Verity for advertising agencies

The media plan said ₹18 lakh. The bookings say ₹21 lakh. The client invoice says ₹18 lakh.

An advertising agency turns a client's budget into media bookings and creative, and bills the difference. The plan changes after every call, the creative has twelve versions, and the billing has to match what actually ran. Verity keeps the estimate, the bookings, the creative versions and the invoice on one campaign record, so the numbers agree before the client sees them.

Verity in one line

One system that knows every campaign's plan, every booking, every creative version and every rupee owed, and tells you which job is running over before the client does.

Free: we set up a working demo of your own business, on your own data, within 7 days. You pay only if your team decides to use it.

Your design software, buying platforms and accounting package stay where they are. Verity runs the agency around them.

How it runs today

The campaign is a spreadsheet, and the spreadsheet is the only copy.

An advertising agency runs several campaigns at once, each with a media plan, a list of vendors, creative in many sizes and a client who changes their mind. The plan lives in an Excel sheet that has been renamed v7 final. Bookings are made by phone and chat. Creative goes back and forth in email.

The numbers that matter are in different places. The approved estimate is in a PDF. The insertion orders and booking confirmations are with the media team. The proof that an ad ran is in a vendor's email, a photo or a screenshot. The client invoice is made in the accounts package from whatever the account manager remembers.

So differences show up late. A booking made at a higher rate than the plan. A creative size that was never delivered to the publisher. A hoarding that went up a week late. A client who is billed for 100% of a plan that ran at 85%. And a payment cycle that, according to agency executives, can be 60 to 90 days, while you have already paid the media.

What most advertising agencies run on

  • Excel media plans
  • Booking confirmations by email and chat
  • Creative files in shared folders
  • Accounts package for invoices
  • WhatsApp groups with clients and vendors

Each part works on its own. Nothing ties the estimate, the booking, the proof and the invoice together.

14 problems, one by one

Where an advertising agency actually loses money.

These are the situations agency owners, media heads and finance teams describe again and again. For each one: what it looks like, what it costs, and what Verity does about it.

  1. 01Media plans

The media plan lives in five versions

    What it looks like

The plan went to the client as v3. The media team updated it to v6 after two calls. The account manager quotes figures from v4 in a review meeting.

    What it costs you

Quoting the wrong number to a client costs credibility, and booking against the wrong version costs real money.

    How Verity fixes it

Each campaign has one media plan record with dated versions and the approved one marked. Bookings link to the approved version, so anyone opening the campaign sees the same plan.

    See the screen
  2. 02Media plans

Bookings made at a different rate than planned

    What it looks like

The plan allowed ₹3.2 lakh for a newspaper insertion. The buyer got a last-minute slot at ₹3.6 lakh and booked it on a call. The difference is found at month end.

    What it costs you

Example arithmetic: ten such bookings in a month at ₹30,000 over each is ₹3 lakh the client may refuse to pay.

    How Verity fixes it

Each booking is recorded against the plan line with the actual rate. Verity flags any booking above the plan by your set limit and asks for an approval note from the account head before it is confirmed with the client.

    See the screen
  3. 03Media plans

Spend runs ahead of the client's budget

    What it looks like

A digital campaign is set to a daily budget. A weekend burst pushes the spend 20% past the approved amount before anyone reviews it on Monday.

    What it costs you

The agency either absorbs the overspend or has an awkward conversation about an unapproved cost.

    How Verity fixes it

Planned and actual spend are entered by line and by week, with the budget left shown on the campaign. A line past 90% of its budget raises a task for the buyer and the account head.

    See the screen
  4. 04Creative

    Creative goes through twelve versions

    What it looks like

A film script has been sent in nine versions. The client's marketing head, the founder and the brand manager each comment in a different chat. The final voice-over is recorded from an older script.

    What it costs you

Recorded and produced work done from a wrong version is paid for twice. Studio time and artist fees do not come back.

    How Verity fixes it

Each creative has dated versions, comments attached to the version and a named client approver. Production is released only against an approved version, and the production task links to it.

