Verity for colleges

A college wins or loses its year in the admissions window. Most of that window is spent chasing paper.

Counselling closes, seats stay empty, instalments arrive late, attendance lists are rebuilt before every exam and the same faculty member is timetabled three times. A college office handles all of this with sheets, registers and one very tired admin team. Verity connects the applicant, the student, the fee, the class and the faculty, so the college sees what is slipping while it can still be fixed.

Verity in one line

One record from enquiry to alumnus, and one list each morning of the seats, dues, absentees and approvals that need a decision.

Free: we set up a working demo of your own business, on your own data, within 7 days. You pay only if your team decides to use it.

Built around the admissions office, accounts and the exam cell. The records come from forms and registers they already keep.

How it runs today

A college office is a set of busy desks that rarely see each other's work.

Admissions has a list. Accounts has a fee register. The exam cell has attendance and internal marks. The departments have timetables. The principal gets a summary when someone has time to make one. The student is the same person in all four places, but there is no single view of them.

Seat pressure is real. A Careers360 report from November 2024 found tens of thousands of engineering seats vacant after counselling in several states, even as intake grew. Whatever the course, a college that cannot see its funnel in time cannot act on it.

Rules sit on top. Fee refund tiers, university attendance requirements, scholarship records, AISHE data and accreditation files all draw on the same student and faculty records, and they are rebuilt for each purpose.

What most colleges run on

  • Admission forms and Excel lists
  • Fee register and receipt book
  • Department attendance registers
  • Exam cell spreadsheets
  • WhatsApp groups for staff and students

Each one works inside its own office. The student's whole story is in none of them.

15 problems, one by one

Where a college actually loses seats, money and time.

These are the situations principals, registrars, accountants and department heads describe again and again. For each one: what it looks like on an ordinary day, what it costs, and what Verity does about it.

  1. 01Admissions

Enquiries go cold before counselling ends

    What it looks like

In June the office gets two hundred calls and walk-ins. Names are on slips and in two phones. A parent who visited twice is never called back, and a rival college rings her on the day she decides.

    What it costs you

Example arithmetic: 20 lost admissions at ₹90,000 a year is ₹18 lakh in a single year, and each student would normally pay for three or four years.

    How Verity fixes it

Every enquiry is a record with course, rank or marks, source, visits and next step. Verity lists enquiries with no follow-up and assigns each to a named counsellor, with the outcome recorded after the call.

    See the screen
  2. 02Admissions

Seats stay empty because nobody sees the funnel

    What it looks like

The principal asks in July how many seats are filled in each course. The answer is a number from yesterday in one department and last week in another. A Careers360 report found 54,587 vacant engineering seats in Tamil Nadu after the third round of counselling in 2024.

    What it costs you

A vacant seat is fee that never arrives, against faculty and lab costs that continue. In 2024-25 Tamil Nadu alone added 39,978 engineering seats while many stayed empty.

    How Verity fixes it

Verity shows seats, offers, acceptances, fees paid and admissions by course and category in one view, updated as work happens, so a gap is visible while there is still a round or a spot admission left to act on.

    See the screen
  3. 03Admissions

Document verification is a pile of photocopies

    What it looks like

A student arrives with a mark sheet, a migration certificate, a caste or income certificate and a transfer certificate. One is missing. The clerk writes it on a form that is lost by the time the student returns.

    What it costs you

Students admitted on incomplete papers cause trouble with the university, with scholarships and with later certificates. Students delayed at the counter go elsewhere.

    How Verity fixes it

Each applicant has a document checklist. Verity shows what is received, verified, pending or wrong, who verified it and when, and lists admitted students who still owe papers.

    See the screen
  4. 04Fees

Fee instalments are chased from memory

    What it looks like

Semester fees are due in three instalments. Scholarships and bank loans delay some. A student with a concession cannot be told at the counter what is still pending without checking three sheets.

    What it costs you

Example arithmetic: 1,800 students with ₹60,000 a semester is ₹10.8 crore. A fortnight's delay on one student in ten is ₹1.08 crore not in the account while salaries run.

    How Verity fixes it

Each student has a fee plan with instalments, scholarship or loan status and concessions. Verity lists dues by course and age and assigns a follow-up task. Your staff speak to the student; the promise and the outcome are recorded.

    See the screen
  5. 05Fees

Scholarship and fee-reimbursement claims slip through

    What it looks like

Dozens of students are on state or central scholarships. The college has to confirm enrolment, attendance and fee details on the relevant portals. Claims are filed late for students whose papers were incomplete.

    What it costs you

The student pays from their own pocket meanwhile, or the college waits for money it has already counted as income.

    How Verity fixes it

Scholarship students are tagged with scheme, application status, documents and the amount expected. Verity lists claims not yet filed, rejected or pending, and the money the college is waiting on.

