Verity for schools

A school runs on a thousand small promises. The office keeps them in registers, phones and memory.

Fees due on the 10th, a bus that must reach a lane by 7:40, a teacher who is absent in period three, a parent who says the circular never came. Each is small. Together they fill the front office and the principal's day. Verity connects the student, the fee, the class, the bus and the teacher, so the school sees what is slipping while there is still time to act.

Verity in one line

One record for every student and staff member, and one list each morning of what needs a decision: dues, absentees, uncovered periods, bus issues and pending certificates.

Free: we set up a working demo of your own business, on your own data, within 7 days. You pay only if your team decides to use it.

Built for a front office that already has too many registers. The records come from the attendance, fee and admission work your staff already do.

How it runs today

Most schools teach well and still run the office on registers and phone calls.

The classroom is visible. The office is not. Who has paid the second instalment, which bus is full, which class has no teacher in period five, which student's transfer certificate is pending: each answer lives in a different register, a different person or a different spreadsheet.

The principal and the accountant carry the join in their heads. When one is on leave, a parent asks about dues and nobody can answer. When the board asks for data, it takes a week to assemble it from the class teachers.

Government figures show how large the job is. India reported 24.69 crore school enrolments and over one crore teachers in the 2024-25 UDISE+ data. A single school is a small part of that, but it carries the same records: every child, every year, every class.

What most schools run on

  • Fee register and receipt book
  • Attendance registers kept by class teachers
  • Excel for transport routes and timetable
  • WhatsApp groups with parents and staff
  • UDISE and board portals filled once a year

Each one does its own job. None of them agree with each other, and the office is the only thing joining them.

15 problems, one by one

Where a school actually loses time and money.

These are the situations principals, administrators and accountants describe again and again. For each one: what it looks like on an ordinary day, what it costs, and what Verity does about it.

  1. 01Fees

Fee dues are known only when the accountant checks

    What it looks like

The second instalment was due on the 10th. By the 25th, the accountant has a stack of receipts and a list of names she is fairly sure have not paid. The class teacher asks her which students in 6B are pending. She goes to the register.

    What it costs you

Example arithmetic: 900 students at an instalment of ₹12,000 is ₹1.08 crore. If one in ten is late by a month, ₹10.8 lakh sits outside the school each cycle while salaries and bills are paid on time.

    How Verity fixes it

Each student has a fee plan with instalments, due dates and what has been received. Verity lists who is pending, by class and by how many days, and assigns a reminder task to the right person. Staff make the call or send the message; Verity records what was said and the promised date.

    See the screen
  2. 02Fees

Fee arrears build up quietly and become a dispute

    What it looks like

A family pays two instalments of four, then goes silent. By the next year the dues are large, the parent says a concession was agreed verbally, and nobody can show what was agreed.

    What it costs you

A Karnataka private schools association survey of 250 schools reported about ₹31.6 crore of arrears for 2019-20 owed by 36,655 parents. That was a pandemic year, but it shows how large unrecorded dues can grow.

    How Verity fixes it

Concessions, sibling discounts, staff-child waivers and agreed payment plans are recorded on the student with who approved them and why. Arrears are shown by age, so a dues problem is seen in month one, not year two.

    See the screen
  3. 03Fees

Receipts, refunds and fee heads do not match the books

    What it looks like

Tuition, transport, activity and exam fees are collected under different heads. A parent pays transport with tuition in one cheque. At month end the accountant spends two days matching the receipt book to the bank statement.

    What it costs you

Hours of rework every month, and a real risk of a student shown as paid in one head and pending in another, which then becomes a parent complaint.

    How Verity fixes it

Every payment received is recorded against the student and split across the fee heads it covers. Verity compares what was recorded with what the cashier and the accountant report as collected, and flags any gap with the day and the person who recorded it. Payments themselves are taken through your existing bank, counter or portal.

