Verity for coaching institutes

A student pays the first instalment, stops coming in month three, and you learn about it in month five.

A coaching institute lives on enrolments, instalments and results. All three leak quietly: enquiries that nobody called back, instalments that slide past their date, students who stop attending, test scores that nobody reads. Verity ties each student to a batch, a fee plan and a test history, and tells you who needs a call today.

Verity in one line

One system that knows every enquiry, every student, every instalment, every batch and every test score, and tells the right person what to do next.

Free: we set up a working demo of your own business, on your own data, within 7 days. You pay only if your team decides to use it.

Classes, tests and teaching stay as they are. Verity records what happens around them and chases what is slipping.

How it runs today

The teaching is strong. The office behind it runs on registers and memory.

A good institute has sharp teachers, a tested syllabus and a results record it is proud of. What it often lacks is a clear picture of the students it has right now: who is attending, who is falling behind, whose second instalment is due on Friday, which batch has 12 empty seats while another has a waiting list.

That picture is spread across an admission register, a fee ledger, a WhatsApp group for each batch, a test results sheet kept by one faculty member, and a counsellor’s notebook. The centre head becomes the link between them, which works until the second centre opens or the head is travelling.

The losses are not dramatic. A student who left in month three and was never asked why. A fee that was agreed verbally and never recorded. A strong teacher who leaves in April with a batch that has no handover. Each is small. Across a session they add up to a large number.

What most coaching institutes run on

  • Admission register
  • Fee ledger or Excel
  • WhatsApp groups per batch
  • Test results sheet
  • Counsellor’s notebook

Each is useful on its own. None can tell you which student is about to leave.

15 problems, one by one

Where a coaching institute loses students and money.

These are the situations directors and centre heads describe. For each: what it looks like on an ordinary week, what it costs, and what Verity does about it.

  1. 01Enquiries

Enquiries come in from five places and are chased by whoever remembers

    What it looks like

A parent calls after seeing a hoarding. Another fills a form online. A third walks in on Sunday. The counsellor notes two in a diary and loses the third. A week later the parent has joined the institute down the road.

    What it costs you

Example arithmetic: 400 enquiries a season, a third never followed up properly, at a conversion of 1 in 6 on the rest, is about 22 admissions lost. At ₹80,000 a course, that is ₹17.6 lakh.

    How Verity fixes it

Every enquiry is a record with its source, the student’s class and target exam, and an owner. If no one has called within your limit, it shows on the head’s list, and each follow-up outcome is written against the record.

    See the screen
  2. 02Enquiries

Demo classes and scholarship tests do not turn into admissions, and no one knows why

    What it looks like

Two hundred students sit the scholarship test. Thirty join. The institute never looks at the 170 who did not, their scores or what they said when called.

    What it costs you

The test cost money to run and the families who showed up were warm. Without a record, the next batch’s marketing starts from nothing.

    How Verity fixes it

Test participants are recorded with scores and school. Those who did well but did not join are listed with the follow-up outcome and reason, and a pattern such as "fee too high" or "wanted a closer centre" becomes a number.

    See the screen
  3. 03Fees

Instalments slide past their date and nobody asks until the course is half over

    What it looks like

The second instalment of ₹35,000 was due 10 October. The parent said "next week" to the front desk, which did not write it down. By December three more are due and the family has stopped answering.

    What it costs you

Money already earned and not collected, and a conversation that becomes harder every week. Dues often turn into a quiet dropout.

    How Verity fixes it

Each student has a fee plan with instalment dates. Overdue ones appear on a daily list with the promise given and the date promised, assigned to a named person, and a missed promise moves the case up.

    See the screen
  4. 04Fees

Refunds, waivers and part payments are handled one by one and argued later

    What it looks like

A student leaves after two months. The parent asks for money back. The office remembers a discount given at admission but not the reason. The director is called to decide.

    What it costs you

Disputes, ill will in a small town where word travels, and a legal risk if the refund rules are not followed. The Ministry of Education’s 2024 guidelines say a pro-rata refund should be made within 10 days when a student who paid in full leaves midway.

    How Verity fixes it

A refund is a request that shows fees paid, classes attended, discount history and the amount that would be due on a pro-rata basis. It goes for approval with a reason, and the decision stays on the student’s record.

    See the screen
  5. 05Students

Students drop out quietly and the first sign is a missed instalment

    What it looks like

A student comes four days a week, then two, then once. The faculty notice, but each assumes someone else will tell the centre head. In the fourth month the parent says their child has stopped.

