Verity for cleaning services

A cleaner does not turn up, the client calls, and nobody knows who was meant to be there.

A cleaning company earns from crews on site on time and from clients who keep renewing. Both leak, because the rota is in a WhatsApp group, the attendance is on paper and the contract terms are in the owner’s head. Verity puts every site, every crew, every supply and every invoice in one place that tells you what to do today.

Verity in one line

One system that knows every site, every cleaner on every shift, every litre of chemical and every rupee owed, and tells you what needs your attention before the client does.

Free: we set up a working demo of your own business, on your own data, within 7 days. You pay only if your team decides to use it.

No new office staff needed. The record is made when a crew checks in at a site.

Illustrative screen with sample figures. Yours is set up with your own sites, crews, supplies and dues.

How it runs today

The cleaning is done on site. The business is run from a phone.

The work is physical and visible to the client. What is not visible to you is everything behind it: who was rostered at the office tower last night, whether the full headcount you billed for actually turned up, how many cans of floor cleaner the school contract used, and which contract is quietly losing money.

That information exists in pieces. A WhatsApp rota, a muster sheet signed at the site, a contracts folder, a supplies register, a spreadsheet of invoices, and a lot of memory. The owner is often also the person who finds a replacement at 6 am, so the system that connects the pieces is you, on the phone.

The result is not one disaster. It is a steady leak: shifts covered by overtime, billing that does not match attendance, chemicals drawn without a site, and clients who pay in 60 days and leave in the 13th month without a word.

What most cleaning services run on

  • WhatsApp rota groups
  • Paper muster sheets at each site
  • Contracts in a folder
  • Excel invoice sheet
  • The owner’s memory and phone

Each of these works for its own job. None of them talk to each other, which is the problem.

13 problems, one by one

Where a cleaning company actually loses money.

These are the situations owners describe again and again, whether they run home deep cleaning, a housekeeping contract for offices and societies, or both. For each one: what it looks like on a normal day, what it costs, and what Verity does about it.

  1. 01Crews

A cleaner does not turn up and the site finds out first

    What it looks like

At 6:45 am the supervisor learns that two of the eight housekeepers at an office are absent. By 8 am the client’s facility manager is calling you, not the other way round.

    What it costs you

Overtime for whoever can be found, a complaint on the record, and a contract that is now up for discussion at renewal.

    How Verity fixes it

Each shift is a record with named staff. Verity shows absence the evening before, from leave and the previous day’s attendance, and gives the supervisor a task to arrange cover. The replacement is recorded on the shift.

    See the screen
  2. 02Crews

Double-booked crews and long travel between home jobs

    What it looks like

A deep clean in Kharghar was promised for 10 am, and the same crew is also booked at Powai for 11. Travel was not counted. One customer waits an hour and writes a bad review.

    What it costs you

Late jobs, unhappy customers, fuel and lost hours between sites. Each late arrival also shortens the work that the customer pays for.

    How Verity fixes it

Jobs are placed on a schedule by crew with address, duration and the travel gap. A clash is flagged when the job is entered, not at 10 am, and the crew’s day is shown on a map list in order.

    See the screen
  3. 03Contracts

Billed headcount and actual attendance do not match

    What it looks like

The contract says eight housekeepers daily. Some days six come. At month end the client’s accounts team checks the attendance sheet and disputes the invoice. You have no proof either way.

    What it costs you

Example arithmetic: two missing staff on 10 days a month at ₹900 a day is ₹18,000 a month of billing the client may refuse, or ₹2.16 lakh a year, for one site.

    How Verity fixes it

Attendance is marked per person per shift at the site, with time and place. The invoice is built from what was delivered, so the number you bill matches the number the client can see.

    See the screen
  4. 04Contracts

    Some contracts quietly lose money

    What it looks like

A school contract was quoted three years ago. Wages, chemicals and travel have all gone up. You still bill the old rate and nobody has worked out the margin since.

    What it costs you

A contract can be busy, praised and unprofitable at the same time. Without a margin per site, you cannot decide whom to reprice or drop.

    How Verity fixes it

Each contract carries its wage cost, supplies drawn, travel and invoice value. Verity shows margin per site and per month, and flags contracts whose margin falls below the level you set.

    See the screen
  5. 05Quality

Complaints are verbal, and the same ones repeat

    What it looks like

The washroom on the 4th floor is reported unclean twice a week. Each time the supervisor says he will talk to the team. Nobody records it, so nobody notices it is the same issue.

