Verity for language institutes

A language batch is full on day one and half empty by week six. The reasons are almost always in the records.

A language institute earns from batches that fill, learners who stay to the next level and exams they actually book. Enquiries arrive on calls and DMs, trial classes are booked from memory, levels change, and the faculty are part-time. Verity connects the enquiry, the batch, the level, the teacher and the exam date, so you see which batch is slipping before the fee for next term is lost.

Verity in one line

One record for every learner from first enquiry to the certificate, and one list each morning of the trials to follow up, the batches below minimum and the exam dates coming close.

Free: we set up a working demo of your own business, on your own data, within 7 days. You pay only if your team decides to use it.

Built for institutes with a small front desk and mostly part-time faculty. The records come from the attendance and fee work you already do.

How it runs today

Most language institutes teach well and run the front desk on a notebook.

A typical institute runs German, French, Japanese, English or IELTS batches at different levels, at different times, often in the evening and at weekends. Each batch has a teacher, a room or an online link, a start date and a minimum number of learners to make it viable. One public German A1 course in Kerala, for example, ran 80 hours with a 30-seat cap and a minimum of 10 candidates.

Demand is real. The Goethe-Institut reported about 25,000 course participations and 192,000 exam participations in India in its January 2026 release. A small institute sees that demand as a hundred calls a month and a front desk that can only answer so many.

The information that decides the business is scattered: who enquired, who took a trial, which level each learner is on, who has attended four of six sessions, who has paid for next term, and who has booked the exam. It lives in WhatsApp, a notebook and the teacher's memory.

What most language institutes run on

  • Enquiry notebook and phone contacts
  • Excel for batches and fees
  • WhatsApp groups per batch
  • Teacher attendance sheets
  • Exam registrations on the exam body's own site

Each one works for one task. None of them tells you that a batch is about to fall below its minimum.

14 problems, one by one

Where a language institute actually loses learners and money.

These are the situations owners, coordinators and teachers describe again and again. For each one: what it looks like on an ordinary day, what it costs, and what Verity does about it.

  1. 01Enquiries

    Enquiries are not followed up

    What it looks like

Forty people ask about German A1 in the month before a batch starts. Names are in a notebook and on two phones. A learner who asked about timings on the 3rd is called on the 19th, after another institute has already enrolled him.

    What it costs you

Example arithmetic: 40 enquiries, 10 enrolments at ₹14,000 is ₹1.4 lakh. If better follow-up converts four more, that is ₹56,000 on one batch alone.

    How Verity fixes it

Every enquiry is a record with the language, level wanted, timing, source and next step. Verity lists enquiries with no follow-up and assigns each to a named person. Staff make the call or send the message; the outcome is recorded.

    See the screen
  2. 02Enquiries

Trial classes are booked, forgotten and never converted

    What it looks like

A learner is told to come for a free demo on Saturday. The teacher is not told, the room is double-booked, and nobody calls her on Monday to ask whether she wants to join.

    What it costs you

A trial is the best sales moment an institute has, and without a follow-up it is only a free class.

    How Verity fixes it

A trial is a record with date, teacher, level and the learner. Verity reminds the teacher, lists trials attended and not followed up, and records the decision: joined, thinking or declined, with the reason.

    See the screen
  3. 03Batches

Batches start below the minimum or run too full

    What it looks like

A batch of nine is run because it was announced. Another has 26 learners in a room built for 18. The coordinator finds out when the teacher complains.

    What it costs you

A batch below the minimum loses money every session. One that is too full loses learners who feel unseen. A public example batch needed at least 10 learners and capped at 30.

    How Verity fixes it

Each batch has a minimum, a cap and a break-even number you set. Verity shows batches by learners enrolled and flags those under the minimum or over the cap, early enough to merge, move or close the batch.

    See the screen
  4. 04Batches

Levels and placement are decided by feel

    What it looks like

A learner who says she knows some French is put into A2. After two weeks she cannot follow the class, and a learner at the right level in the same batch is slowed down.

    What it costs you

A learner in the wrong level is a learner who drops out, and her story is told to friends.

    How Verity fixes it

A placement result is recorded on the learner, with the level, the evaluator and the date. Verity shows learners whose attendance or marks suggest the wrong level so a coordinator can move them in the first two weeks.