    See the screen
  5. 05Creative

The right size never reaches the publisher

    What it looks like

The newspaper wants a specific size and format by 5 pm. The designer made the wrong cut. The ad runs a day later, or in a smaller slot.

    What it costs you

A missed slot is paid for and not delivered, and the client notices.

    How Verity fixes it

Every booking lists the creative specification and the deadline for delivery. A task is created for the designer with the due time, and the delivery to the vendor is marked done with a confirmation reference.

    See the screen
  6. 06Execution

Proof that the ad ran is missing

    What it looks like

A hoarding was meant to go up on the 1st. It went up on the 8th. The photo is on a vendor's phone and the client invoice goes out for the full month.

    What it costs you

Billing for something that did not run as planned invites a dispute, and a credit note after the fact.

    How Verity fixes it

Each booking has a proof of execution step: photo, tear sheet, screenshot or report, with the date it ran. A booking cannot be marked complete without proof, and delays are recorded so a credit can be claimed from the vendor.

    See the screen
  7. 07Billing

The invoice does not match what ran

    What it looks like

The client invoice is built from the estimate. Three bookings ran shorter, one was added late, and a vendor sent a credit. The final bill is wrong in both directions.

    What it costs you

Over-billing causes a dispute and delay; under-billing is money lost for good. Both take hours of finance team time to unwind.

    How Verity fixes it

For each campaign, Verity shows estimate, bookings, proof received and vendor bills side by side. The finance team prepares the invoice from what is confirmed, and every difference has a reason on the record.

    See the screen
  8. 08Billing

You pay the media before the client pays you

    What it looks like

Media owners expect payment on their terms. The client's finance team pays in 60 to 90 days. The agency funds the gap from its own account.

    What it costs you

Agency executives have said the agency is in effect lending money to the client. Example arithmetic: ₹40 lakh a month of media at 75 days is about ₹1 crore of the agency's cash tied up.

    How Verity fixes it

Verity shows for every client what has been billed, what the client owes by age, and what you owe vendors by due date. Cash that will go out before it comes in is visible, and follow-up tasks go to the account owner.

    See the screen
  9. 09Pitches

Pitches eat the same people as live work

    What it looks like

A big pitch is due in a week. The strategist, the art director and the copywriter are also on three live campaigns. The pitch gets the late nights and the live work gets the leftovers.

    What it costs you

Unpaid pitch hours are a large hidden cost, and a rushed live job loses the client you already have.

    How Verity fixes it

Pitches are projects with an owner, a deadline and the hours they take. The load view shows who is stretched across pitch and live work, so staffing is decided before the weekend.

    See the screen
  10. 10Compliance

    Claims in ads nobody checked

    What it looks like

A health-drink ad says "clinically proven" because the client's brief said so. The line goes out without a substantiation document on file.

    What it costs you

The CCPA's 2022 guidelines on misleading advertisements and endorsements apply to agencies as well as advertisers and expect due diligence. A complaint lands on both.

    How Verity fixes it

Each creative has a claims list, with the supporting document from the client attached to the record and the reviewer who checked it. A claim without proof is held, with the reason noted.

    See the screen
  11. 11Compliance

Endorsements and influencer posts without the right label

    What it looks like

A celebrity or creator post in the plan has the disclosure in a hashtag or not at all. The agency booked it and nobody owned the check.

    What it costs you

ASCI's scorecard found 69 of the top 100 influencers failed its guidelines. The brand and the agency both take the heat.

    How Verity fixes it

Influencer and endorsement lines carry a disclosure and claims checklist, with the live link recorded. A line cannot be marked complete until the check is done.

    See the screen
  12. 12Vendors

Freelance directors, studios and vendors paid in a scramble

    What it looks like

A director, a music composer and a post-production studio are hired for one film. Quotes are in chats, bills arrive after the client invoice, and TDS details are missing.

    What it costs you

The real production cost is known only after the client has been billed, and the margin is a guess.

    How Verity fixes it

Vendors are records with quotes, work orders and bills received against the campaign. Campaign cost to date is visible before the client invoice is prepared.