    What it costs you

Clients tolerate it until renewal, then they leave. A repeat complaint that was visible but not recorded is the cheapest one to lose a contract over.

    How Verity fixes it

Every shift has a checklist with photos for the key areas. A complaint is a record with site, area and the person who attended, and Verity shows repeats by area so the cause gets fixed.

    See the screen
  6. 06Customers

One-time deep cleans never turn into regular customers

    What it looks like

A family books a deep clean before Diwali, is pleased, and never hears from you again. Next year they use an app.

    What it costs you

Example arithmetic: 200 deep clean customers a year at ₹4,500 is ₹9 lakh. If a quarter would have taken a monthly visit at ₹2,000, that is ₹12 lakh a year of repeat income that was never offered.

    How Verity fixes it

Every job is recorded against the customer with the date and size of the home. Verity lists customers due for a repeat clean, with a suggested offer, and gives the sales person a call task.

    See the screen
  7. 07Customers

Quotes after a site visit go cold

    What it looks like

A supervisor visits a clinic and a coworking floor to measure. The quote goes out on WhatsApp. Nobody calls back, and the one who did gets the contract.

    What it costs you

A site visit is half a day of a supervisor’s time. A contract lost at that stage is worth a year of monthly billing.

    How Verity fixes it

Every enquiry is a record with the site visit, area, the quote and an owner. Quotes without a reply after three days land on the owner’s list, with the notes from the visit beside them.

    See the screen
  8. 08Supplies

Chemicals and consumables are drawn without a site

    What it looks like

Phenyl, glass cleaner, mops and garbage bags leave the store in the morning. Nobody records where. Some sites run out while others hold a month of stock.

    What it costs you

Example arithmetic: ₹40,000 a month of consumables spread across 12 sites. If 15% is wasted or lost, that is ₹72,000 a year, and sites still run short when it matters.

    How Verity fixes it

Supplies are issued to a site with a quantity. Verity compares use per site with the area cleaned, flags unusual use, and drafts a reorder before a site runs out.

    See the screen
  9. 09Equipment

Scrubbers and vacuum machines fail without warning

    What it looks like

The floor scrubber at a mall site stops on a Sunday. Nobody remembers when it was last serviced, and the replacement has to come from another site, leaving that site short.

    What it costs you

A site without equipment is cleaned slowly or not at all, and a rushed repair costs more than a planned one.

    How Verity fixes it

Each machine is an asset record with its site, service interval and history. Verity creates a service task ahead of time and shows which machines cost the most to keep running.

    See the screen
  10. 10Staff

Cleaners leave suddenly, and clients lose trust

    What it looks like

A trusted housekeeper at a home account leaves after a better offer. The client was used to her, and now a stranger arrives. Some cleaners also take the client privately.

    What it costs you

Hiring and training a replacement, an unhappy client, and sometimes the client’s direct relationship with your former employee.

    How Verity fixes it

Who works where is recorded, so a handover list is ready the day someone resigns. The client relationship belongs to the company, with its history and preferences, and a replacement is introduced with notes.

    See the screen
  11. 11Compliance

Wage, PF and ESI records for each worker are scattered

    What it looks like

Many housekeepers are on contract. Their days worked, advances and deductions are spread across site sheets. When an inspector or a client auditor asks, it takes days to put together.

    What it costs you

Contract labour rules apply from a threshold of workers, and clients who audit expect proof. A gap can mean penalties or a lost contract.

    How Verity fixes it

Every worker is a record with ID, site history, days worked, advances and deductions. Verity produces a month sheet per worker and per site that your accountant uses for wages and statutory payments.

    See the screen
  12. 12Money

Corporate clients pay in 60 days and nobody chases

    What it looks like

Invoices go out on the 3rd. The facility manager approves them on the 20th. Accounts pays on the 55th. The chase depends on the owner remembering.

    What it costs you

Example arithmetic: ₹12 lakh a month of billing held for 55 days instead of 30 ties up cash the company needs for wages that are paid on the 7th.

    How Verity fixes it

Each invoice is tracked by stage: sent, approved, passed to accounts, paid. Verity lists the ones that stay too long in a stage with the right person to call, and each call is logged.

    See the screen
  13. 13Owner

    You are the control room

    What it looks like

You hold the rota, the client numbers, the supplier credit and the site complaints. When you are travelling or unwell, the day slides.

