Verity for sports stores

A sports store carries a hundred sizes of a few things. The money is in having the right size at the right month.

A sports store sells to a school coach in April, a cricket-mad twelve-year-old in May, a badminton club in winter and a gym-goer all year. Each wants a particular size, weight or model, and each season leaves stock that nobody wants. Verity connects the shelf, the season, the bulk order and the customer, so you can see which size is about to run out and which stock has stopped moving.

Verity in one line

One system that knows every size on the shelf, every school and club that buys from you, every brand claim in progress and every rupee owed, and tells you what needs attention today.

Free: we set up a working demo of your own business, on your own data, within 7 days. You pay only if your team decides to use it.

Built for a counter that is crowded on weekends and has no time for data entry. Records come from the sales, deliveries and orders you already handle.

Verity in retail and commerce

Shelf counts, billing and stock, shown the way a store lives them.

35 seconds, no sound. An illustrative film, so the scenes are examples, not customer results.

How it runs today

Most sports stores know their customers by face and their stock by feel.

The counter is easy to see. A father trying three pairs of football boots, a coach asking for a quote on twenty cricket kits, a teenager comparing two rackets. What is hard to see is what sits behind it: which sizes are gone and which are piled up, which model sold well last year and is now a slow mover, which school has not paid for last term’s order, and which brand is owed a warranty claim.

That information exists in pieces. The billing screen knows the sale. The brand distributors’ price lists arrive on WhatsApp. School orders are in a notebook or a phone gallery. A racket waiting for restringing has a paper tag. The owner holds the rest in memory.

Sports demand has seasons, and stock bought for one season can sit through the next. Cricket sales usually rise in May when school vacations start, and bulk orders from makers can take months, so the buying decision is made long before the customer walks in.

What most sports stores run on

  • Billing screen at the counter
  • Distributor price lists and order slips
  • Notebook or Excel for school and club orders
  • WhatsApp for customers and brand reps
  • Paper tags for repairs and claims

Each one does its own job well enough. None of them talk to each other, and nobody has time to join them.

15 problems, one by one

Where a sports store actually loses money.

These are the situations sports store owners and managers describe again and again. For each one: what it looks like on an ordinary day, what it costs, and what Verity does about it.

  1. 01Stock

The size or weight the customer needs is the one you do not have

    What it looks like

A parent wants football boots in size 4 for a school trial on Monday. You hold three pairs in size 8 and none in size 4. A cricketer wants a bat in a lighter weight than the ones on the rack. Stock was bought in round numbers, not in the sizes that actually sell.

    What it costs you

Example arithmetic: if ten customers a month walk out because the size is missing, and an average sale is ₹1,800, that is ₹18,000 a month of sales that were right in front of you.

    How Verity fixes it

Every item is stocked by size, weight or model. Verity shows sell-through by size, so a re-order follows what sold and not a round-number guess, and shows which sizes ran out and how many customers asked.

    See the screen
  2. 02Stock

Season stock bought too early, or too late

    What it looks like

Cricket gear needs to be in the shop before the school vacations start. Badminton picks up in the cooler months. A World Cup or a league win suddenly puts team jerseys on every kid’s wish list. You order on a hunch, and either the season starts with empty racks or ends with a pile.

    What it costs you

Cricket equipment sales have been reported to rise by 20 to 25 percent in May, when school vacations start, and bulk orders from makers can take months. Stock that arrives after the peak sits on the shelf with cash tied up in it.

    How Verity fixes it

Each item’s sales by week for the last two years are laid against this year’s stock. Verity flags what to order and when to be on the shelf before the season, and shows how much is still in stock a month after the peak.

    See the screen
  3. 03Stock

Last year’s models that have stopped moving

    What it looks like

A racket model from two seasons ago, a boot colour that did not sell, a bat in a weight nobody asks for. They sit in the corner, get dusty and slowly go out of fashion. Nobody has looked at them in months.