    See the screen
  13. 13Clients

Clients review spend with no single answer

    What it looks like

A client's CFO asks, "How much did we spend on the festive campaign across print, outdoor and digital?" The answer takes two days and three people.

    What it costs you

Slow answers on money make clients doubt the numbers, and doubts lead to audits and pitches to other agencies.

    How Verity fixes it

Ask Verity AI for the spend on a client's campaign by medium, and it answers from the plan, bookings and bills on record, with the lines shown.

    See the screen
  14. 14People

Staff and production hours across jobs are never counted

    What it looks like

A creative team works on a brand for six weeks. The fee was a flat project fee. Nobody counted the hours, and the next project is priced on a guess.

    What it costs you

Underpriced fees repeat, because the true cost of the last one was never known.

    How Verity fixes it

Time is logged against the campaign as work happens. Verity shows fee, hours and cost per campaign, so the next quote is based on what the last one really took.

How we work with you

We set it up with you, in four weeks.

You do not get a login and a manual. We follow a real campaign from brief to invoice, build Verity around how your plans, bookings and bills move, bring in your data, then stay to make sure it keeps working.

  1. Week 1

    Discovery and mapping

    What we do
Trace one live campaign from estimate to final invoice, including a booking call, a creative approval and a vendor bill. Note where numbers stop matching.
    What we need from you
Two to three hours of yours and your media head's. Three recent campaign files with estimates, plans and invoices.
What you have at the end
A written map of your agency: how campaigns, plans, bookings and bills connect, and the first mismatches we will close.
  2. Weeks 2 to 3

    Configuration

    What we do
Set up client and campaign records, plan templates by medium, rate limits, approval notes, proof steps, vendor records and the six screens in your own terms.
    What we need from you
Check the setup with your media head and one account manager. Tell us where a medium or a rule is wrong.
What you have at the end
A working Verity with your real clients, media types and rules, ready for your data.
  3. Weeks 3 to 4

    Migration and training

    What we do
Bring in client details, open campaigns, current plans, vendor lists and outstanding bills from your sheets and accounts exports. Train each role on a live campaign.
    What we need from you
Your open campaign sheets and vendor list in whatever form they exist. One hour with each role.
What you have at the end
Your live campaigns inside Verity, and a team that has booked, approved and checked proof through it.
  4. After go-live

    Operations partnership

    What we do
Stay on after launch. Review the first month of plan variances and billing differences with you, tune limits, and handle changes when you add a medium, a client or a team.
    What we need from you
A short monthly review of what the numbers say.
What you have at the end
A system that keeps matching how the agency runs, with someone responsible for it.

Bring these on day one

  • Three recent campaigns with estimate, plan and final invoice
  • Your vendor list with rates and payment terms
  • The current list of clients with credit terms
  • Your creative approval path as it works today
  • A list of open invoices both ways

Your time

About 9 to 12 hours of your own time across the four weeks, mostly in week 1. Your media head and finance lead need a few more.

After go-live

Nobody is hired to run Verity. Bookings, versions and proof are recorded as part of work the team already does, and billing views come from those records.

Verity AI

Ask your agency a question. Get an answer, not a report to build.

Verity AI reads your own campaign, booking, approval and bill records. Ask in plain language, then turn the answer into tasks for the right people.

  • Your records only Answers come from your own advertising agencies data, not from generic knowledge.
  • Right person, right view It only shows what the person asking is allowed to see.
  • Turns into action An answer can become a task assigned to a named person.

Verity / Ask

Which campaigns are above their approved plan?

Three of 14. Sundari Silks is the largest at ₹2.2 lakh over.

  • Sundari Silks+₹2.2 L
  • Hari Dairy+₹0.3 L
  • Orchid Stores+₹0.1 L

Create review tasks for the account heads

Verity / Ask

How much did we spend for Pranav Motors by medium?

₹33.6 lakh booked so far: digital is the largest line, then outdoor.

  • Digital₹14.2 L
  • Outdoor₹11.4 L
  • Print₹8.0 L
  • Production₹4.4 L

Verity / Ask

Which bookings have no proof that the ad ran?

