Verity for skill training institutes

A skill institute is judged on who finishes, who is certified and who gets a job. Most keep that in three different files.

A skill training institute fills batches, keeps trainers, books assessments, issues certificates and then has to show where its candidates ended up. Scheme funding and awarding bodies ask for proof at each step: enrolment, attendance, assessment, certificate and outcome. Verity keeps one record for each candidate from first enquiry to the job, so the proof exists before anyone asks for it.

Verity in one line

One record for every candidate, batch and trainer, and one list each morning of the batches to start, assessments to book, certificates to issue and candidates to trace.

Free: we set up a working demo of your own business, on your own data, within 7 days. You pay only if your team decides to use it.

Built for institutes with a small office and trainers on contract. The records come from the attendance and assessment work you already do.

How it runs today

Most skill institutes do the training well and the paperwork twice.

A batch of thirty candidates in electrician, retail, tailoring, healthcare assistant or IT basics has to be enrolled, taught, attended, assessed and certified. Each step has its own form, its own portal or its own awarding body. After that, the institute is asked where each candidate went.

Proof matters because it is audited. A CAG audit of the Skill India mission, tabled in December 2025, covered 2015 to 2022 in eight states. It reported that of 56.14 lakh candidates under short-term training and special projects, 23.18 lakh, or 41%, were placed, found unreliable placement records in several states, and found biometric attendance devices missing or not working at 24 centres.

The pieces live in different places: enrolment forms, an attendance register or biometric export, trainer files, assessment lists from the awarding body, certificate numbers, and a phone list for following up on jobs. Nobody has one view of a candidate from the first form to the first salary.

What most skill training institutes run on

  • Enrolment forms and Excel batch lists
  • Biometric or paper attendance exports
  • Awarding body and scheme portals
  • WhatsApp groups for candidates and trainers
  • Phone calls to trace placements

Each one is needed. None of them agrees with the others unless someone sits down and reconciles them.

15 problems, one by one

Where a skill institute actually loses batches, money and proof.

These are the situations owners, centre managers and trainers describe again and again. For each one: what it looks like on an ordinary day, what it costs, and what Verity does about it.

  1. 01Candidates

Mobilisation: candidates enrol, then do not turn up

    What it looks like

A batch of thirty is planned for Monday. Forty-two names were taken from a community drive. Twenty-one come on day one, some with the wrong documents, and the batch is renegotiated on the spot.

    What it costs you

Example arithmetic: a batch costs ₹60,000 a month in trainer, space and consumables. A batch running at 21 against a planned 30 loses the margin on nine candidates every month it runs.

    How Verity fixes it

Each prospect is a record with source, documents needed, age and education checks and a next step. Verity lists prospects who have not confirmed, those missing papers and the seats at risk of going empty, with a task for the mobiliser. Staff speak to candidates; the outcome is recorded.

    See the screen
  2. 02Candidates

Eligibility and documents are checked after the batch starts

    What it looks like

A candidate is below the minimum age, or lacks the required education for the course. It is noticed at assessment when the awarding body's list rejects him.

    What it costs you

A candidate trained but not certifiable is a month of cost with no outcome. The CAG report noted enrolment that ignored prescribed criteria such as age and education.

    How Verity fixes it

Each course has an eligibility checklist. Verity shows each candidate's documents received, verified or wrong, who checked them and when, and blocks the batch list from closing until the gaps are resolved.

    See the screen
  3. 03Candidates

    Attendance proof is patchy

    What it looks like

The biometric device is down for a week. Attendance for those days is written on paper and typed later. A monitoring visit asks for the log for a specific Tuesday.

    What it costs you

Under schemes that require attendance proof, a gap can threaten payment. The CAG audit found biometric devices missing or not working at 24 centres and the same photographs used as evidence for different trainings.

    How Verity fixes it

Attendance is recorded by candidate and session, with how it was captured and who confirmed it. Verity flags sessions with no capture, candidates below the required percentage and days where a device was down, so the gap is explained on the day, not a year later.

    See the screen
  4. 04Candidates

    Candidates drop out mid-course

    What it looks like

A candidate gets a daily-wage job in week three and stops coming. The trainer knows. The office does not. At the end, the batch has twenty-four in the register and nineteen at the assessment.

    What it costs you

Each dropout is a lost outcome and, under many schemes, lost revenue. Retained candidates are what the batch is paid or judged on.

    How Verity fixes it

Candidates who miss more than your limit are listed with their pattern, and a task goes to the trainer or counsellor. The reason for leaving is recorded, so patterns by course, trainer or location can be seen.