    See the screen
  4. 04Attendance

Attendance is taken, but nobody acts on it

    What it looks like

A Class 9 student has been absent eleven days this term. The class teacher knows, the subject teachers do not, and the parent was never asked. The child is now behind in two subjects and close to the board's minimum attendance.

    What it costs you

Absence is the earliest sign a child is struggling or about to drop out. The UDISE+ 2024-25 data shows secondary retention of only 47.2%, so the years where a school loses children are exactly the ones with the least attention.

    How Verity fixes it

Daily attendance is recorded by period or by day. Verity shows students whose absence crosses your limit, with their pattern, and gives the class teacher a follow-up task. What the parent said is recorded on the student.

    See the screen
  5. 05Attendance

Late arrivals and early pickups go unrecorded

    What it looks like

A child leaves at 11 with an uncle the school has never seen. Another arrives at 9:40 every day and is marked present. A parent later says the child was never in school that afternoon.

    What it costs you

A safety risk to the child and a legal and reputational risk to the school when there is no record of who took the child and who approved it.

    How Verity fixes it

Late arrivals, early leaves and authorised pickup persons are recorded on the student, with who at school approved each exit. Verity lists today's early leaves and any pickup by a person who is not on the authorised list.

    See the screen
  6. 06Transport

Bus routes are a spreadsheet and a phone call

    What it looks like

Route 7 has 41 children on a 36-seat bus. A new admission lives in a lane the route does not cover. The driver is absent and the substitute does not know the stops. Parents call the office at 7:50 asking where the bus is.

    What it costs you

Overloaded buses are a safety risk and unfilled seats are a cost. Every missed stop becomes a call the office has to take during the busiest hour of the day.

    How Verity fixes it

Each route has its stops, its bus, its driver and attendant, its seat count and the students assigned to it. Verity shows seats left by route, flags a route above capacity and lists children with no route. A driver or attendant change is a task with the substitute's details attached.

    See the screen
  7. 07Transport

Bus, driver and attendant papers expire without anyone noticing

    What it looks like

The fitness certificate of Bus 3 expired last week. A driver's licence renewal is not on file. Nobody recorded when the attendant's police verification was done. A court order or a board inspector asks for all of it.

    What it costs you

Supreme Court norms and CBSE circulars expect an attendant on board, speed governors, first-aid kits and verified staff. Reports from several states say compliance is patchy. A lapse is a risk to children first and a penalty second.

    How Verity fixes it

Each bus, driver and attendant is a record with licence, fitness, permit, insurance and verification dates. Verity raises a task before each date and shows the school's transport compliance on one screen.

    See the screen
  8. 08Timetable and staff

The timetable breaks the moment one teacher is absent

    What it looks like

A teacher calls in sick at 7:30. The coordinator rewrites period allocations on the notice board while students wait. Substitutes are chosen by whoever is nearby, and the same three teachers cover every time.

    What it costs you

Lost teaching periods, an unfair load on a few teachers and no record of who covered what, which then leads to disputes about overtime or free periods.

    How Verity fixes it

The timetable is a record with teacher, class, subject and room for each period. When a teacher is marked absent, Verity shows the uncovered periods and the teachers who are free, ranked by how many substitutions each has done this month. The coordinator confirms, and the change is recorded.

    See the screen
  9. 09Timetable and staff

Teacher leave, workload and certificates live in separate files

    What it looks like

The principal has to decide who can be released for a training day. Leave balances are in one register, workload in the timetable and qualification certificates in a cupboard. A teacher's B.Ed or CTET document is missing at the time of an inspection.

    What it costs you

Decisions made without the full picture, and a scramble for documents during affiliation inspections or when a parent asks about a teacher's qualifications.

    How Verity fixes it

Each staff member has a record with qualifications, certificates, leave balance, class load and joining and renewal dates. Verity lists missing or expiring documents and shows leave and load next to each other when a request is approved.