    What it costs you

Sports stock can lose value quickly once a new model arrives or a season passes. Each old model is cash you cannot use for the size that is selling.

    How Verity fixes it

Verity lists items by days since the last sale and value held. The slow movers are shown with a suggested action, such as a bundle, a markdown or a return to the distributor where the terms allow it, and each one has an owner.

    See the screen
  4. 04Institutions

School and club orders that are never fully paid

    What it looks like

A school orders thirty cricket kits and forty football sets for its sports day, and pays half. The coach says the rest will come when the accounts office clears it. Three months later the balance is in a notebook, a different one from last year’s.

    What it costs you

Example arithmetic: a ₹2.4 lakh school order with 40 percent pending for 90 days is ₹96,000 of your cash sitting in someone else’s account, and it happens with every school in the city.

    How Verity fixes it

Each school, club and academy is a customer with orders, invoices and balances. Verity shows what is owed by whom and for how long, sends the accounts contact a task to chase on a schedule you set, and records each promise to pay.

    See the screen
  5. 05Institutions

Quotes to coaches and clubs that go unanswered

    What it looks like

A coach messages for a quote on twenty cricket kits. You reply late, or give a price from memory, or lose the thread in a WhatsApp group. The academy buys from the shop that replied first.

    What it costs you

Bulk and institutional orders are the largest tickets a sports store sees. They are lost to slow replies and mixed-up details far more often than to price.

    How Verity fixes it

Each enquiry is a record with an owner, the items, the quantities, the quote and the next step. Verity lists those with no reply and tells the person responsible. Staff still send the quote, and the outcome is recorded.

    See the screen
  6. 06Customers

Repeat buyers are known to the counter and not to the shop

    What it looks like

A regular badminton player buys a racket and strings every few months. A cricket coach sends you five students a year. The staff member who knows them leaves for another shop and takes the relationship along.

    What it costs you

Repeat customers and the coaches who recommend you are your cheapest sales. When nobody records who they are, you only find out they have stopped coming after they have gone.

    How Verity fixes it

Purchases are linked to a customer record with their sport, usual brand and size, and any coach or academy who sent them. When someone goes quiet beyond their usual gap, they appear on a list and a task goes to the person who knows them.

    See the screen
  7. 07Customers

Growing children need a new size every year and nobody reminds the parent

    What it looks like

A child’s football boots, shin guards, cricket pads and school tracksuit are all outgrown in a year. The parent buys from whichever shop comes to mind first. You sold the last pair and have no way to remember.

    What it costs you

A child who grows is a customer who is certain to return, and the shop that reaches out first usually keeps the sale.

    How Verity fixes it

The child’s sport, last size and date of purchase sit on the family record. Before the new school year or season, Verity lists children likely to need the next size, and the counter team follows up with the parent.

    See the screen
  8. 08Claims and jobs

Warranty claims that are lost between the customer and the brand

    What it looks like

A racket frame cracks in month three, a shoe sole splits, a bat handle comes off. The customer brings the invoice, or says they lost it. You tell them you will talk to the brand and the repair is forgotten until the customer returns, annoyed.

    What it costs you

Unresolved claims cost you the customer and sometimes the next ten people they tell. Claims that the brand would have honoured but were never filed in time are a direct loss.

    How Verity fixes it

Each warranty claim is a record linked to the original sale, with the brand, the date, the photos and the status. Verity shows claims awaiting the brand’s reply and flags those near the brand’s claim window, so none is lost.

    See the screen
  9. 09Claims and jobs

Stringing, repairs and custom printing tracked on paper tags

    What it looks like

Rackets are left for stringing, bats for knocking in, jerseys for name printing. Each has a paper tag. A customer calls to ask if it is ready and someone has to rummage through a drawer.

    What it costs you

Lost or mixed-up items, late deliveries, and a person on the shop floor searching for tags while a customer waits at the counter.

    How Verity fixes it

Each job is a record with the customer, the item, the work, the promised date and the status. The counter sees what is ready, what is late and what is waiting for the customer, and the customer’s message is a task rather than a search.