Seven bookings across three campaigns, five of them older than two weeks.

Create proof-chase tasks for the media team

Sample questions and answers with illustrative figures.

Without chasing

The follow-ups nobody has time to make.

Set once, then they run from your records. Your team still talks to clients and vendors; Verity makes sure the right person knows what to do.

Rules and paperwork

The rules an advertising agency has to keep up with.

Verity does not give legal or tax advice and does not file anything for you. It keeps the records these rules depend on in order, so you are not hunting for them when someone asks.

  • CCPA guidelines on misleading advertisements and endorsements, 2022

    What is expected

Notified on 9 June 2022 under the Consumer Protection Act, 2019. They set duties for advertisers, agencies and endorsers, and expect claims to be substantiated and due diligence before an endorsement. Penalties come from the Act.

    How Verity helps

Each creative has a claims list with the supporting document and reviewer on file.

Khaitan & Co on CCPA guidelines

  • ASCI code and influencer guidelines

    What is expected

ASCI's guidelines for influencer advertising generally require a prominent disclosure of any material connection with the brand. ASCI also acts on complaints about advertisements.

    How Verity helps

Influencer and endorsement lines carry a disclosure checklist, and the live link is recorded.

    exchange4media on ASCI study

  • GST and TDS on agency billing

    What is expected

Whether you bill media as principal on the full amount or as agent on commission affects the tax treatment, and clients may deduct TDS on fees. Your accountant decides and files.

    How Verity helps

Each booking records whether you bought as principal or agent, and each invoice records the client, amount, date and payment state.

  • Digital Personal Data Protection Rules, 2025

    What is expected

Notified 14 November 2025. Most duties, such as notice, security safeguards, breach reporting and retention, generally start 18 months after publication. Agencies that handle customer data for a client may be processors.

    How Verity helps

Audience lists and client files are records with permissions and an audit trail, with retention dates set per client.

    Scconline on DPDP Rules

Rules change and differ by situation. Confirm current requirements with your accountant or lawyer.

Who sees what

Everyone sees the same records, through their own window.

A designer should not see agency margins. A client contact should not see another client. Each role opens on what it needs.

  • Managing partner

Which campaigns are on plan and where is cash stuck?

Spend against plan, money owed both ways, creative waiting and people load.

  • Account manager

What is the client waiting for, and what have we promised?

Approved plan version, creative approvals, bookings and invoices for their clients.

  • Media planner or buyer

What is booked, at what rate, and is there proof?

Plan lines, rate limits, vendor confirmations and proof of execution.

  • Creative lead

Which version is approved and what is due to vendors?

Versions, comments, claims list and delivery deadlines.

  • Finance lead

What can I bill and what must I pay?

Confirmed bookings, proof status, vendor bills with due dates and client ageing.

Straight answers

Questions

Questions agency owners ask.

We buy media on many platforms. Do we need to connect them?

No. We agree during setup how booking figures reach Verity, often entered from confirmations or imported from sheets. Verity does not place orders.

Does Verity make the client invoice?

No. Your finance team raises the invoice in the accounts package. Verity shows the confirmed bookings, proof and vendor bills, so the invoice is built on facts.

Can it track both print and digital in one plan?

Yes. A plan has lines by medium, each with planned cost, booking and proof. Terms like insertion, site or flight are set up in your words.

How does it help with disputes about what was approved?

Every creative version and plan version has a date, a named approver and comments. When a client says they never approved something, the trail is on the record.

We pitch a lot. Is this only for live work?

Pitches are projects too, with an owner, a deadline and hours spent. You can see what a pitch cost and who was stretched across it.

Will clients see Verity?

Only if you want that. By default your team uses it, and clients keep replying the way they do now. A client view can be agreed during setup.

Is it too heavy for a small agency?

A team of eight has the same estimate and billing gaps with fewer people to catch them. We set up only what you need in the same four weeks.

Who can see my data?

Only the people you allow. Access is set by role and client, and every change is recorded with who made it and when.

What does it cost?

It depends on the number of people, clients and what you want set up. Message us and we will give you a clear number after a short conversation about how your agency runs.