    See the screen
  6. 06Fees

Withdrawals and refunds are handled case by case

    What it looks like

A student gets a government seat and withdraws in August. The office has to decide how much of the fee is refundable, by when, and whether the seat can still be filled.

    What it costs you

Colleges generally follow tiered refund schedules tied to the last date of admission. One college's policy page, citing UGC guidelines, refunds the fee less ₹1,000 at 15 or more days before that date, then 90%, 80%, 50% and nothing after 30 days. A wrong refund, or a late one, becomes a grievance.

    How Verity fixes it

Withdrawal requests are records with their date, the rule that applies, the amount calculated and who approved it. Verity lists refunds not paid within your target number of days.

    See the screen
  7. 07Attendance and exams

Attendance is kept by each teacher and reconciled at exam time

    What it looks like

Three weeks before the university exams, the department head collects attendance sheets from every teacher to see who is short of the required percentage. The numbers differ from what students say.

    What it costs you

Students barred from exams create disputes, appeals and last-minute condonation requests. A college without a record cannot defend its own list.

    How Verity fixes it

Attendance is recorded daily by subject. Verity shows each student's percentage against the requirement set by the university, with those at risk listed early. Condonation requests, reasons and approvals are recorded on the student.

    See the screen
  8. 08Attendance and exams

Internal marks, practicals and results sit in separate sheets

    What it looks like

Internal assessments are in each teacher's file. Practical marks are on a form. When the university asks for them, the exam cell collects, re-types and checks them against each other.

    What it costs you

Typing errors in marks are the kind of mistake a student sees first. Late submission of internals can hold up results.

    How Verity fixes it

Internal and practical marks are entered once against the student and subject, with who entered them and when. Verity shows missing entries by subject and teacher before the university deadline.

    See the screen
  9. 09Attendance and exams

Exam logistics: halls, invigilators and hall tickets

    What it looks like

The exam cell builds the seating plan and invigilation duty list on a spreadsheet. A teacher is rostered in two halls at the same time. Hall tickets for students with unpaid dues are held by hand.

    What it costs you

Chaos on exam day and a risk of a malpractice case that comes from a lapse in supervision.

    How Verity fixes it

Exam sessions, halls, capacity and invigilator duties are records. Verity flags a clash, lists students whose hall tickets are held because of dues or attendance, and records who released each one.

    See the screen
  10. 10Faculty

Faculty workload is uneven and invisible

    What it looks like

One senior teacher takes 22 hours a week, another takes 12. Guest faculty are called when someone is on leave, and nobody knows how many guest lectures have been paid for.

    What it costs you

Burnout for some, idle time for others, and guest-faculty costs that are only noticed at month end.

    How Verity fixes it

The timetable is a record with teacher, subject, class, room and hours. Verity shows load by teacher against your norm, free slots for cover and the guest lectures taken, so an uneven load is seen and corrected.

    See the screen
  11. 11Faculty

Faculty qualifications and renewals are in cupboards

    What it looks like

An inspection committee asks for the qualifications, appointment letters and experience of every faculty member in a department. The registrar goes through a stack of files.

    What it costs you

Hours of work and a risk of a gap being found only in front of the committee. Regulators and accreditation bodies set norms on faculty, so incomplete files hurt.

    How Verity fixes it

Each faculty member has a record with qualifications, appointment, experience, publications, leave and contract dates. Verity lists missing documents and upcoming contract renewals.

    See the screen
  12. 12Records

Accreditation and survey data are rebuilt from scratch

    What it looks like

AISHE, NIRF, NAAC and university affiliation each ask for student, faculty and infrastructure data in a different format. Each year the IQAC team collects the same numbers again.

    What it costs you

Weeks of staff time. AISHE data is also used by scholarship portals, so errors carry beyond the college. The AISHE 2024-25 round had a final submission deadline of 15 November 2025 at one university.

    How Verity fixes it

Students, faculty, programmes and facilities are kept as one set of records. Verity helps the team assemble the figures for each survey from the same data and shows entries with gaps. Your staff submit on the official portals.

    See the screen
  13. 13Records

Certificates, transcripts and no-dues clearances take days

    What it looks like

A final-year student needs a bonafide, a no-dues certificate and a transcript before a placement joining date. The request goes from the office to the library, the hostel, the accounts section and the department, on paper.

    What it costs you

Lost placements, anxious students and clerks who spend a day chasing signatures.

    How Verity fixes it

Each request is a workflow with steps for the library, hostel, accounts and department. Verity shows where a request is stuck and who must act, and the certificate is drawn from the same student record.

    See the screen
  14. 14Students

Student retention and drop-outs are noticed late

    What it looks like

A first-year student stops coming in October. The department thinks the office knows. The office thinks the department knows. By the time anyone calls, he has taken a transfer elsewhere.