    See the screen
  10. 10Suppliers

Brand price lists, schemes and rate changes arrive on WhatsApp

    What it looks like

A distributor sends a new price list as a photo. A brand runs a scheme on a certain boot for two weeks. A rate changes after the GST change and your shelf still shows the old price on some items.

    What it costs you

Selling below the new cost, missing a scheme you qualified for, or holding stock at an old price while the market has moved. Each is small, and all of them add up.

    How Verity fixes it

Every purchase records the rate. Verity shows price changes by supplier and item, flags where your selling price is now below the margin you set, and keeps schemes as records with dates, targets and progress.

    See the screen
  11. 11Suppliers

GST rate changes leave old stock and old prices mixed

    What it looks like

Most sports goods moved from 12 percent to 5 percent GST from 22 September 2025, while general exercise equipment such as treadmills and dumbbells stayed at 18 percent, and sportswear and shoes now depend on whether the price is above ₹2,500. Your shelf holds items from before and after, and staff are unsure which price and tax rate to show.

    What it costs you

Wrong tax treatment on a bill, confused customers and hours of correction by your accountant at month end. Rates and thresholds can change again.

    How Verity fixes it

Each item carries its tax category and each purchase and sale records the rate that applied. Your accountant sees the split already clean, and a rate change is one update to the item’s setup, not a re-label of the shelf.

    See the screen
  12. 12Suppliers

Short deliveries and damaged goods in transit

    What it looks like

A box of bats arrives with two cracked blades. A carton of shoes has three pairs in the wrong size. The delivery slip says the full count, and the person who signed it was busy with a customer.

    What it costs you

You pay for goods that never came or came damaged, and the claim goes in late or not at all.

    How Verity fixes it

Deliveries are received against the order with the quantity and condition that actually arrived, with a photo if needed. Verity compares order, receipt and invoice and flags any mismatch before the bill is paid, and tracks the credit note until it arrives.

    See the screen
  13. 13Money

    Discounts, bargaining and tournament-season rush

    What it looks like

A buyer asks for 10 percent off on a bundle. A salesperson agrees to match another shop. A friend of the owner gets a special rate. During the rush before a tournament, the discounts get larger and nobody records them.

    What it costs you

Example arithmetic: a regular 5 percent extra discount on a month of ₹8 lakh sales is ₹40,000, and none of it was a decision you took.

    How Verity fixes it

Discounts above a limit need a one-tap approval with a reason. Verity totals all discounts by person, item and week so the pattern shows, and you see which items are sold with the thinnest margin.

    See the screen
  14. 14Money

Day-end takings do not tie to the bills

    What it looks like

At closing, cash, card and UPI are counted against the billing report and are off by a few hundred rupees. Nobody can say whether a bill was missed, a refund was given or the float was wrong.

    What it costs you

Small daily gaps compound, and the owner stops trusting the numbers on the screen.

    How Verity fixes it

The day’s sales by payment mode are compared with what was collected. A mismatch is flagged with the shift and amount, and the person closing records the reason.

    See the screen
  15. 15Owner

The owner is the system, and a second outlet doubles it

    What it looks like

You remember which sizes are running out, which school owes you money and which brand claim is open. You are also on the floor. A second outlet, or a stall at a tournament, keeps its own sheet and sends it over WhatsApp at night.

    What it costs you

The business cannot grow past what one person can hold in their head, and stock sits idle in one place while another runs out.

    How Verity fixes it

Each morning Verity shows a short list of what needs a decision, each with an owner. Outlets and stalls are locations in one system, with stock, sales and balances side by side, and stock can move between them against a recorded transfer.

    See the screen

An ordinary day

The same Saturday, before and after.

What changes is not the sports kit. It is that the day leaves a record, and the record does the chasing.