    What it costs you

The remaining fee, the seat in the batch, and a result the institute could have helped with if it had noticed early.

    How Verity fixes it

Attendance and test participation are recorded per student. A fall below your limit, such as three absences in a row, raises a task for the mentor, and the outcome of that call is written on the student’s page.

    See the screen
  6. 06Students

Test scores are collected and then filed away

    What it looks like

The weekly test is marked, the toppers are announced, and the sheet goes to a folder. A student who has dropped from 78 to 54 over six tests is not noticed.

    What it costs you

The main reason parents pay is to improve a result. If the institute does not act on its own tests, the value is lost.

    How Verity fixes it

Marks are recorded by topic. Verity shows each student’s trend and the topics they are weakest in, lists those who have fallen over several tests, and assigns a doubt session or mentor call.

    See the screen
  7. 07Students

Doubts pile up, and the best students get the most attention

    What it looks like

Students put doubts in a WhatsApp group or a register. Quick, confident students get answers. The quiet ones wait, and stop asking.

    What it costs you

The quiet students are often the ones who drop out, and they tell other parents why.

    How Verity fixes it

Each doubt is a task with a subject, student and faculty owner. Verity shows how long each has waited and which students have asked least, so the quiet ones are not missed.

    See the screen
  8. 08Batches

One batch is overfull while another sits half empty

    What it looks like

The 7 am Class 12 physics batch has 74 students in a room built for 60. The 5 pm batch has 31. Moving students needs a call to each parent, so nobody does it.

    What it costs you

Overcrowded rooms hurt teaching quality, and the empty seats are fixed costs for a teacher and room that are already paid for.

    How Verity fixes it

Each batch has a capacity, a roster and a room. The batches page shows fill levels together, and moving a student is one step that updates the roster, the fee plan and the timetable.

    See the screen
  9. 09Faculty

A few star teachers carry the load, and when one leaves, the batch goes with them

    What it looks like

The chemistry head takes six batches and half the doubt sessions. In April he gets an offer and leaves. His batches are given to whoever is free, in the middle of the session.

    What it costs you

Students leave with the teacher, parents ask for refunds, and the institute cannot say which batches depend on one person.

    How Verity fixes it

Teaching hours and batches are recorded per faculty member, showing who is overloaded and which batches depend on one name. Each batch has a named backup, and the handover list is ready the day someone resigns.

    See the screen
  10. 10Faculty

Teacher pay by the lecture is counted by hand at month end

    What it looks like

Visiting faculty are paid per class. The accounts person sums them from a diary. A class that was swapped is counted twice, another not at all, and two teachers dispute.

    What it costs you

Hours of accounts time every month, and the risk that a good visiting teacher feels short-changed.

    How Verity fixes it

Each class held is recorded with the teacher and batch, including swaps and substitutions. A monthly statement is built from those records, and the teacher sees the same list. Your accountant still runs the payment.

    See the screen
  11. 11Material

Printed notes and test papers run out at the worst time

    What it looks like

The new module is ready on Monday. Printing was ordered on Saturday and the press is closed. Half the batch gets photocopies, the rest wait.

    What it costs you

Reprints at higher rates, students who feel they paid for less, and a teacher who loses ten minutes of every class.

    How Verity fixes it

Study material is stock with a count per batch and a reorder point. Verity checks the next fortnight’s syllabus plan against copies on the shelf and flags a shortfall while the printer still has time.

    See the screen
  12. 12Compliance

Advertised results need proof, consent and the right wording

    What it looks like

The hoarding says "42 selections". Nobody can say, quickly, how many of those studied the full course, how many took only a test series, or whether each topper gave written consent.

    What it costs you

Government guidelines issued in 2024 bar false claims about selections and rankings, and say a candidate’s name or photo needs written consent after selection. Penalties and loss of trust follow a mistake.

    How Verity fixes it

Every result is a record linked to the student, the course taken, the dates enrolled and a consent document. A claim can be checked against records before it goes on a banner.

    See the screen
  13. 13Compliance

Registration, age limits and teacher records are held in different files

    What it looks like

The state registration, the date of birth of each student, and the qualifications and police verification of each teacher all sit in separate places. A visit from the authority means a scramble.

    What it costs you

Under the Ministry’s 2024 guidelines, centres generally must register, are not meant to enrol students under 16, and are expected to hire graduate tutors with no criminal record. State rules can add more.

    How Verity fixes it

Student date of birth is checked at admission. Teacher qualification and verification documents, and registration renewal dates, are records with an owner and a reminder.