    What it costs you

A lost student also loses the fee for the remaining years and affects the college's results.

    How Verity fixes it

Verity combines attendance, dues, marks and hostel presence and flags students showing several warning signs at once. A mentor gets a task, and the conversation and outcome are recorded.

    See the screen
  15. 15Students

Placement and alumni records are not connected to the student

    What it looks like

The placement cell keeps a sheet of company visits and offers. Nobody records which students had which interviews, who rejected an offer, or where the batch is two years later.

    What it costs you

Placement is a major reason a student chooses a college. Claims made in the brochure can only be backed with a record.

    How Verity fixes it

Company visits, shortlists, offers and outcomes are recorded against the student. Verity keeps alumni contact and current employer on the same record for later batches.

    See the screen

The numbers behind it

The numbers that make these problems worth fixing.

From published sources, with the source named under each figure. Your own numbers will differ, and showing you yours is the first thing Verity does.

An ordinary day

The same week in July, before and after.

What changes is not the teaching or the counselling. It is that the day leaves a record, and the record does the chasing.

WhenTodayWith Verity
9:00 TodayThe admissions desk opens with a bundle of slips from yesterday and no one knows which parents were promised a callback. With VerityThe admissions screen lists the callbacks due today by counsellor, each with the last note.
11:00 TodayA parent asks about the fee for a student who was given a scholarship. Accounts and admissions give two different answers. With VerityThe student record shows the plan, the scholarship status and what is still due, and both desks read the same screen.
1:00 TodayThe principal asks how many seats are left in the Mechanical course. The answer takes an hour. With VerityThe principal's screen shows 65 of 120 filled, with 31 enquiries not yet followed up.
3:00 TodayA department head collects attendance sheets by hand to see who is short for the exam. With VerityThe at-risk list already shows 63 students below the requirement, with their mentor.
5:00 TodayA student needs a no-dues certificate and walks from the library to accounts to the hostel office. With VerityThe request is a workflow. Each department sees it and clears it, and the student sees which one is holding it.
Month end TodayThe registrar rebuilds faculty and student lists for a survey and for the inspection file. With VerityThe records are already one set, so the lists are drawn from the system and the gaps are known.

How we work with you

We set it up with you, in four weeks.

You do not get a login and a manual. We spend time in your admissions office, accounts section and exam cell, build Verity around how your college really runs, bring your records in, then stay to make sure it keeps working.

  1. Week 1

    Discovery and mapping

    What we do
Spend time at the admissions desk, the accounts counter and in the exam cell. Follow an applicant from enquiry to enrolment and a student from admission to a final certificate, and list the first problems to close.
    What we need from you
Two to three hours of the principal's and registrar's time. Last year's admission list, fee structure by course, timetable, faculty list and the university's attendance rule.
What you have at the end
A written map of your college: courses, seat matrix, fee plans, faculty, steps for certificates and the first problems we will close.
  2. Weeks 2 to 3

    Configuration

    What we do
Set up your courses and seat matrix, fee plans and refund rules, attendance requirement, timetable, faculty records, exam sessions and certificate workflows. Build the six screens in your college's terms.
    What we need from you
Check the setup with the admissions head, the accountant and the exam cell. Tell us where a rule or a step is wrong.
What you have at the end
A working Verity with your real courses, fees and staff, ready for your records.
  3. Weeks 3 to 4

    Migration and training

    What we do
Bring in your student list, applicants, fee ledgers, faculty files and marks from the sheets and registers you use. Train admissions, accounts, departments and the exam cell at their own desks.
    What we need from you
The data in whatever form it exists, and the pending dues as of today. One hour with each role.
What you have at the end
Your students, fees, faculty and attendance inside Verity, and a team that has used it through a working week.
  4. After go-live

    Operations partnership

    What we do
Stay on after launch. Review the first weeks with you, adjust limits, and handle changes at the start of a new session, new courses and exam periods.
    What we need from you
A short monthly review with the principal and the registrar.
What you have at the end
A system that keeps matching how the college runs, with someone responsible for it.

Bring these on day one

  • The seat matrix and fee structure by course
  • Last year's admission and applicant lists
  • The faculty list with qualifications and contract dates
  • The timetable and attendance rule
  • Scholarship, refund and concession policies

Your time

About 9 to 13 hours of the principal's or registrar's own time across the four weeks, mostly in weeks 1 and 3. The admissions head, accountant and exam cell need a few more.

After go-live

Nobody is hired to run Verity. Admissions, fees and attendance are recorded as part of work the office already does, and the lists come from those records.

Verity AI

Ask your college a question. Get an answer, not a report to build.

Verity AI reads your own applicant, student, fee, attendance and faculty records. Ask in plain language, then turn the answer into tasks for the right people.