WhenTodayWith Verity
9:30 TodayYou open the shutter and glance at the racks. You think junior boots are low, but not which sizes. With VerityThe Today screen shows junior boots missing in sizes 3 to 5, and an order is drafted for Monday’s delivery.
11:00 TodayA coach messages for a quote on twenty kits. It sits in a chat while you serve a queue. With VerityThe enquiry is on the institutions board with an owner and a reminder. The quote goes out before lunch.
1:00 TodayA parent asks for the bill of a racket that cracked. Nobody can find it. With VerityThe sale is on the customer record. The claim is filed and the brand’s window date is on it.
4:00 TodayA customer asks for 15 percent off and the counter calls you on the floor. With VerityIt arrives as a one-tap approval on your phone with the reason attached.
8:30 TodayYou count cash and UPI against the bill book. It is ₹280 off, and nobody knows why. With VerityVerity shows the one bill that does not tie. The closer notes it in a minute.
Month end TodayThe accountant asks which items were sold at which tax rate. You rebuild it from slips. With VerityEach bill already carries the item’s rate, so the split is clean when the month closes.

How we work with you

We set it up with you, in four weeks.

You do not get a login and a manual. We spend time on your shop floor, build Verity around how your store really runs, bring your data in, then stay to make sure it keeps working.

  1. Week 1

    Discovery and mapping

    What we do
Spend a weekend afternoon and a quiet weekday in your store. Watch how a sale, a school order and a repair move through, how stock arrives and how the day is counted, and note which leaks matter most.
    What we need from you
Two to three hours of yours and your senior salesperson’s. Access to your billing reports, a season of purchase invoices and your school and club list.
What you have at the end
A written map of your store: the sports and brands you carry, the size and model grid, your suppliers, your institutions and the first leaks we will close.
  2. Weeks 2 to 3

    Configuration

    What we do
Set up your items by size and model, tax categories, reorder points, suppliers, discount limits, institutions with their terms and the job and claim types, and build the six screens around your own terms.
    What we need from you
Check the setup with your senior salesperson. Tell us where an item, a size run or a rule is wrong.
What you have at the end
A working Verity with your real items, institutions, staff and rules, ready for your data.
  3. Weeks 3 to 4

    Migration and training

    What we do
Bring in your stock levels, school and club list with balances, customer contacts and open warranty claims from the sheets and notebooks you use. Train the counter team at the counter during a real weekend.
    What we need from you
Your institution list and balances, and an opening stock count by size. One hour with each role.
What you have at the end
Your stock, institutions and claims inside Verity, and a team that has used it through a busy weekend.
  4. After go-live

    Operations partnership

    What we do
Stay on after launch. Review the first weeks with you, tune the reorder points and chase rules, and handle changes when a new brand, a new season or a new outlet arrives.
    What we need from you
A short monthly review of what the numbers say.
What you have at the end
A system that keeps matching how the store runs, with someone responsible for it.

Bring these on day one

  • Your item list by brand with prices and, if you have them, size runs
  • A season of purchase invoices and distributor price lists
  • Your school, club and academy list with any balances
  • Open warranty claims and repair tags
  • Your discount rules and any supplier schemes you are on

Your time

About 8 to 10 hours of your own time across the four weeks, mostly in week 1. Your senior salesperson needs a few more.

After go-live

Nobody is hired to run Verity. Sales, deliveries and jobs are recorded as part of work the team already does, and the reports come from those records.

Verity AI

Ask your store a question. Get an answer, not a report to build.

Verity AI reads your own sales, stock, institution and customer records. Ask in plain language, then turn the answer into tasks for the right people.

  • Your records only Answers come from your own sports stores data, not from generic knowledge.
  • Right person, right view It only shows what the person asking is allowed to see.
  • Turns into action An answer can become a task assigned to a named person.

Verity / Ask

Which schools and clubs owe us money for more than 60 days?

Four institutions owe ₹1.1 lakh past 60 days. St. Paul’s School is the largest at ₹96,000.