    See the screen
  5. 05Learners

Attendance gaps are noticed after the learner has left

    What it looks like

A working learner misses four of the first six German classes. The teacher assumes he is busy. Nobody calls. At week eight he does not come back.

    What it costs you

Dropping out part way through a level is the largest silent leak in a language institute, and the next-level fee goes with it.

    How Verity fixes it

Attendance is recorded per session. Verity lists learners who miss more than your limit, with their pattern, and gives the teacher or coordinator a task to speak to them. What the learner said is recorded.

    See the screen
  6. 06Learners

Make-up classes are arranged on WhatsApp

    What it looks like

A learner missed two sessions for travel. The teacher said he could attend another batch's class. Nobody told the coordinator, and the other batch is now one over its cap.

    What it costs you

Unrecorded make-ups distort attendance and batch size, and cause arguments about what was promised.

    How Verity fixes it

A make-up is a record: which learner, which session, which batch, approved by whom. It shows on both batches and counts toward attendance.

    See the screen
  7. 07Fees

Fees by level, instalment and discount are tracked in a sheet

    What it looks like

Fees depend on language, level, online or classroom, and whether the learner came by referral. Some pay in two instalments. The accountant keeps a sheet, and the coordinator has a different one.

    What it costs you

Dues are missed and discounts are given twice. Learners who are chased in the wrong way go quiet.

    How Verity fixes it

Each learner has a fee plan with instalments, discounts and what has been received. Verity lists dues by batch and age and assigns follow-up to a named person. Payments themselves go through your existing channels.

    See the screen
  8. 08Fees

Learners who finish a level are not offered the next one

    What it looks like

A batch of A1 completes in December. The institute starts A2 in January, but only half the learners hear about it, and half of those do not know the fee or the start date.

    What it costs you

Moving a learner to the next level costs almost nothing compared with finding a new one. Missing a conversion is a batch that does not start.

    How Verity fixes it

Learners nearing the end of a level appear on a next-level list with their attendance and marks. Verity assigns a task to a person to speak to each, and the answer is recorded: enrolled, later or declined.

    See the screen
  9. 09Exams

Exam registrations and dates are in the learner's head

    What it looks like

An institute prepares learners for German or IELTS exams that are booked on the exam body's own site. Learners miss registration dates, forget what ID is needed or book a date that clashes with the course.

    What it costs you

Exam fees are large; IDP lists IELTS at ₹19,000 and charges 25% for cancelling within 9 days of the test. A missed date or a missing ID is an expensive lesson for the learner and a reputational problem for the institute.

    How Verity fixes it

Each learner's exam is a record with the exam body, date, fee, ID needed and status. Verity lists learners who should have booked by now and those whose date clashes with classes. Staff help the learner; the learner books on the exam site.

    See the screen
  10. 10Exams

Exam centre rules change and the front desk learns late

    What it looks like

From 1 September 2025 the Goethe-Institut Bangalore centre accepted only a valid passport as ID for A1 to C2 exams. A learner turns up with an Aadhaar card and is turned away.

    What it costs you

A turned-away learner pays again, and blames the institute that prepared them.

    How Verity fixes it

ID rules and exam conditions are kept as notes on each exam body. Verity attaches the current note to the learner's exam record and creates a checklist task for the learner's coordinator a week before the date.

    See the screen
  11. 11Teachers

Teachers are part-time and their time is hard to track

    What it looks like

A French teacher takes two evening batches and a weekend one. She is paid per hour. The hours taken are counted from the batch sheet at month end and she disagrees with the count.

    What it costs you

Pay disputes sour a relationship the institute depends on, and a teacher who leaves takes her learners.

    How Verity fixes it

Each session is recorded with the teacher, hours and whether it was taken, replaced or cancelled. Verity totals hours by teacher and batch for the month, so the accountant works from a record instead of memory. The institute still runs its own payroll.

    See the screen
  12. 12Teachers

A teacher leaves and the batch goes with her

    What it looks like

The Japanese teacher takes a job abroad with two weeks' notice. Her batches have no lesson record, no notes on where each learner is and no second teacher who knows them.

    What it costs you

Learners lose momentum, and some leave with the teacher or the institute loses a batch mid-way.