    See the screen
  10. 10Parents

Parent messages and circulars are sent but not tracked

    What it looks like

A circular about the school trip goes out on a class WhatsApp group. Half the parents never replied, and the permission slips are in a bag in the staffroom. A parent insists she was never told about the exam fee.

    What it costs you

Trip permissions, consent forms and exam instructions are lost between the circular and the reply. The school cannot show what it told whom and when.

    How Verity fixes it

Each notice, consent and reply is recorded against the student. Verity shows which families have not responded, and assigns a follow-up task to the class teacher. Staff still send the messages; Verity records who was told, when, and what came back.

    See the screen
  11. 11Admissions

Admission enquiries and renewals sit in a notebook

    What it looks like

In admission season, the front desk takes forty enquiries a day. Names are on slips, visit dates are not fixed and the parent who toured the school in November is not called back before the seats are gone.

    What it costs you

A seat unfilled for lack of a call is a year of fees lost. A seat given to the wrong child because of a mixed-up list is a dispute.

    How Verity fixes it

Each enquiry is a record with the child, grade sought, visit date, documents asked for and next step. Verity lists enquiries with no follow-up and tracks them through visit, form, test, offer and fee payment to enrolment.

    See the screen
  12. 12Records

Student records, transfer certificates and board data are rebuilt every year

    What it looks like

A transfer certificate request arrives. The class teacher has the marksheet, the office has the admission form, and the date of birth is different in the two. In the UDISE+ filling season the office re-keys every student and every teacher.

    What it costs you

Weeks of staff time each year, and mismatches in names, dates of birth and categories that follow a child for life. UDISE+ now collects student-level and teacher-level data, so errors carry forward.

    How Verity fixes it

Each student has one record that holds admission details, guardians, category, documents, results and certificates issued. Verity shows records with missing or mismatched fields before the data is submitted, and certificates are drawn from the same record.

    See the screen
  13. 13Compliance

Safety audits, fire certificates and staff verification pile up

    What it looks like

The fire safety certificate, the building safety certificate, CCTV checks and police verification of non-teaching staff are all on different dates. An affiliation inspection or a court order brings them together on one day.

    What it costs you

Affiliation conditions and CBSE circulars on safety can threaten recognition if ignored. More importantly, they protect children.

    How Verity fixes it

Every certificate, audit and verification is a record with an owner and a due date. Verity raises tasks ahead of the date and shows what is current, due and overdue on one screen, so the answer is ready when an inspector asks.

    See the screen
  14. 14Compliance

    Children's data is handled casually

    What it looks like

Student photos go on social media. Class lists with phone numbers are shared on staff groups. A new staff member exports the whole student sheet to a personal phone.

    What it costs you

Under the DPDP Act, processing the data of anyone under 18 generally needs verifiable parental consent, and a blanket admission-form consent is not enough according to law-firm summaries. A breach involving children is a serious matter for a school.

    How Verity fixes it

Verity has one permission model. Staff see only the classes and fields their role allows, and every view and change is recorded. Consents are recorded on the student with the purpose, so the school can show what a family agreed to.

    See the screen
  15. 15Fees

EWS seats, concessions and scholarship paperwork

    What it looks like

A school with RTE seats must track which children are admitted under the quota, what the government reimburses and what books or uniforms each child still needs. The files are in three places, and reimbursement claims are late.

    What it costs you

Delayed reimbursement strains cash. A Delhi High Court petition in 2025 alleged that book costs far exceed what is reimbursed, so the school often absorbs the difference.

    How Verity fixes it

Quota students are tagged with their category, documents and claim status. Verity lists claims not yet filed or paid and shows the cost the school carries per child.

    See the screen

The UDISE+ figures are from a news report of the ministry's 2024-25 data, not the report itself. The Karnataka survey is from 2021 and was run by a school managements' association, so it reflects the schools' side. The DPDP point is from a law-firm summary of the 2025 Rules, so confirm it against the notified text.

An ordinary day

The same Thursday, before and after.