  • St. Paul’s School₹96,000
  • Lakshya Badminton Club₹18,500
  • Others₹4,200

Create a chase task for each account contact

Verity / Ask

Which junior sizes will we run out of before the summer break?

Boots in sizes 3, 4 and 5 and youth cricket pads in small will run out in about three weeks at last year’s pace. Everything else covers the break.

Draft the order for the next delivery

Verity / Ask

Which items have not sold in 150 days and what do they cost us?

58 items have not sold in 150 days and hold ₹2.4 lakh at cost. Rackets from the 2023 model are the largest group.

  • Rackets 2023 model₹71,000
  • Boots last season colour₹58,000
  • Bats 2h 10oz₹32,000
  • Other₹79,000

Sample questions and answers with illustrative figures.

Without chasing

The follow-ups nobody has time to make.

Set once, then they run from your records. Staff still talk to customers, schools and brands; Verity makes sure the right person knows what to do.

  • GST on sports goods and sportswear

    What is expected

From 22 September 2025, most sports goods generally moved from 12 to 5 percent. General exercise equipment such as treadmills and dumbbells generally stays at 18 percent, and sportswear and shoes are generally taxed at 5 percent up to ₹2,500 per piece or pair and 18 percent above that. How Verity helps

Each item carries its tax category, and each purchase and sale records the rate that applied, so the split your accountant needs is clean at month end.

  • Selling at or below MRP

    What is expected

For packed goods, the Legal Metrology rules generally bar a dealer from selling above the printed retail price, apart from a valid tax revision in the month of packing or the next month.

    How Verity helps

Each item records its MRP and the price charged, and a bill above MRP is flagged for the manager before it is closed.

  • Customer data and consent

    What is expected

Phone numbers, children’s sport details and purchase history are personal data. India’s data protection rules were notified on 13 November 2025, and most duties start to apply in phases, with the main ones about 18 months later.

    How Verity helps

Customer data sits in one permissioned place, with who viewed or changed it recorded, instead of in personal phones and chat groups.

  • Shops and establishments registration and staff records

    What is expected

Most states require a shops and establishments registration and records of working hours, weekly offs and leave. Details differ by state, so check your own.

    How Verity helps

Registration is stored with its renewal date and owner, and shifts, attendance and leave are recorded against each person.

Rules change and differ by state. Confirm current requirements with your accountant or the relevant authority.

Who sees what

Everyone sees the same records, through their own window.

A salesperson should not see everyone’s pay. The counter should not edit supplier rates. Each role opens on what it needs.

Questions

Questions sports store owners ask.

Will my salespeople record sizes and discounts at a busy counter?

Only if it takes seconds, so we set recording up as a few taps that sit beside the bill they already make. We train on a real weekend, not in a classroom, and we start with the few details that matter most.

Does Verity replace my billing system?

No. Your billing screen keeps taking bills and payments. We agree during setup how those bills reach Verity, which then does the stock, supplier, institution and customer work around them.

Can it take orders from schools or customers online?

No. If schools order by phone or message today, that continues. Verity makes sure every enquiry has an owner and a next step, and your team replies.

I have one small store with two staff. Is this too much?

A small store has the same leaks and less time to notice them. We set up only what you need in the same four weeks and leave out what you do not.

Can it handle sizes and models?

Yes. Items are set up by sport, brand, model and size or weight, so you see what is missing by size and not just by product.

Can it track warranty claims with the brands?

Yes. Each claim is a record linked to the original sale, with the brand, the date and the status. Your staff file the claim with the brand; Verity makes sure none is forgotten.

I run a store and a tournament stall. Can I see them together?

Yes. Each is a location in one system, with stock, sales and balances side by side. Stock can move between them against a recorded transfer.

Who can see my data?

Only the people you allow. Access is set by role, so salespeople, managers and your accountant each see what they need, and every change is recorded with who made it and when.

What does it cost?

It depends on the number of outlets, staff and what you want set up. Message us and we will give you a clear number after a short conversation about how your store runs.