    See the screen
  5. 05Trainers

Trainers are on contract and their qualifications are in a folder

    What it looks like

A trainer's certification for a job role expired in June. Another is teaching two courses in the same slot. A monitoring visit asks for the trainer's qualifications, ToT certificate and experience.

    What it costs you

Schemes generally expect certified trainers, and a gap can invalidate a batch. The CAG report noted weak controls over trainer and assessor records.

    How Verity fixes it

Each trainer is a record with qualifications, certifications, expiry dates, the courses they can teach and their batches. Verity flags expiring certificates, clashes and batches without a qualified trainer.

    See the screen
  6. 06Trainers

Trainer hours and pay are argued

    What it looks like

A trainer is paid per hour on contract. The batch register says 120 hours, the trainer says 128. Practical sessions in a workshop are counted differently from classroom hours.

    What it costs you

Disputes over a few hours sour relationships with contract trainers, who are not easy to replace.

    How Verity fixes it

Each session is recorded with the trainer, hours, type and the batch, whether taken, replaced or cancelled. Verity totals hours by trainer and batch for the month. The institute still runs its own payroll.

    See the screen
  7. 07Operations

Practical lab, tools and consumables run out mid-batch

    What it looks like

A welding batch runs short of electrodes in week two. A beauty batch has too few kits. A tailoring batch shares one machine between four candidates.

    What it costs you

A candidate who cannot practise is a candidate who fails the practical assessment, and the institute pays for training that does not stick.

    How Verity fixes it

Each course has a list of tools and consumables per candidate. Verity compares what a batch needs with stock on hand, flags shortages before the batch starts and records what each batch used.

    See the screen
  8. 08Assessments

Assessments are booked late or against the wrong list

    What it looks like

The assessment agency's date is fixed with little notice. The candidate list sent to them has three names missing and two spelt differently from the Aadhaar. On the day, five candidates cannot be assessed.

    What it costs you

A missed assessment delays certification by weeks, and delays any payment tied to it. Under PMKVY 4.0, only NCVET-approved agencies handle assessments, with stricter timelines.

    How Verity fixes it

Each assessment is a record with the awarding body, assessment agency, date, venue and candidate list. Verity checks names, IDs and attendance against the list before it is sent, and lists candidates not ready. Staff submit on the awarding body's portal.

    See the screen
  9. 09Assessments

Results and certificates take months and go missing

    What it looks like

A candidate passed in June. By October there is still no certificate, and nobody can say whether it was issued, delayed or lost. The candidate has a job offer that needs it.

    What it costs you

A candidate without a certificate cannot prove the training, and the institute's reputation suffers. PMKVY 4.0 certificates are described as QR-coded and managed through the Skill India Digital Hub.

    How Verity fixes it

Each candidate's result and certificate status is on their record: assessed, passed, certificate requested, issued, collected. Verity lists passes with no certificate after your target number of days and who is chasing.

    See the screen
  10. 10Placements

Placement is promised and not traced

    What it looks like

Brochures say 80% placement. The register shows the names of those who got a job in the first month and then nothing. Six months later nobody knows where most candidates are.

    What it costs you

The CAG audit reported that 41% of 56.14 lakh candidates were placed in the programmes it examined, and that records were unreliable. An institute that cannot show its own placement trail cannot defend its claims.

    How Verity fixes it

Each candidate has a placement record: employer, role, start date, pay band and proof such as an offer letter. Verity schedules follow-up calls at one, three and six months, assigns them to a named person and records the answer, including candidates who cannot be reached.

    See the screen
  11. 11Placements

Employer relations are in a phone book

    What it looks like

The centre manager knows five employers personally. A new job role has no local employer. A company asks for fifteen candidates by Friday and the list is made from memory.

    What it costs you

Good employers are the reason candidates finish, and a missed opportunity is a placement lost.

    How Verity fixes it

Each employer is a record with the roles they hire for, past hires, contacts and the next step. Verity matches certified candidates to open requirements and records each interview and outcome.

    See the screen
  12. 12Funding

Scheme and funding records are rebuilt for every audit

    What it looks like

A monitoring visit or an audit asks for the full file on a batch: enrolment, attendance, trainer, assessment, certificates and outcomes. The centre assembles it from five places over a week.

    What it costs you

Staff time, and the risk of a payment being held for a gap. The CAG report found weak documentation and data quality problems, including 94.53% of bank account records being zeros, null or blank in the sample it examined.

    How Verity fixes it

Each batch has a file built from the records as work happens: enrolment, attendance, trainer, assessment, certificates, outcomes and the scheme reference. Verity shows gaps in a batch's file while there is time to fix them. Staff submit on the scheme portals.