    What it costs you

The business cannot grow beyond what one phone can hold, and the owner can never fully step away.

    How Verity fixes it

Each morning Verity shows what needs a decision: absence, complaints, supplies, renewals and dues, each with an owner. A supervisor can run the day from the same screen when you are away.

An ordinary day

The same Monday, before and after.

What changes is not the cleaning. It is that each shift leaves a record, and the record does the chasing.

WhenTodayWith Verity
6:00 am TodayYou wake to messages: two absent at the office tower. You call around for cover. With VerityThe absence showed on Sunday evening. Cover was assigned and the supervisor confirmed at 5:30.
10:00 am TodayA home crew arrives late because the earlier job ran over. The customer complains. With VerityThe clash was flagged when the second job was entered. It was moved to the afternoon the day before.
1:00 pm TodayThe same washroom complaint comes again. The supervisor says he will talk to the team. With VerityIt shows as the third time in a month for that area. The checklist for it changes today.
4:00 pm TodayYou wonder how much floor cleaner the school used last month. Nobody knows. With VerityIssued quantity per site is on the screen, and the school is within its usual range.
7:00 pm TodayA supervisor says a machine has stopped. Nobody knows when it was last serviced. With VerityThe service history shows the last repair. A replacement from the nearest site is logged.
Month end TodayThe client disputes headcount, and you chase three invoices from memory. With VerityInvoices are built from attendance, and every overdue one already has a call task.

How we work with you

We set it up with you, in four weeks.

You do not get a login and a manual. We learn how your company actually runs at 6 am, build Verity around it, move your data in, then stay on so it keeps working.

  1. Week 1

    Discovery and mapping

    What we do
Spend a morning with a supervisor on two sites, one contract and one home job. See how the rota, attendance, supplies and invoices are handled today, and collect the contracts.
    What we need from you
Two to three hours of your time and your head supervisor’s. Your contracts, rota sheets and last month’s invoices.
What you have at the end
A written map of your company: sites and contracts, crews, services and prices, supplies, and the first leaks to close.
  2. Weeks 2 to 3

    Configuration

    What we do
Set up your sites, contract terms, crews, shift patterns, checklists, supplies and standard quantities per site, machine service dates, approval limits and invoice stages.
    What we need from you
Check the setup with your supervisor. Tell us where a contract term or a checklist is wrong.
What you have at the end
A working Verity with your real sites, crews and rules, ready for your data.
  3. Weeks 3 to 4

    Migration and training

    What we do
Bring in workers, contracts, customers, supplies and dues from your sheets and rota groups. Train supervisors on their phone at the site, and the office on the invoice steps.
    What we need from you
Your worker list, customer list and open invoices in any form. Half an hour with each supervisor.
What you have at the end
Your sites, workers and dues inside Verity, and supervisors who have used it on a real shift.
  4. After go-live

    Operations partnership

    What we do
Stay on after launch. Review the first weeks with you, tune the absence alerts and supply standards, and handle changes when you win or lose a contract.
    What we need from you
A short monthly review of what the numbers say.
What you have at the end
A system that keeps pace with the company, with someone responsible for it.

Bring these on day one

  • Your contracts and rate cards, or the quotes you sent
  • Your worker list with the daily rates you pay
  • Your rota sheets or WhatsApp group exports for one month
  • Last quarter’s supplies and machine purchase bills
  • Open invoices and what each client owes

Your time

About 9 to 11 hours of your own time across the four weeks, mostly in week 1. Your head supervisor needs a few more.

After go-live

Nobody is hired to run Verity. Attendance is marked at the site as part of the shift, and the reports come from those records.

Verity AI

Ask your company a question. Get an answer, not a report to build.

Verity AI reads your own site, crew, supply and invoice records. Ask in plain language, then turn the answer into tasks for the right person.

  • Your records only Answers come from your own cleaning services data, not from generic knowledge.
  • Right person, right view It only shows what the person asking is allowed to see.
  • Turns into action An answer can become a task assigned to a named person.

Verity / Ask

Which sites were short of staff more than twice this month?

Skyline Tower was short on 6 shifts and Greenfield Society on 3. Both bill by headcount.

  • Skyline Tower6 shifts

Rules and paperwork

The rules a cleaning company has to keep up with.

Verity does not give legal or tax advice and does not file anything for you. It keeps the records these rules depend on in order, so your accountant and any client auditor are not rebuilding them from site sheets.