What changes is not the teaching. It is that the day leaves a record, and the record does the chasing.

How we work with you

We set it up with you, in four weeks.

You do not get a login and a manual. We spend time in your front office and your staffroom, build Verity around how your school really runs, bring your records in, then stay to make sure it keeps working.

  1. Week 1

    Discovery and mapping

    What we do
Spend a day in your front office and a morning in the staffroom and at bus arrival. Watch how a fee reaches the register, how attendance is marked, how a substitute is chosen and how a certificate is issued.
    What we need from you
Two to three hours of the principal's and the administrator's time. A copy of the fee structure, last year's admission list, the timetable and the transport routes.
What you have at the end
A written map of your school: classes, fee heads, routes, staff and the first problems we will close.
  2. Weeks 2 to 3

    Configuration

    What we do
Set up your classes, sections, fee plans, concession rules, routes and buses, timetable, staff records and compliance dates. Build the six screens in your school's own terms.
    What we need from you
Check the setup with the accountant, the transport in-charge and one coordinator. Tell us where a fee head or a rule is wrong.
What you have at the end
A working Verity with your real classes, routes and rules, ready for your records.
  3. Weeks 3 to 4

    Migration and training

    What we do
Bring in your student list, guardian details, fee ledgers, staff files and transport lists from the spreadsheets and registers you use. Train the office, class teachers and transport in-charge during a real working day.
    What we need from you
The student data in whatever form it exists, and the pending dues as of today. One hour with each role.
What you have at the end
Your students, fees, routes and staff inside Verity, and a team that has used it through a school day.
  4. After go-live

    Operations partnership

    What we do
Stay on after launch. Review the first weeks of attendance and fee numbers with you, adjust limits and handle the start of the next session, new admissions and changes to routes.
    What we need from you
A short monthly review with the principal and the administrator.
What you have at the end
A system that keeps matching how the school runs, with someone responsible for it.

Bring these on day one

  • The fee structure and the last two years of fee ledgers
  • The current student list with guardians and bus routes
  • The staff list with qualifications and leave balances
  • The timetable and transport routes
  • Safety, fire and bus certificates with their dates

Your time

About 8 to 12 hours of the principal's or administrator's own time across the four weeks, mostly in weeks 1 and 3. The accountant, transport in-charge and a coordinator need a few more.

After go-live

Nobody is hired to run Verity. Attendance, fees and admissions are recorded as part of work the staff already do, and the lists come from those records.

Verity AI

Ask your school a question. Get an answer, not a report to build.

Verity AI reads your own student, fee, attendance, transport and staff records. Ask in plain language, then turn the answer into tasks for the right people.

  • Your records only Answers come from your own schools data, not from generic knowledge.
  • Right person, right view It only shows what the person asking is allowed to see.
  • Turns into action An answer can become a task assigned to a named person.

Verity / Ask

Schools report school, teacher and student data to the education ministry's UDISE+ system each year. The 2024-25 report was released in August 2025 and covers students and teachers in detail.

    How Verity helps

Student and staff records are kept as one set, with missing and mismatched fields flagged before submission. Verity does not submit data for you.

  • Board affiliation, safety and fire certificates

    What is expected

CBSE circulars expect affiliated schools to hold valid building and fire safety certificates, run safety and security audits, keep CCTV working at vulnerable points and verify staff, including bus drivers and support staff. Other boards and states have their own rules.

    How Verity helps

Each certificate and audit is a record with a due date and an owner, with tasks raised ahead of the date.

  • School transport norms

    What is expected

Supreme Court directions and state rules generally expect an attendant on board, speed governors, first-aid kits and verified drivers, and some states require GPS and CCTV. Requirements vary by state.

    How Verity helps

Buses, drivers and attendants are records with licence, fitness, permit, insurance and verification dates, and tasks are raised before any lapses.