    See the screen
  13. 13Funding

Candidate bank, Aadhaar and contact details are wrong

    What it looks like

A stipend or reimbursement cannot be paid because the bank account is missing a digit. A candidate's phone number belongs to a relative. Follow-up calls reach the wrong person.

    What it costs you

Payments fail, candidates are lost and placement tracing becomes impossible. The CAG report found many bank and email records unusable.

    How Verity fixes it

Contact and bank fields are validated when entered and flagged when missing or in a wrong format. Verity lists candidates with no working contact so staff can fix them while the candidate is still in the batch.

    See the screen
  14. 14Compliance

Awarding body affiliation and centre approvals lapse

    What it looks like

The centre's affiliation with an awarding body is due for renewal. The infrastructure inspection checklist has not been looked at in a year. A new course is announced before the approval comes through.

    What it costs you

A batch run without valid affiliation cannot lead to a valid certificate.

    How Verity fixes it

Each affiliation, approval and course is a record with its body, renewal date and owner. Verity raises tasks ahead of the dates and shows which courses are approved, due or lapsed. The institute applies through the awarding body.

    See the screen
  15. 15Compliance

    Children's and young candidates' data

    What it looks like

Candidates include 17-year-olds. Photos and Aadhaar copies are shared on WhatsApp and kept on phones. A trainer leaves with a copy of the candidate list.

    What it costs you

Under the DPDP Act, a minor's data generally needs verifiable parental consent, and a breach of any candidate's data is a serious matter.

    How Verity fixes it

Verity has one permission model. Staff see only the batches and fields their role allows, and every view and change is recorded. Consents and ID copies are stored against the candidate.

An ordinary day

The same Monday, before and after.

What changes is not the training. It is that the day leaves a record, and the record does the chasing.

WhenTodayWith Verity
8:30 TodayA new batch begins. The trainer has the list from last week and half the names do not match who is in the room. With VerityThe batch screen shows who confirmed, who is missing papers and who is below age. The trainer teaches from the same list the office has.
10:00 TodayThe biometric device is down. Attendance is written on paper and typed up the next day. With VerityThe session is marked with a manual capture, who confirmed it and why. The record explains the gap.
12:00 TodayA candidate stops coming. The trainer knows. The office finds out at assessment. With VerityThe candidate appeared on the at-risk list in week three, and a task went to the counsellor.
3:00 TodayA job opening comes in. The manager recalls two candidates from memory. With VerityCertified candidates matching the role are listed with their placement status, and the manager shares the list.
5:00 TodayA monitoring visit asks for a batch file from last year. With VerityThe batch file is complete, with the gaps already fixed.
Month end TodayThe accountant asks how many hours each trainer taught and the answers differ. With VerityHours by trainer and batch are on a record that both read.

How we work with you

We set it up with you, in four weeks.

You do not get a login and a manual. We spend time at your centre during a live batch, build Verity around how your enrolment, training, assessment and placement really run, bring your data in, then stay to make sure it keeps working.

  1. Week 1

    Discovery and mapping

    What we do
Spend a day at the centre and sit through a batch start, an attendance session and an assessment day if one is due. Follow a candidate from the first enquiry to a placement call and list the gaps.
    What we need from you
Two to three hours of the owner's and the centre manager's time. Your course list, batch history, trainer files and the scheme or awarding body rules you follow.
What you have at the end
A written map of your institute: courses, awarding bodies, batches, trainers, assessment steps, placement process and the first problems we will close.
  2. Weeks 2 to 3

    Configuration

    What we do
Set up your courses and eligibility checks, batches and rules, trainers and certificates, materials per course, assessment and certificate steps, placement follow-up schedule and scheme references. Build the six screens in your institute's terms.
    What we need from you
Check the setup with the centre manager and one trainer. Tell us where a rule or a step is wrong.
What you have at the end
A working Verity with your real courses, trainers and rules, ready for your data.
  3. Weeks 3 to 4

    Migration and training

    What we do
Bring in candidate lists, batch history, trainer files, assessment results and placement sheets from the files you use. Train the office, trainers and the placement officer during a live batch.
    What we need from you
The data in whatever form it exists, and any open assessments or certificates as of today. One hour with each role.
What you have at the end
Your candidates, batches and trainers inside Verity, and a team that has used it through a working week.
  4. After go-live

    Operations partnership

    What we do
Stay on after launch. Review the first weeks with you, tune the limits, and handle new batches, new courses and the first assessment cycle.
    What we need from you
A short monthly review with the owner and the centre manager.
What you have at the end
A system that keeps matching how the institute runs, with someone responsible for it.

