and paperwork

The rules an industrial supplier has to keep up with.

Verity does not give tax or legal advice and does not file anything. It keeps the records these rules rely on in order, so your accountant is not rebuilding them from email.

  • Payment to micro and small suppliers

    What is expected

Payment to a micro or small supplier is generally due within 15 days with no written agreement, or the agreed term, not above 45 days. Section 43B(h) of the Income-tax Act ties the tax deduction to actual payment for late bills.

    How Verity helps

Supplier bills carry a due date and a small-supplier flag, and payables are sorted so the right bills are paid first.

    ClearTax on Section 43B(h)

  • E-way bill for goods in transit

    What is expected

A consignment above ₹50,000 generally needs an e-way bill before it moves, and the intra-state limit differs by state.

    How Verity helps

Each dispatch records the vehicle and e-way bill number, and an order marked dispatched without one is flagged.

    Tally Solutions, e-way bill guide

  • BIS standards on certain traded products

    What is expected

For products under a BIS quality control order, selling or stocking goods without the required certification can be an offence. Several orders were withdrawn in 2025 and others remain, so the list changes.

    How Verity helps

Parts carry their standard and certificate details, so a seller sees what applies to a line before quoting, and certificates stay attached to batches.

Corpseed, on withdrawn BIS quality control orders

  • GST invoices and e-invoicing

    What is expected

Businesses above a turnover threshold, generally ₹5 crore, must generate e-invoices, and larger taxpayers must report them within a limited number of days. Thresholds have changed more than once.

    How Verity helps

Orders, rates, HSN and tax split are held per customer and bill, so your accountant or billing software works from complete data.

Rules and thresholds change and differ by state. Confirm current requirements with your accountant or the relevant authority.

Who sees what

Everyone sees the same records, through their own window.

A junior salesman should not see brand cost prices. The store should not see plant credit. Each role opens on what it needs.

  • Owner

Which plants and brands make money?

Margin after credit days by plant and brand, quote win rate, dues by age, brand targets and approvals waiting.

  • Salesman

Whom do I call and what do I quote?

His enquiries and quotes, plant history, live prices and contract rates, and his dues to chase.

  • Order desk

What can I accept and dispatch?

POs matched to quotes, back orders, required documents, and dispatches awaiting e-way bills.

  • Store keeper

What is in the store and what is short?

Stock by part and location, reorder levels, goods inward to check, and picklists.

  • Accounts

What is billed, due and stuck?

Bills by plant, PO and GRN status, receipts, supplier bills by due date, and claims to chase.

Straight answers

What changes, and what stays the same.

Keep using

  • Your accounting software or Tally. We agree how data reaches Verity during setup.
  • Brand portals and distributor logins, where you still place orders and raise claims.
  • Email and WhatsApp for talking to plant purchasers. Verity holds the enquiry and the record.
  • Your accountant, who still prepares your returns.

Verity does not

  • Print invoices or run the counter billing.
  • Take orders from plants through a web portal.
  • Send quotes or reminders to plants on its own.
  • File returns or give tax advice.

We bring parts, stock, plants, open POs, rate contracts and open dues across from your sheets and ledgers, in stages, so the counter keeps quoting while it happens.

Questions

Questions industrial suppliers ask.

We have thousands of parts. Do we need to enter all of them?

No. We start with the parts that make most of your sales and the ones with variants that cause mistakes. The rest come in from your existing sheet during migration, and are completed as they are used.

Does it send quotes to customers?

No. Verity builds the quote from the part, price and contract records, and your salesman sends it as he does today. The follow-up date and the outcome are then recorded.

How does it handle different documents for different plants?

Each plant has a list of documents it needs, such as test certificates, batch numbers or datasheets. An order cannot move to dispatched until each required one is attached.

Can it work with our brand’s distributor portal?

You still place orders and raise claims on the brand’s portal. Verity records the claim, the batch and the stage, and we agree during setup how data from your side reaches Verity.

We have three stores. Can I see all stock together?

Yes. Each store is a location in one system. Stock rolls up, and a transfer between stores is recorded so parts do not appear or disappear.

Can salespeople see each other’s quotes?

Only if you allow it. Many suppliers let each salesman see his own accounts, and keep the full pipeline for owners and managers. Access is set by role.

Who can see my cost prices?

Only the people you allow. Salesmen can see a selling price and floor without seeing brand cost, and every change is recorded with who made it and when.

How quickly will it help?

The quote follow-up list and plant dues by age need only your existing quotes and ledger, so they come first. Margin by plant and brand becomes reliable after a month or two of recorded orders.

What does it cost?

It depends on the number of stores, users and what you want set up. Message us and we will give you a clear number after a short conversation about how your counter works.