  • Contract labour registration and licence

    What is expected

A commentary site reports that the Occupational Safety, Health and Working Conditions Code came into force on 21 November 2025, and that contractors with 50 or more contract workers on any day in the previous twelve months fall under its contract labour chapter, with a licence valid for five years. Confirm the current position.

    How Verity helps

Workers, sites and days worked are recorded, so headcounts by date and site can be shown when a licence or audit needs them.

    Treelife, contract labour compliance

  • Minimum wages, PF and ESI records

    What is expected

Workers generally must be paid at least the minimum wage set for the state and job category, and statutory contributions apply based on your headcount and wages. The details differ by state and employer size.

    How Verity helps

Each worker has days worked, wage rate, advances and deductions on one sheet per month for your accountant to use. Verity does not run payroll.

  • Worker identity and address records

    What is expected

Clients, societies and homes expect that the people who enter have verified identity and address. There is no single national rule for private cleaning, but clients often require it by contract.

    How Verity helps

ID and address proof are attached to each worker’s record, with a flag when anything is missing, so you can show it before a client asks.

  • GST on cleaning services

    What is expected

Cleaning services are generally taxed as a service, with the rate and any exemption depending on the client and the nature of the supply. Your accountant sets the treatment, and rates change from time to time.

    How Verity helps

Each invoice records the client, site and service type, so your accountant has the information needed to apply the correct tax treatment.

Rules change and differ by state. Confirm current requirements with your accountant or adviser.

Who sees what

Everyone sees the same records, through their own window.

A cleaner should not see client rates. A supervisor should not see another site’s margin. Each role opens on what it needs.

  • Owner

Which contracts earn, and which leak?

Margin by site, absence, complaints, supplies, renewals and dues across all contracts.

  • Operations manager

    Is tomorrow covered?

Crew schedule, absences, cover tasks, clashes, bench staff and open complaints.

  • Site supervisor

    Is my site on track?

Today’s shift, attendance entry, checklist and photos, supplies on site and complaints.

  • Sales

    Which quote needs a call?

Enquiries, quotes with no reply, repeat customers due and renewal dates.

  • Accountant

What is owed and what is paid?

Invoices by stage, worker month sheets, supplier bills and the tax split.

Straight answers

What changes, and what stays the same.

Keep using

  • WhatsApp groups for crews and clients. Staff send the messages; Verity says who and when.
  • Your accounting software or your accountant’s books. We agree how invoices and payments reach Verity during setup.
  • Any biometric or app-based attendance a client already requires. We map it during setup.
  • Your accountant, who still prepares your returns and wage payments.

Verity does not

  • Take bookings or payments from customers online.
  • Send messages to customers or crews on its own.
  • Run payroll or file statutory returns.
  • Supervise cleaners on site or judge work quality for you.

We bring workers, contracts, customers, supplies and open invoices across from your sheets, groups and notebooks, in stages, so cleaning carries on while it happens.

Questions

Questions cleaning company owners ask.

Will my supervisors and cleaners actually use it?

It only works if attendance is marked at the site, so we keep it to a few taps on a basic phone. We train supervisors at the site during a real shift. Workers get something back too: their days worked and advances, visible and unarguable.

I do both homes and office contracts. Does it fit?

Yes. A home job is a booked job for a customer. An office contract is a site with a headcount and a monthly invoice. Both sit in the same schedule and the same records.

Does Verity take bookings from customers?

No. If you take bookings by phone, an app or a form, it keeps doing that job and we map it during setup. Verity records the job and gives you the picture around it.

Can it message my clients or crews?

Not on its own. Verity assigns the call or message to the right person, and your team sends it. The outcome is recorded.

Can it handle clients who need proof of headcount?

Yes. Attendance per person per shift is recorded with the time, and the monthly invoice is built from it. You can show the client the same numbers you bill.

We have 6 sites and 40 workers. Is that too small?

No. A small company has the same leaks with less time to catch them. We set up only what you need and the four-week process is the same.

Who can see worker details and client rates?

Only the people you allow. Access is set by role, so supervisors see their own sites and the accountant sees invoices, and every change is recorded with who made it and when.

How long before I see a difference?

Absence alerts, the quote follow-up list and overdue invoices need only your existing data, so they come first. Margin per site and supply patterns become reliable after a few weeks of recorded shifts.

What does it cost?

It depends on the number of sites, workers and what you want set up. Message us and we will give you a clear number after a short conversation about how your company runs.