    How Verity fixes it

Each batch has a syllabus position, lesson notes and learner progress on its record. A second teacher is named for each batch, and Verity shows batches without a backup.

    See the screen
  13. 13Records

Certificates, results and learner records are loose

    What it looks like

A learner asks for a certificate of completion for a visa file. The coordinator checks attendance, finds the level and writes it by hand. Nobody has a list of who finished what.

    What it costs you

Delayed certificates, errors and no way to prove a learner's history when asked years later.

    How Verity fixes it

Each learner's record holds batches, levels, attendance, results and certificates issued. Verity lists learners eligible for a certificate and records each one issued.

    See the screen
  14. 14Owner

Online and classroom batches are managed separately

    What it looks like

Online batches run on a video link, classroom batches in two rooms. A teacher is booked for both at the same hour. The owner cannot say which mode earns more.

    What it costs you

Double bookings, wasted room hours and no clear view of what to grow.

    How Verity fixes it

Batches carry their mode, room or link, teacher and hours. Verity flags a teacher or room clash and shows enrolment and collections by language, level and mode.

An ordinary day

The same Saturday, before and after.

What changes is not the teaching. It is that the day leaves a record, and the record does the chasing.

WhenTodayWith Verity
9:00 TodayThe front desk answers calls with a notebook. A caller who rang last week gets asked the same questions again. With VerityThe enquiry screen shows her last call, the level she wants and who owns her. The conversation continues.
10:30 TodayA trial class starts. The teacher learns the learner's level from the learner. With VerityThe teacher sees the learner's goal and level before the class and records the decision afterwards.
1:00 TodayThe coordinator counts heads for the Japanese batch that starts next week and finds five. With VerityThe batch screen flagged it nine days ago. The coordinator already decided to merge it.
4:00 TodayA learner asks which ID to carry to the exam. Nobody is sure. With VerityThe learner's exam record shows the exam body's current ID rule, and the coordinator confirmed it on Monday.
6:00 TodayA teacher disputes her hours for the month. With VerityThe month's sessions are on a record: taken, replaced and cancelled. The accountant and the teacher read the same list.
Month end TodayNobody knows which A1 learners will carry on to A2 until the batch ends. With VerityThe next-level list was in use four weeks earlier, and seven learners have already enrolled.

How we work with you

We set it up with you, in four weeks.

You do not get a login and a manual. We spend time at your front desk and in a class, build Verity around how your institute really runs, bring your data in, then stay to make sure it keeps working.

  1. Week 1

    Discovery and mapping

    What we do
Spend a day at the front desk and sit through a trial and a batch session. Follow a learner from first call to the certificate, and list where the leaks are.
    What we need from you
Two to three hours of yours and your coordinator's. Last term's batch sheet, fee structure and your enquiry notes.
What you have at the end
A written map of your institute: languages, levels, batches, teachers, fees, exams and the first problems we will close.
  2. Weeks 2 to 3

    Configuration

    What we do
Set up your languages and levels, batch rules with minimum, cap and break-even, fee plans and discounts, session attendance, teacher hours and exam bodies with their rules. Build the six screens in your institute's terms.
    What we need from you
Check the setup with the coordinator and one senior teacher. Tell us where a level or a rule is wrong.
What you have at the end
A working Verity with your real batches, teachers and rules, ready for your data.
  3. Weeks 3 to 4

    Migration and training

    What we do
Bring in your learner list, fee ledgers, enquiry notes and batch sheets from the notebooks and Excel files you use. Train the front desk and teachers during a live batch.
    What we need from you
The learner data in whatever form it exists, and the pending fees as of today. One hour with each role.
What you have at the end
Your learners, batches and fees inside Verity, and a team that has used it through a teaching week.
  4. After go-live

    Operations partnership

    What we do
Stay on after launch. Review the first weeks of enquiries and attendance with you, tune the limits, and handle new batches, new languages and a new term.
    What we need from you
A short monthly review with the owner and the coordinator.
What you have at the end
A system that keeps matching how the institute runs, with someone responsible for it.

Bring these on day one

  • Your last two terms of batch sheets and fees
  • The enquiry notebook or contact list
  • Teacher list with rates and the batches each takes
  • Exam bodies you prepare for and their dates
  • Certificate format and criteria

Your time

About 8 to 10 hours of the owner's time across the four weeks, mostly in weeks 1 and 3. The coordinator and a senior teacher need a few more.