  • Your records only Answers come from your own colleges data, not from generic knowledge.
  • Right person, right view It only shows what the person asking is allowed to see.

Rules and paperwork

The rules a college has to keep up with.

Verity does not give legal advice and does not file anything for you. It keeps the records these rules depend on in order, so you are not hunting for them when someone asks.

  • UGC fee refund framework

    What is expected

UGC guidelines generally require colleges to refund fees on a sliding scale when a student withdraws before or soon after the last admission date, and the UGC grievance regulations of 2023 treat delay in a refund as a grievance. Exact percentages and deadlines vary by notification and session.

    How Verity helps

Each withdrawal is a record with its date, the tier applied, the amount and the approval, and refunds past your target days are listed.

RKNEC refund policy citing UGC guidelines

  • AISHE and accreditation data

    What is expected

Colleges are expected to submit survey data to AISHE each year, and NAAC accreditation requires institutional data. NAAC has been moving to a binary Accredited or Not Accredited outcome from 2025, according to one vendor summary, so confirm with NAAC.

    How Verity helps

Students, faculty and facilities are kept as one set of records, with gaps flagged. Your team submits on the official portals.

University of Kashmir circular on AISHE 2024-25

  • University attendance and exam rules

    What is expected

Affiliating universities set minimum attendance and internal assessment rules for eligibility to sit exams. The percentage and condonation process differ by university.

    How Verity helps

Attendance, internals and condonation are recorded against each student and subject, with at-risk students listed early.

  • Faculty and approval norms

    What is expected

Regulators such as UGC and AICTE set faculty qualification and student-faculty norms for approval of programmes, and visits by committees ask for staff files. Norms differ by programme.

    How Verity helps

Faculty qualifications, appointments and experience are records, and missing documents are listed.

  • Children's and students' data under the DPDP Act

    What is expected

The DPDP Act and Rules apply to personal data of students, and verifiable parental consent applies to anyone under 18, which includes some first-year students.

    How Verity helps

Role-based access and an audit trail show who saw or changed each record.

Rules differ by university, regulator and state, and they change. Confirm current requirements with your affiliating university, UGC or AICTE and your adviser.

Who sees what

Everyone sees the same records, through their own window.

A department head should not see the fee ledger. The accountant should not edit marks. Each role opens on what it needs.

  • Principal

Are we filling seats and keeping students?

Seats by course, dues, students at risk, approvals waiting and faculty load.

  • Admissions head

Who needs a call and what is stuck?

Enquiries by stage, documents pending, offers expiring and fees paid for enrolment.

  • Accountant

Who has paid and who is waiting on a scholarship?

Dues by course and age, scholarship claims, refunds with the tier applied.

Straight answers

What changes, and what stays the same.

Keep using

  • Your bank and fee-payment channels. We agree during setup how payments reach Verity.
  • The university's portal for registration and results. Your staff submit there.
  • Your learning platform or library system, if you use one.
  • WhatsApp and phone with students and parents. Staff send
  • Verity tracks who was told.

Verity does not

  • Take admission applications or fee payments online.
  • Send emails, SMS or WhatsApp messages to students on its own.
  • Run payroll for faculty and staff.
  • Submit AISHE, NAAC or university data on your behalf.

We bring in applicants, students, fee ledgers, faculty files and marks from the sheets and registers you use now, course by course, so admissions and classes keep running while it happens.

Questions

Questions college principals and registrars ask.

Does Verity run our admissions portal?

No. If you take applications on your own site or the state portal, that keeps working. Verity holds the applicant record from enquiry to enrolment, with documents, offers and fees, so no one is lost between desks.

We follow our affiliating university's rules. Can they be set up?

Yes. The attendance requirement, internal marks structure and fee refund rules are set up in configuration, and we ask you to confirm each one. We do not promise the rules are right for your university without that check.

Can it handle several programmes and a second campus?

Yes. Each campus is a location in one system, with courses, fees, faculty and students side by side. The principal sees all of it and each head sees their own.

How does it help with scholarships?

Scholarship students are tagged with scheme, documents and claim status, and Verity lists claims not filed or not paid, with the amount the college is waiting for. Staff still file on the relevant portals.

Can students log in and see their own record?

We do not claim a student app. Today staff see everything and tell students what they need. Ask us on the first call if you have a specific need.

Will it prepare AISHE or NAAC submissions?

It keeps student, faculty and facility records as one set, so figures can be assembled from them. Your team still checks and submits on the official portals.

We have a lot of Excel. Will it all move?

Yes, in stages, starting with applicants, students and fees. Older years of marks can follow later so the work in front of you is not held up.

Who can see student data?

Only the people you allow. Access is set by role and department, and every view and change is recorded with who made it and when.

What does it cost?

It depends on the number of students, campuses and what you want set up. Message us and we will give you a clear number after a short conversation about how your college runs.