  • Children's data under the DPDP Act

    What is expected

Processing a child's personal data generally needs verifiable parental consent, with a limited exemption for schools for tracking tied to education or safety. A blanket admission-form consent is generally not enough.

    How Verity helps

Role-based access and an audit trail show who saw or changed each student's data, and consents are recorded with their purpose.

  • RTE quota admissions

    What is expected

Private unaided schools generally admit a share of seats for children from weaker sections under the Right to Education Act and claim reimbursement from the state. Procedures and rates differ by state.

    How Verity helps

Quota students are tagged with documents and claim status, and unfiled or unpaid claims are listed.

Rules differ by board and by state, and they change. Confirm current requirements with your board, your education department or your adviser.

Who sees what

Everyone sees the same records, through their own window.

A class teacher should not see the fee ledger. The accountant should not edit marks. Each role opens on what it needs.

  • Principal

Is the school running as it should today?

Attendance, fees pending, uncovered periods, enquiry pipeline, bus issues and expiring papers.

  • Accountant

Who has paid and who has not?

Dues by class and age, concessions and approvals, receipts compared with bank deposits.

  • Class teacher

Which of my students need a call?

Attendance patterns, parent responses, notices pending and fee status flagged for their class only.

  • Transport in-charge

Is every bus ready and every child on a route?

Routes, seats, riders, driver and attendant details and all bus papers with dates.

  • Front office

Who is this child and who can take them?

Authorised pickups, enquiry list, certificates requested and documents pending.

Straight answers

What changes, and what stays the same.

Keep using

  • Your bank and fee-payment channels. We agree during setup how payments reach Verity.
  • Your board and government portals. Staff submit data
  • Verity keeps it ready.
  • WhatsApp and phone with parents. Staff send
  • Verity tracks who was told.
  • Your teachers' own lesson plans and marking tools.

Verity does not

  • Take online fee payments or run a payment gateway.
  • Send circulars, SMS or WhatsApp messages to parents on its own.
  • Run payroll for teachers and staff.
  • Submit UDISE+ or board data on your behalf.

We bring in your student list, fee ledgers, staff files and transport routes from the registers and sheets you use now, class by class, so the school keeps running while it happens.

Questions

Questions school owners and principals ask.

Does Verity collect fees from parents?

No. Parents keep paying through your bank, counter or existing portal. We agree during setup how those payments reach Verity, which then shows who has paid, who has not and what each family was promised.

Will teachers have to enter a lot of data?

Only what they already write down. Attendance is marked once a day or period, and notices and parent calls are one-line notes on a student. We train class teachers in their own staffroom, not in a hall.

Can it handle two campuses or a primary and a senior wing?

Yes. Each campus or wing is a location in one system, with students, fees, staff and buses side by side. The owner sees both, and each principal sees their own.

We have a fee structure with many heads and sibling discounts. Is that too complex?

That is the case it is built for. Fee heads, instalments, sibling and staff-child concessions are set up in the first weeks, and every exception records who approved it.

Can parents log in and see their child's record?

We do not claim a parent app. Parents continue to hear from your staff, and staff can see exactly what each family was told and when. Ask us during the first call if you need something specific.

Does it do the timetable automatically?

Verity holds the timetable as a record and handles cover when a teacher is absent. Your coordinator still decides how periods are built. We do not promise automatic timetable generation.

How does it help with UDISE+ and board data?

Student and staff records are kept as one set, and missing or mismatched fields are flagged before the data is submitted. Your staff still submit it on the official portal.

Who can see student data?

Only the people you allow. Access is set by role and class, so a class teacher sees their own students, the accountant sees fees, and every view and change is recorded with who made it and when.

What does it cost?

It depends on the number of students, campuses and what you want set up. Message us and we will give you a clear number after a short conversation about how your school runs.

Start with the fee dues nobody has listed.

Tell us how your school runs and we will show you the pending-fees list, the absentee follow-ups and the expiring bus papers it would find, using your own numbers.