After go-live

Nobody is hired to run Verity. Enquiries, attendance and fees are recorded as part of work the team already does, and the lists come from those records.

Verity AI

Ask your institute a question. Get an answer, not a report to build.

Verity AI reads your own enquiry, batch, attendance and fee records. Ask in plain language, then turn the answer into tasks for the right people.

Rules and paperwork

The rules a language institute has to keep up with.

Verity does not give legal advice and does not file anything for you. It keeps the records these rules depend on in order, so you are not hunting for them when someone asks.

  • Exam body rules

    What is expected

Exams such as IELTS and the Goethe-Institut tests are run by their own bodies, with their own fees, ID rules and cancellation terms. IDP lists a 25% charge for cancelling less than 9 days before an IELTS test, and the Goethe-Institut Bangalore centre has accepted only a passport as ID since 1 September 2025.

    How Verity helps

Each exam body has a note on the learner's exam record, and a checklist task is created before the date.

    IDP IELTS India

  • Coaching centre guidelines

    What is expected

The Ministry of Education's January 2024 guidelines ask states to register coaching centres with more than 50 students, bar misleading promises and require receipts and a pro-rata refund for those who leave mid-course. They were issued for states to adopt, and they are written for centres teaching school or competitive-exam subjects, so check whether your state's version applies to language classes.

    How Verity helps

Fee receipts, refund requests and claims made to learners are recorded, so you can show what was promised and paid.

    Careers360 on the guidelines

  • Children's data under the DPDP Act

    What is expected

Learners under 18 need verifiable parental consent for their data to be processed, and IDP asks for a parent or guardian ID for minors on test day.

    How Verity helps

Learner records hold the guardian and the consent with its purpose, and access is by role.

  • Shops and establishments and local registrations

    What is expected

A language institute generally needs the registrations that apply to its premises and staff under state law. Rules differ by state.

    How Verity helps

Each registration is a record with its renewal date and owner.

Rules differ by state and by the kind of classes you run, and they change. Confirm current requirements with your adviser or the local authority.

Who sees what

Everyone sees the same records, through their own window.

A teacher should not see everyone's fees. The front desk should not edit batch rules. Each role opens on what it needs.

  • Owner

Are batches full and are learners staying?

Enquiries and conversion, batches against minimum, dues, next-level conversions and teacher hours.

  • Coordinator

    What needs sorting this week?

Trials to follow up, learners at risk, batches to merge or split, make-ups and exam checklists.

  • Teacher

Which learners need me and where is my batch?

Their batches, attendance, level notes, lesson position and make-ups.

  • Front desk

Who is this caller and what happened last?

Enquiry history, trial bookings, fee status and certificates asked for.

  • Accountant

Who paid and what do I owe teachers?

Dues by batch, discounts, instalments received and teacher hours taken for the month.

Questions

Questions language institute owners ask.

Do teachers have to log in and enter a lot?

No. Teachers mark attendance and add a one-line note per learner. We train them at the end of a live batch, not in a classroom of their own.

Can it handle online and classroom batches together?

Yes. Each batch carries its mode, room or link, teacher and hours. Verity flags a clash for a teacher or a room.

Does Verity book learners for exams?

No. Learners book on the exam body's own site. Verity records the exam, the date, the ID required and the status, and reminds your coordinator to check.

Can it send reminders to learners?

Verity does not send messages on its own. It assigns the task to the right person and records what was said and the outcome.

We run German, French and IELTS. Is the setup different for each?

Each language has its own levels, batch rules and exams, which we set up in the first weeks. The records and screens are the same.

Can it issue certificates?

It lists learners who qualify and records each certificate issued. The format and the signature stay yours.

How is it different from a spreadsheet?

A spreadsheet holds what you type. Verity connects the enquiry to the batch, the batch to attendance and the learner to the next level, and flags what has not been done.

Who can see learner data?

Only the people you allow. Access is set by role, and every view and change is recorded with who made it and when.

What does it cost?

It depends on the number of learners, batches and what you want set up. Message us and we will give you a clear number after a short conversation about how your institute runs.