    See the screen
  14. 14Wellbeing

Counselling is promised but nobody records it

    What it looks like

A student seems stressed after three poor tests. A teacher mentions it to the counsellor in the corridor. No note is made and no one follows up.

    What it costs you

Pressure is a known issue in coaching. The guidelines expect a counselling system, and an institute that cannot show one has little to say when asked.

    How Verity fixes it

Mentor and counsellor sessions are recorded per student with a next-step date. Access is limited to named staff. Verity assigns and tracks the follow-up. It does not give medical or psychological advice.

    See the screen
  15. 15Owner

A second centre and the director becomes the bottleneck

    What it looks like

Two centres, two fee ledgers, two batches of WhatsApp numbers. The director rings both heads on Sunday night to get the week’s admissions and dues.

    What it costs you

No fair comparison, no early warning, and the director’s week lost to collecting numbers.

    How Verity fixes it

Each centre is a location in one system. Admissions, dues, fill levels, dropouts and faculty load can be compared side by side, and the director’s Monday page is the same for both.

An ordinary day

The same Thursday at a centre, before and after.

Teaching goes on as before. What changes is that the office knows what is happening and who needs a call.

WhenTodayWith Verity
8:30 am TodayThe centre head scans the attendance sheets and guesses which students are slipping. With VerityThe head opens the at-risk list: 9 students below the attendance limit, each with a mentor and a call due today.
11:00 am TodayA parent walks in to enquire and the counsellor writes it in a diary. With VerityThe enquiry is a record with the source and class, and the next call is already on the counsellor’s list.
1:00 pm TodayThe accounts person goes through the fee ledger to see who owes this week. With VerityOverdue instalments are listed with promises and dates. Three are due for a call today.
3:30 pm TodayThe weekly test is marked and posted. No one looks at who dropped. With VerityVerity lists the 11 students whose scores have fallen for three tests, each assigned a doubt session.
6:00 pm TodayA teacher says he may leave next month. The head learns this from a colleague. With VerityHis batches and their named backups are on one page, so the handover starts that evening.
End of month TodayVisiting faculty pay is totalled from a class diary and two teachers question it. With VerityEach statement is built from classes held, and teachers see the same list.

How we work with you

We set it up with you in four weeks, starting before the next batch.

We learn how your institute runs, build Verity around it, move your students and fee plans in, and stay on after.

  1. Week 1

    Discovery and mapping

    What we do
Spend a day with the director and the centre head. Follow an enquiry from the first call to the first instalment and follow a student who left, to see where the record stopped.
    What we need from you
Two to three hours of your time, plus an hour each from the head counsellor and the accounts person. Your admission register, fee ledger and a sample test sheet.
What you have at the end
A written map of your batches, fee plans, teachers and tests, and the three or four leaks we will fix first.
  2. Weeks 2 to 3

    Configuration

    What we do
Set up batches and rooms, fee plans with instalment dates, faculty and backups, test structure, attendance limits and refund steps, and build the screens above around your terms.
    What we need from you
Check the fee plans and refund steps with your accounts person. Correct any rule we have wrong.
What you have at the end
A working Verity with your centres, batches, fee plans and rules, ready for your data.
  3. Weeks 3 to 4

    Migration and training

    What we do
Bring in current students, fee records, enquiry lists, attendance and test history from the sheets and registers you use. Train counsellors, accounts and mentors on their own screens.
    What we need from you
The registers and sheets as they exist, however untidy. An hour for each role.
What you have at the end
Your students, dues and batches inside Verity and a team that has worked a live day on it.
  4. After go-live

    Operations partnership

    What we do
Review the first month with you. Tune the at-risk limits and follow-up lists. Handle the next session’s batch setup and any change in the rules.
    What we need from you
A short monthly review with the director.
What you have at the end
A system that keeps pace with each new session, with a named person responsible for it.

Bring these on day one

  • Your admission register and the current student list by batch
  • The fee ledger or sheet with instalment plans and dues
  • Your enquiry diary or any lead sheets, from the last session
  • Faculty list with batches, hours and how each is paid
  • Last two sessions’ test results, even in one sheet

Your time

About 8 to 12 hours of your own time across the four weeks, mostly in week 1. The head counsellor and accounts person need a few more.

After go-live

Nobody is hired to run Verity. Counsellors, mentors and the accounts desk record what they already handle, and the lists come from those records.

Verity AI

Ask your institute a question. Get an answer, not a report to build.

Verity AI reads your own enquiries, students, fees, attendance and tests. Ask in plain language, then turn the answer into tasks.