Bring these on day one

  • The course list with awarding bodies and scheme references
  • Batch history for the last year
  • Trainer files with qualifications and certificates
  • Assessment and certificate lists
  • The placement sheet or phone list you use

Your time

About 9 to 12 hours of the owner's or centre manager's time across the four weeks, mostly in weeks 1 and 3. The placement officer and a senior trainer need a few more.

After go-live

Nobody is hired to run Verity. Enrolment, attendance and placement calls are recorded as part of work the team already does, and the lists and batch files come from those records.

Verity AI

Ask your institute a question. Get an answer, not a report to build.

Verity AI reads your own candidate, batch, trainer, assessment and placement records. Ask in plain language, then turn the answer into tasks for the right people.

Rules and paperwork

The rules a skill training institute has to keep up with.

Verity does not give legal advice and does not file anything for you. It keeps the records these rules depend on in order, so you are not hunting for them when someone asks.

  • NCVET and awarding bodies

    What is expected

NCVET recognises awarding bodies that certify learners in approved qualifications, set affiliation or accreditation criteria for training partners and onboard assessment agencies. A training entity is generally affiliated or accredited by a recognised awarding body and works under its norms.

    How Verity helps

Each affiliation, course approval and renewal date is a record with an owner, and tasks are raised before it lapses.

    NCVET

  • Scheme norms such as PMKVY 4.0

    What is expected

PMKVY 4.0 is reported to run from 2023 to 2026, with assessments by NCVET-approved agencies, QR-coded certificates and Skill India Digital Hub tracking from registration to certification. Placement has been described as delinked from training, but sources differ on how outcomes are tracked, so check the current scheme guidelines.

    How Verity helps

Each batch file holds enrolment, attendance, trainer, assessment and certificate records, and gaps are flagged. Staff submit on the scheme portals.

    National Skills Network, 2025

  • Attendance and monitoring evidence

    What is expected

Schemes generally expect attendance evidence such as biometric records, and the CAG audit flagged missing or non-working devices at 24 centres.

    How Verity helps

Every session records how attendance was captured and who confirmed it, and gaps are explained when they happen.

    The Federal

  • Candidate data under the DPDP Act

    What is expected

Personal data of candidates, including Aadhaar copies and bank details, is generally covered by the DPDP Act, and a minor's data needs verifiable parental consent.

    How Verity helps

Role-based access and an audit trail show who saw or changed each record, and consents are recorded with their purpose.

Scheme rules, payment terms and awarding body norms change, and they differ by scheme and state. Confirm current requirements with your scheme, awarding body or adviser.

Who sees what

Everyone sees the same records, through their own window.

A trainer should not see bank details. The placement officer should not edit attendance. Each role opens on what it needs.

  • Owner

Are batches full, certified and placed?

Batches against plan, certificates pending, placement trail, affiliations due and batch file gaps.

  • Centre manager

    What needs sorting this week?

Trainer clashes, attendance gaps, assessment bookings, materials short and expiring certificates.

  • Trainer

Who is coming and where are they in training?

Their batches, attendance, practical progress and candidates at risk.

  • Placement officer

Who is placed, who is traced and who is waiting?

Certified candidates, employer requirements, follow-up calls due and proofs on file.

  • Accountant

What is owed and what is claimed?

Trainer hours, scheme claims linked to batch files and materials spend per batch.

Questions

Questions skill institute owners ask.

Do you connect to the Skill India Digital Hub or my scheme portal?

We do not claim integrations with named portals. During setup we agree how your data reaches Verity and how your team submits to the portal. Verity keeps the records the portal asks for ready and flags gaps.

Can it handle several courses with different awarding bodies?

Yes. Each course carries its awarding body, eligibility rules, hours and assessment steps. The records and screens are the same for all of them.

We use a biometric device. Will it work with Verity?

We agree during setup how attendance reaches Verity from your device. We do not supply or certify any hardware.

Does Verity run assessments or issue certificates?

No. The assessment agency and awarding body do. Verity records the assessment, the result and the certificate status, and lists the ones that have not arrived.

How does it help with placement claims?

Each placement is a record with employer, role, start date and proof, and follow-up calls are scheduled at one, three and six months. You can show what is confirmed and what is not.

Will trainers have to enter a lot?

Trainers mark attendance and add a short note on practical progress. We train them at a live batch, not in a classroom.

We have more than one centre. Can they be seen together?

Yes. Each centre is a location in one system, with batches, candidates and placements side by side. A trainer who works at two is one record.

Who can see candidate data?

Only the people you allow. Access is set by role and batch, and every view and change is recorded with who made it and when.

What does it cost?

It depends on the number of candidates, centres and what you want set up. Message us and we will give you a clear number after a short conversation about how your institute runs.