  • Your records only Answers come from your own coaching institutes data, not from generic knowledge.
  • Right person, right view It only shows what the person asking is allowed to see.
  • Turns into action An answer can become a task assigned to a named person.

Verity / Ask

Which students have missed three classes in a row this week?

38 students have missed three or more classes. 14 of them also have an instalment overdue.

Rules and paperwork

The rules a coaching institute has to keep up with.

Verity does not give legal advice and does not file anything for you. It keeps the records these rules depend on in order.

  • Ministry of Education guidelines for coaching centres, 2024

    What is expected

The guidelines say centres should register, should not enrol students below 16, should use graduate tutors with no criminal record, charge fair fees with receipts, and refund unused fees pro rata within 10 days when a student who paid in full leaves midway. Regulation is mainly by states, so local rules may add to or change this.

    How Verity helps

Date of birth, tutor records, fee receipts and refund calculations are kept as records with owners, so the answer to a question from the authority is already on screen.

    Careers360, January 2024

  • Consumer authority guidelines on misleading coaching ads, 2024

    What is expected

Centres are barred from claims such as 100 per cent selection or job security, and from false claims about ranks, faculty, courses, fees or refunds. A successful candidate’s name or photo needs written consent after selection, and key course information and disclaimers must be shown.

    How Verity helps

Every result you advertise links to the student, the course taken and a consent document, so a claim can be checked before it is printed.

    DT Next, November 2024

  • State coaching laws and registration

    What is expected

Several states have their own laws or draft rules on coaching registration, fees and student welfare. Details differ by state and change often, so check the one that applies to your centre.

    How Verity helps

Registration number, renewal date and conditions are stored with the centre, with a reminder to the director before expiry.

  • Student and parent personal data

    What is expected

Phone numbers, results, school records and counselling notes are personal data, and some relate to minors. India’s data protection rules notified in November 2025 start to apply in stages, so check dates with your adviser.

    How Verity helps

Data sits in one permissioned place. Counselling notes are limited to named staff, and views and changes are recorded.

Rules change and differ by state. Confirm current requirements with your legal adviser or the relevant authority.

Who sees what

Everyone sees the same records, through their own window.

A mentor should not see the fee ledger. Accounts should not see counselling notes. Each role opens on what it needs.

Straight answers

What changes, and what stays the same.

Keep using

  • Your test platform or paper tests. We agree how marks reach Verity during setup.
  • Your fee receipt book or accounting software. Verity shows dues and refunds but does not replace your books.
  • WhatsApp groups for batches. Staff send the messages, Verity tells them who and when.
  • Your accountant and legal adviser, who still prepare returns and advice.

Verity does not

  • Deliver lectures or host online classes.
  • Take enquiries or payments from parents online.
  • Send messages to students or parents on its own.
  • Run payroll or file returns for you.

We bring in your students, fee plans, enquiries and test history from the registers, sheets and phones you use now, in stages, so classes carry on while it happens.

Questions

Questions coaching directors ask.

Will my counsellors and teachers actually enter the data?

It only works if recording is quicker than not recording. We set it up so attendance, call outcomes and test marks are entered where staff already work, and we train on a live day. Staff also get something back: their own list for the day.

Does Verity run online classes or host tests?

No. Your classes and your test platform stay as they are. Verity records marks and attendance after the fact and shows what they say about each student.

Can it chase parents for fees?

Not by itself. Verity builds the overdue list and assigns each case to a person, who calls or messages. The promise and the outcome are then recorded on the plan.

We run two centres and a hostel tie-up. Can that work?

Yes. Each centre is a location in one system, and a student who moves between them stays one person. Hostel or mess fees can sit on the fee plan so a refund calculation includes them.

How does it help with the new coaching rules?

It keeps the records the rules depend on: student age, tutor papers, fee receipts, refund steps and consent for advertised results. It does not decide what applies to you, and your adviser should confirm that.

Can I see how well teachers are doing?

You can see hours, batch fill, attendance and test trends for each teacher’s batches, and compare them. These are numbers to start a conversation with, not a verdict.

Who can see student and parent data?

Only the people you allow. Access is set by role, and counselling notes are limited to named staff. Every view and change is recorded with who made it and when.

How soon will we see something useful?

The overdue instalments list and the uncalled enquiries list need only your existing registers, so those are first. Attendance and test trends become reliable after a few weeks of recorded data.

What does it cost?

It depends on the number of centres, students and what you want set up. Message us and we will give you a clear number after a short conversation about how your institute runs.
